Pool Service Invoice Template
A pool service invoice usually covers three different kinds of charge, and they are often taxed differently: recurring route visits (testing, brushing, vacuuming, skimming and balancing), chemicals used or sold, and one-off repairs or equipment replacement such as a pump motor or filter. This template keeps them apart. It has a service address (often not the billing address for rentals, HOAs and second homes), the plan and billing period, the dates of each visit, the chemicals used with quantities, and a separate block for repairs with parts and labour shown on their own lines. Splitting them matters for tax: in Texas, for example, pool maintenance is a taxable service on residential and commercial pools, while repair of a residential pool can follow different rules. The download is an editable HTML invoice with invoice number, dates, a line-item table and totals. Fill it in your browser, then print it or save it as PDF.

Recommended Payment Terms
Route service is usually billed monthly for the visits made in the month, either in advance as a flat plan fee or in arrears with the visit count. Due on receipt or net 15 is common for homeowners; HOAs and property managers often pay on net 30 through their own approval process, so ask who approves and whether they need the service address and unit number on each invoice. Bill repairs on their own invoice when the work is done, with the estimate number, so a disputed repair does not hold up payment of routine service. Say in your service agreement what happens to missed visits (credited, rolled to the next month or not refunded) and what happens when the customer does not pay, such as pausing service after a stated number of days. Print the actual due date on the invoice.

Tax Information
Sales tax on pool service depends on the state and on what is being billed. Texas: the Comptroller's publication 94-111 says swimming pool maintenance is a taxable real property service on both residential and nonresidential pools, including testing, acid washing, adding and balancing chemicals, cleaning and changing filters and vacuuming, and that tax is due on the amount billed, with no exemption for a self-employed person cleaning a residential pool. Repair and remodelling of residential real property follows different rules (publication 94-116): under a lump-sum contract you pay tax on materials when you buy them and charge the customer none; under a separated contract you charge tax on the materials, not the labour. Repairs to nonresidential property are taxable on the total charge. Texas state tax is 6.25% plus up to 2% local tax. Florida: the Department of Revenue's cleaning services guide (GT-800015) taxes cleaning of nonresidential building interiors and says residential cleaning is not taxable; it does not address pools, so ask the Department before deciding. Chemicals sold as goods are generally taxable where the state taxes goods. InvoiceQuickly applies one tax percentage to the whole invoice, so lines taxed differently need separate invoices. General information, not tax advice.
Industry context (2026)
Pool service pricing is set by each business; there is no official rate table, so this page does not quote market prices. What is published is the tax treatment, and it differs from state to state. The Texas Comptroller's publication 94-111, Cleaning and Janitorial Services, names swimming pool maintenance as a taxable service whether the pool is residential or commercial, and lists testing, acid washing, chemical balancing, filter cleaning and vacuuming as maintenance; its publication 94-116 covers repair and remodelling, where residential jobs are taxed through the contractor's materials and nonresidential jobs on the total charge. The Florida Department of Revenue's guide GT-800015 (revised September 2022) taxes cleaning of nonresidential building interiors, classified under NAICS 561720, and treats residential cleaning as not taxable, without mentioning pools. Other states follow their own lists of taxable services, so check your state revenue department before you add or leave off tax. Sources checked on 28 October 2026.
Worked example
Worked example (illustrative prices, Austin, Texas, residential customer): a pool company bills October route service and a pump repair separately. Invoice 1, route service, dated 31 October 2026, due 15 November. Weekly service on 2, 9, 16, 23 and 30 October, 5 visits × $45.00 = $225.00 (testing, brushing, vacuuming, baskets and balancing). Chemicals billed on top of the plan: liquid chlorine, 8 gallons × $6.50 = $52.00; muriatic acid, 1 gallon × $14.00 = $14.00. Filter cartridge clean, 1 × $65.00. Subtotal 225 + 52 + 14 + 65 = $356.00. All of it is pool maintenance, taxable in Texas, so one rate applies: Austin's combined 8.25% (6.25% state, 1% city, 1% transit authority) gives $356.00 × 8.25% = $29.37, total $385.37. Invoice 2, repair, dated 21 October: replace the pump motor on estimate EST-0017, under a lump-sum contract at $640.00 for parts and labour. Treated as a residential repair under a lump-sum contract, the company paid tax on the motor when it bought it and charges the customer no tax, so the invoice is $640.00 at 0%. Had the company used a separated contract ($420.00 motor, $220.00 labour), it would have charged tax on the motor only: $420.00 × 8.25% = $34.65. Each invoice has one tax rate, which is what InvoiceQuickly can calculate; the separated version needs tax on one line only, so it would need a tool with per-line tax or a manual calculation in the download.
Common mistakes to avoid
One line for the month
'Pool service, October: $385' hides the visit count, the chemicals and the filter clean. Customers query lump sums; list visits and chemicals so each can be checked.
Repairs on the service invoice
Mixing a pump replacement into routine service makes one dispute hold up the whole bill, and in states like Texas the two can carry different tax. Invoice repairs separately.
Assuming services are never taxed
Texas taxes pool maintenance on residential pools too, including when a self-employed person does the work. Check your own state's list rather than assuming services are exempt.
No service address
An HOA or property manager paying for several pools cannot approve an invoice without the address. Put it on every invoice, separate from the billing address.
Unclear chemical policy
If customers think chemicals are included and the invoice adds them, expect a dispute. State in the service agreement and on the invoice whether they are included or billed on top.
Invoicing Tips
- 1Write the service address on every invoice. Rental owners, HOAs and property managers pay for many pools from one account and match invoices by address.
- 2List the visit dates ('2, 9, 16, 23, 30 October') rather than just 'October service'. A fifth visit in a month, or a missed one, is then visible instead of argued about.
- 3Say whether chemicals are included in the plan. If they are billed on top, show the product, quantity and unit price, because chemical lines are the ones customers query.
- 4Bill repairs on a separate invoice with the estimate number. It keeps routine service payable even if a repair is disputed, and lets each invoice carry the right tax treatment.
- 5Note what you found at the visit when it explains a charge, such as 'algae after storm, shocked and brushed', without turning the invoice into a service log.
- 6In Texas, confirm whether a repair job is lump-sum or separated before you invoice it. The contract type decides whether the customer is charged tax on the parts.

Frequently Asked Questions
What should a pool service invoice include?
Your business and contact details, the customer and the service address, an invoice number, the issue and due dates, the service plan and period with visit dates, chemicals billed with quantities and prices, any repairs with parts and labour on separate lines, the tax that applies, the total and how to pay.
Is pool maintenance taxable in Texas?
Yes. The Texas Comptroller treats swimming pool maintenance as a taxable real property service on residential and nonresidential pools, including testing, chemical balancing, filter cleaning and vacuuming. Collect state tax of 6.25% plus any local tax, up to 2%, on the amount billed. Residential repairs follow separate rules.
Should pool chemicals be a separate line on the invoice?
If they are not included in your plan price, yes: show each product with quantity and unit price. It makes the charge easy to check and keeps it separate from labour. Whether the chemicals are taxed depends on your state; in Texas, chemicals added during maintenance are part of the taxable service.
Should repairs go on the same invoice as weekly service?
Usually not. A separate repair invoice with the estimate number keeps routine service from being held up by a disputed repair, and repairs are often taxed differently from maintenance. In Texas, residential repairs follow the lump-sum or separated contract rules.
How do pool companies bill monthly service?
Most bill once a month: either a flat plan fee in advance, or the number of visits made times the per-visit rate in arrears. Either way, list the visit dates and say how missed or extra visits are handled, as your service agreement states.
