Garage Door Repair Invoice Template

A garage door repair invoice has to explain a bill the homeowner usually did not expect: a broken spring, a snapped cable or a dead opener, often fixed the same day. It works best when it separates three things. The service call or diagnostic fee you quoted when the job was booked. The parts: springs by size and wire gauge, cables, rollers, hinges, panels or an opener with its model, each with a part number and price. And the labor, as a flat repair price or hours times rate. That split is not only about clarity. In Texas, labor to repair a home is not taxed but materials on a separated contract are, and a commercial door is taxed in full, so the invoice has to show which is which. The template also records the door and opener make and model, the safety checks done before you left, and your warranty on parts and labor. The download is an editable HTML invoice with an invoice number, dates, a line table and totals, plus labelled fields for these details. Fill it in your browser, then print it or save it as PDF.

Recommended Payment Terms

Most residential garage door repairs are paid on completion: the technician finishes, the customer checks the door and pays on the spot by card or on a payment link. Print 'Due on receipt' and the date so the customer knows nothing is deferred. For a new door or opener installation, a deposit to order the door is common, but check your state's limit first: in California a home improvement down payment may not exceed $1,000 or 10% of the contract price, whichever is less, and the contract for any home improvement job over $500 must be in writing, according to the Contractors State License Board. Garage repairs on a home count as home improvement under California law. Commercial customers such as property managers often need net 30 terms and a purchase order or work order number on the invoice. State your service call fee before you dispatch, and say on the invoice whether it was credited against the repair.

Tax Information

Sales tax on garage door work depends on the state and on the type of property. Texas: garage door work on a house is generally a repair to residential real property, and the Texas Comptroller says labor to repair, remodel or restore residential real property is not taxable. On a separated contract, where you charge materials and labor separately, you buy materials tax-free with a resale certificate and collect sales tax from the customer on the materials, charging at least what you paid for them; the labor stays untaxed. On a lump-sum contract you pay tax on materials when you buy them and charge the customer no tax. Repair or remodeling of nonresidential property, such as a warehouse or parking garage, is taxable on the total charge. The Texas state rate is 6.25%, and local taxes can bring the total to 8.25%. Other states treat real property repairs differently, so check your state's revenue department. InvoiceQuickly applies one tax percentage to the whole invoice. That fits a commercial job taxed in full. For a separated residential invoice, calculate the tax on the parts yourself and enter it as its own line with the invoice tax set to 0%, as in the worked example. Industry context (2026)

Two official rules shape how a garage door repair is written up. First, safety: since 1 January 1993, residential garage door operators made for sale in the United States must meet the Consumer Product Safety Commission standard in 16 CFR Part 1211, which requires entrapment protection, the reversing and sensor systems a technician tests after an opener repair. Recording that test on the invoice documents the condition you left the door in. Second, the home-or-business distinction: Texas Comptroller Publication 94-116 treats labor to repair residential real property as not taxable and repairs to nonresidential property as taxable in full, and California's Business and Professions Code section 7151 lists garages among home improvements, which brings the Contractors State License Board's written-contract and down-payment rules into play for residential jobs. No figures here are market rates: every price in the worked example is illustrative. Sources checked 28 October 2026; general information, not legal or tax advice.

Worked example

Worked example (illustrative prices, not market data): a garage door company in Houston, Texas replaces a broken pair of torsion springs and worn rollers on a homeowner's double door on 12 October 2026, and works on a separated contract. Invoice INV-0418, due on receipt. Line 1: service call and diagnosis, quoted at booking, 1 × $89.00. Line 2: torsion springs, pair, 0.250 wire, 2 in. ID, 32 in., 1 × $150.00. Line 3: nylon rollers, 13-ball, 10 × $8.50 = $85.00. Line 4: labor, replace springs and rollers, rebalance door, auto-reverse and photo-eye test, 1.5 hours × $110.00 = $165.00. Parts subtotal $235.00; labor and service call $254.00. Sales tax at 8.25% (6.25% state, 1% city, 1% transit authority) applies to the parts only: $235.00 × 8.25% = $19.39. Total $508.39. In InvoiceQuickly the tax is entered as its own line, 'Sales tax 8.25% on parts of $235.00', 1 × $19.39, with the invoice tax at 0%, because the one invoice-wide rate would also tax the labor. Two contrasts come from the numbers. The same $489.00 job on a lump-sum contract would be billed with no tax, because the company paid tax on the parts when it bought them. And the same work on a warehouse door would be taxed on the full $489.00: $40.34, for a total of $529.34. In California the job would also need a written contract, since it is over $500.

Common mistakes to avoid

'Parts and labor: $489'

One lump line hides the spring size, the part numbers and the labor. It makes warranty claims harder and, on a Texas separated contract, it makes the right tax impossible to calculate.

Taxing the whole residential job

Under Texas rules, adding 8.25% to the labor on a home repair over-charges the customer. Tax the materials on a separated contract, or pay the tax on materials yourself under a lump-sum contract.

An undisclosed trip charge

A service call fee the customer first sees on the invoice is the one they dispute. Quote it at booking, and print it with a note on whether it was credited against the repair.

A deposit above the legal limit

In California, taking more than $1,000 or 10% up front on a home improvement job, whichever is less, breaks the down-payment rule, even for a special-order door.

No record of the safety test

If an opener is repaired and the auto-reverse is not tested and noted, there is no record of the condition the door was left in.

Invoicing Tips

  • 1Write spring specifications on the line, not just 'springs': '2 × torsion spring, 0.250 wire, 2 in. ID, 32 in.' The next technician, or the warranty claim, needs exactly that.
  • 2Quote the service call fee when the customer books and print it on the invoice, with a note if it was credited against the repair. Surprise trip charges are a common cause of complaints.
  • 3Record the safety checks on the invoice: door balance, auto-reverse and photo-eye test. It shows what condition the door was left in.
  • 4Keep parts and labor on separate lines even where your state taxes both. It makes warranty claims easier and lets the customer compare your quote with what was done.
  • 5If the customer declines a recommended part, such as new rollers or cables, note it on the invoice. It protects you if the door fails for that reason later.
  • 6Add the opener model and serial number for opener jobs, so a later warranty or replacement call starts with the right parts.

Frequently Asked Questions

What should a garage door repair invoice include?

Your business details and any licence number, the customer and service address, the invoice number and date, the door and opener details, what was wrong, the service call fee, each part with its specification and price, the labor, tax where it applies, the total and how to pay. Add the safety checks you did and your warranty on parts and labor.

Should parts and labor be listed separately?

Yes. Separate lines let the customer check the quote and make warranty claims easier. In some states they also decide the tax: in Texas, on a separated contract for a home, the materials are taxed and the repair labor is not.

Is garage door repair taxable?

It depends on the state and the property. In Texas, repair labor on a home is not taxable, while the full charge for repairing a commercial building is. Materials on a home repair are taxed either when you buy them (lump-sum contract) or on the invoice (separated contract). Other states set different rules.

Can I charge a service call fee if the customer declines the repair?

Yes, if you told the customer the fee before the visit. Put the fee on the invoice with the date and what you diagnosed, and say on the booking and the invoice whether it is credited against the repair when they go ahead.

Do I need a written estimate for a garage door repair?

It depends on where you work. In California, garage repairs on a home are home improvement, and the Contractors State License Board says a written contract is required for any home improvement project over $500, with the contractor's licence number. Even where it is not required, a written quote the customer approves heads off disputes.

How much deposit can I take for a new garage door?

Check your state. In California a home improvement down payment is capped at $1,000 or 10% of the contract price, whichever is less, with no exception for special-order doors. Bill the deposit as its own invoice and show it as received on the final one.
