Handyman Invoice Template
A handyman invoice usually covers several small jobs at one address in one visit, priced three different ways. A minimum service charge covers the trip and the first block of time. Some jobs are billed by the hour, such as patching drywall or hanging shelves, and others at a flat price per task, such as rehanging a sticking door. Materials are billed either at what you paid or with a markup that you disclose before the work starts. This template keeps those apart, with a line for each task, materials with the receipt they came from, and any customer-supplied parts noted so you are not blamed for them later. It also deals with two things that catch handymen out. In some states, sales tax applies to the materials but not the labor on a home repair, so the tax goes on its own line. And in states with a handyman licence exemption, such as California and Arizona, the job total including materials has to stay under a dollar limit. The download is an editable HTML invoice with invoice number, dates, a line-item table and totals. Fill it in your browser and print it or save it as PDF, or type or say what you did and InvoiceQuickly drafts an editable invoice for you to check before saving.

Recommended Payment Terms
Most handyman jobs are paid on completion: the invoice is handed over or emailed when the work is done and is due on receipt or within 7 days. For a bigger job where you buy materials first, take a deposit, and check your state's limits before setting it. In California a licensed contractor's home improvement contract over $500 must be in writing, and the down payment may not exceed $1,000 or 10% of the contract price, whichever is less, according to the Contractors State License Board. Bill the deposit on its own invoice, then show it on the final invoice as an amount already paid. Repeat repairs for the same client, such as a landlord or property manager, are often billed monthly with each visit, address and date listed. Put the minimum charge, your hourly rate, how materials are priced and any late fee in your written terms before the first visit.

Tax Information
Sales tax on handyman work depends on the state and on the property. Texas: the Comptroller says labor to repair, remodel or restore residential real property is not taxable. On a separated contract, where you charge materials and labor separately, you buy materials tax-free with a resale certificate and collect sales tax from the customer on the materials, charging at least what you paid for them; the labor stays untaxed. On a lump-sum contract you pay tax on materials when you buy them and charge the customer no tax. Repair or remodeling of nonresidential property, such as an office or a shop, is taxable on the total charge. The Texas state rate is 6.25%, and local taxes can bring the total to 8.25%. Other states treat repairs differently, so check your state revenue department. InvoiceQuickly applies one tax percentage to the whole invoice. That fits a job taxed in full. For a separated residential invoice, calculate the tax on the materials yourself and enter it as its own line with the invoice tax set to 0%, as in the worked example. InvoiceQuickly copies your saved tax ID to new invoice PDFs; add your licence number to the notes. General information, not tax advice.
Industry context (2026)
Handyman work sits next to licensed contracting, and the line is usually a dollar limit on the whole job. California's Business and Professions Code section 7048 exempts work on one project where the aggregate contract price for labor, materials and all other items is less than $1,000, the work is casual or minor and needs no building permit; the exemption does not apply to someone who employs another person on the work or advertises as a contractor, or where a job is split into smaller contracts to evade the limit. The Contractors State License Board's Industry Bulletin 24-07 (31 December 2024) notes that Assembly Bill 2622 raised the limit from $500 to $1,000 from 1 January 2025. Arizona Revised Statutes section 32-1121(A)(14) sets a similar under-$1,000 exemption that excludes work needing a local building permit and requires advertising to include the words 'not a licensed contractor'. For tax, the Texas Comptroller's Publication 94-116 explains that residential repair labor is not taxable while materials on a separated contract are, and nonresidential repairs are taxable in full. Each state sets its own rules, and these figures can change, so check your licensing board and revenue department. Sources checked on 28 October 2026. General information, not legal or tax advice.
Worked example
Worked example (hypothetical handyman and client in Houston, Texas; rates are illustrative, not market data). A handyman visits a house on 5 November 2026 for three small jobs. Their written terms: a $95.00 minimum service charge that includes the first hour, $65.00 an hour after that, flat prices for listed tasks, and materials at cost plus a 10% markup. Invoice INV-0112 is dated 5 November 2026 and due in 7 days, on 12 November. Line 1: service call, includes first hour, 1 × $95.00. Line 2: patch two drywall holes and install three floating shelves, labor after the first hour, 2.5 hours × $65.00 = $162.50. Line 3: rehang and adjust sticking closet door, flat rate, 1 × $85.00. Line 4: materials, drywall patch kits, joint compound and shelf brackets, receipt 4471-0923, cost $46.80 plus 10% markup, 1 × $51.48. Line 5: sales tax on materials, 8.25% of $51.48, 1 × $4.25. Invoice tax 0%. Total due $398.23. Notes: 'Residential repair: labor not taxed; tax on materials only. Paint for shelves supplied by customer. Photos of repaired walls sent by text on 5 November.' The split matters for tax: on this separated residential invoice, only the $51.48 of materials is taxed ($51.48 × 8.25% = $4.247, rounded to $4.25), so the tax is a line of its own and the invoice-wide rate stays at 0%. The same job on an office would be taxable on the full charge, so you would set the invoice tax to 8.25% instead. And the job total, $398.23, stays well under the $1,000 limits that California and Arizona set for unlicensed work, which count labor and materials together.
Common mistakes to avoid
Splitting a job to stay under a licence limit
California and Arizona both count the whole project, labor and materials together, and both bar dividing a job into smaller contracts. Two invoices of $600 for one bathroom are one $1,200 job.
Taxing the whole invoice by default
Where only materials are taxed on a home repair, an invoice-wide tax rate overcharges the client on labor. Put the tax on materials as its own line and leave the invoice tax at 0%.
Hidden material markups
A client who finds the same brackets on the store shelf for less than your line price will query the whole invoice. Agree the markup first and show it.
No job address or date
Landlords and property managers pay for many properties. An invoice without the address and visit date is the one that waits.
Forgetting the deposit on the final invoice
If the client paid a deposit invoice, list its number and amount on the final invoice and bill only the balance, or the client will think you are charging twice.
Invoicing Tips
- 1State what the minimum charge covers ('service call, includes first hour') so the client can see why a 20-minute job costs the same as a 50-minute one.
- 2Pick hourly or flat rate per task and keep it that way on the invoice. Mixing both for the same task ('door rehang, flat $85 plus 0.5 hours') looks like double-billing.
- 3Keep receipts for every material and put the store and receipt number on the line. If you add a markup, agree it in writing first and show it, rather than rounding it into the price.
- 4Write 'customer-supplied' on any part the client bought. If that faucet cartridge or light fitting fails, your invoice shows you only fitted it.
- 5If you work under a state handyman exemption, add up labor and materials for the whole job before you quote. Splitting one job into two invoices to stay under the limit does not work.
- 6Take photos before and after, and reference them in the notes. They settle most 'that was already broken' conversations.

Frequently Asked Questions
What should a handyman invoice include?
Your business name and contact details, the client's name and the job address, a unique invoice number, the invoice and due dates, the minimum service charge, each task with its hours and rate or its flat price, materials with receipt references and any markup, disposal charges, tax if it applies, any deposit already paid, the balance due and how to pay. Add your license number if you hold one.
Should a handyman charge by the hour or by the job?
Either works if the client agrees before you start. Hourly suits work where the time is hard to predict, such as finding and fixing a leak behind a panel. A flat rate per task suits repeatable jobs, such as mounting a shelf or replacing a door handle. Many handymen use a minimum service charge, then hourly or flat rates on top.
Can a handyman charge a markup on materials?
Yes, if it is agreed with the client before the work. Show materials on their own line with the receipt reference, and either bill them at cost or state the markup. In some states, such as Texas on a separated residential repair, you must also charge at least what you paid for materials you resell, and collect sales tax on them.
How much work can a handyman do without a license?
It depends on the state. In California the limit is a job total under $1,000 for labor, materials and everything else, only for work that needs no building permit, done without employees and without advertising as a contractor (Business and Professions Code section 7048, limit raised from $500 on 1 January 2025). In Arizona the total must be under $1,000, the work must not need a local building permit and adverts must say 'not a licensed contractor'. Other states set their own rules, so check your licensing board.
Do handymen charge sales tax?
In some states, on some work. In Texas, labor to repair a home is not taxable, but materials billed separately are, and repairs to commercial property are taxable in full. Other states treat repairs differently. Check your state revenue department before adding tax.
Should a handyman ask for a deposit?
For jobs where you buy expensive materials first, a deposit protects you, but some states cap it. In California a home improvement down payment may not exceed $1,000 or 10% of the contract price, whichever is less. Bill the deposit on its own invoice and show it on the final invoice as already paid.
