HVAC Invoice Template

An HVAC invoice is also the customer's equipment record. Two years later, a warranty claim starts with the model and serial number, the install date and what refrigerant went in, and the invoice is usually the only place that has all three. This template keeps those details in their own fields, then separates the lines that decide the price and the tax: a diagnostic or trip fee, labor by the hour or as a flat price from your price book, parts by quantity, refrigerant by type and pounds added or recovered, ductwork and line-set materials, and permit fees on installations. It also has a field for the tax treatment, because the same visit can be a taxable repair, non-taxable maintenance or a capital improvement depending on the state and the work. The download is an editable HTML invoice with number, dates, a line table and totals: fill it in your browser and print or save it as PDF, or type or say what you did and InvoiceQuickly drafts an editable invoice for you to check before saving.

Recommended Payment Terms

Bill service calls and repairs on completion, and take payment before leaving where you can. For system replacements, take a deposit when the customer signs the proposal and bill the balance at startup, once the system is running and the customer has seen it work; state both amounts in the proposal. Maintenance agreements are usually billed in advance, monthly or yearly, with the visits listed on each invoice so the customer can see what the plan covered. Property managers and commercial customers pay through their own approval process: get the work order or PO number before the visit, put it on the invoice and agree net terms in writing, often net 30. Check your state's rules before taking a large deposit on residential work.

Tax Information

Sales tax on HVAC work depends on the state and on what the work is. New York: a capital improvement (it adds substantial value or prolongs the property's life, is permanently affixed and intended to be permanent) is not taxable to the customer, and the contractor should get Form ST-124 from the customer; repair and maintenance are taxable at the state rate plus the local rate, for example 8% in Albany County. Texas: labor to repair residential property is not taxable, the total charge to repair nonresidential property is taxable, and scheduled maintenance on equipment that is not broken is not taxable, though the parts are. Other states draw the line between parts and labor instead. InvoiceQuickly applies one tax percentage to the whole invoice and saves it with four decimals, so keep taxable and non-taxable work on separate invoices, or work the tax out by hand and add it as a line with the invoice rate at 0%. Your license number does not print automatically; put it in the notes or terms. General information checked on 28 October 2026, not tax advice; check with your state revenue department.

Industry context (2026)

Two federal rules shape what an HVAC invoice records. Under Section 608 of the Clean Air Act, technicians who maintain, service, repair or dispose of equipment that could release refrigerants must be certified, and venting refrigerants, including HFC substitutes, while servicing equipment is prohibited (US EPA, Section 608 pages). And under the EPA's Technology Transitions rule, new residential and light-commercial split air conditioning and heat pump systems must use a refrigerant with a global warming potential of 700 or less, unless all specified components were made or imported before 1 January 2025; components used to repair existing systems are not restricted (EPA, Technology Transitions: HFC restrictions by sector, page updated 28 August 2026). That is why refrigerant type and pounds, and the model and serial number of the equipment, belong on every invoice. Sales tax is set by each state: New York's Tax Bulletin ST-104 separates taxable repairs from non-taxable capital improvements, and Texas Publication 94-116 separates residential and commercial repair and maintenance. Worked example

Worked example (illustrative prices, not market rates): an HVAC contractor replaces a failed furnace and air conditioner at a house in Albany County, New York. The customer signed a proposal for $12,895.00 and paid a $4,000.00 deposit. Invoice INV-0412 is issued at startup. Line 1: gas furnace, model and serial number recorded, 1 × $3,450.00. Line 2: 3-ton condensing unit and matched coil, model and serial numbers recorded, 1 × $4,980.00. Line 3: installation labor, flat price, 1 × $3,200.00. Line 4: line set, pad, disconnect and materials, 1 lot × $640.00. Line 5: refrigerant R-454B added beyond factory charge, 3 lb × $75.00 = $225.00. Line 6: mechanical permit, passed through at cost, 1 × $150.00. Line 7: remove and dispose of old equipment, 7 lb R-410A recovered, 1 × $250.00. Subtotal $12,895.00. Tax $0.00, because a new system that is permanently affixed is a capital improvement in New York and the customer's Form ST-124 is on file. Total $12,895.00, less deposit received $4,000.00, balance due $8,895.00 on completion. Two years later the same customer calls about a failed capacitor: that is a repair, so the $420.00 invoice carries Albany County's 8% rate, $33.60, for a total of $453.60. Same house, same equipment, opposite tax treatment, which is why the template has a tax-treatment field.

Common mistakes to avoid

'Recharge' with no type or quantity

A refrigerant line without the refrigerant type and pounds cannot be checked by the customer or by your own records. Always write both.

Missing model and serial numbers

Without them, a warranty claim two years later starts with an argument. Record every unit you install or work on.

Taxing a capital improvement, or not taxing a repair

In states such as New York the tax depends on whether the job is an improvement or a repair. Decide per job, and keep the exemption certificate for non-taxable work.

Mixing repair and maintenance on one invoice

Where the two are taxed differently and your software applies one rate per invoice, put them on separate invoices.

Charging a new trip fee for a callback

If the visit is warranty work, say 'warranty callback, no charge' on a zero-dollar or labor-only invoice rather than billing the customer again.

Invoicing Tips

  • 1Write the refrigerant as type and pounds on its own line ('R-410A, 2 lb'). 'Recharge system' says nothing about how much went in, and it is the line customers most often question.
  • 2Record pounds recovered when you remove old equipment. It shows the refrigerant was recovered, not vented, and matches your own recovery records.
  • 3Put the model and serial number of every unit you install or repair in the equipment field, not buried in the notes. It is what the manufacturer asks for first on a warranty claim.
  • 4Say whether the diagnostic fee is credited to the repair. 'Diagnostic $89, credited if repair approved' avoids an argument at the door.
  • 5Bill warranty callbacks as a zero-dollar or labor-only invoice that says 'warranty callback'. It keeps the equipment history complete without looking like a new charge.
  • 6Note the readings you took (temperature split, static pressure, refrigerant pressures). They show what the visit found and give the next technician a baseline.

Frequently Asked Questions

What should an HVAC invoice include?

Your business details and any license number your state requires; the customer and job-site address; invoice number and date; the equipment make, model and serial number; the work done; labor, parts, refrigerant (type and pounds) and permits on separate lines; tax where it applies; deposits received; the balance due and how to pay; and your warranty terms.

How should refrigerant appear on an HVAC invoice?

As its own line with the refrigerant type and the quantity in pounds, at your price per pound. If you recovered refrigerant from old equipment, add the type and pounds recovered in the description. Technicians who handle refrigerant must be EPA Section 608 certified, and venting refrigerant while servicing equipment is prohibited.

Do HVAC contractors charge sales tax on labor?

It depends on the state. In New York, repair and maintenance are taxable but a capital improvement such as a new system is not. In Texas, residential repair labor is not taxable and commercial repair is. Some states tax only parts. Check your state's revenue department before setting up your price book.

How do I invoice a new HVAC system installation?

Quote it as a proposal, take a deposit when the customer signs, and invoice the balance at startup. List each piece of equipment with model and serial number, the installation labor, materials, refrigerant added beyond the factory charge, the permit fee and removal of the old equipment, then subtract the deposit received.

How do I bill a maintenance agreement?

Invoice the plan fee in advance for the period it covers, monthly or yearly, and list the visits included. Bill repairs found during a maintenance visit on a separate invoice, because the tax treatment of maintenance and repair can differ.

Can I still install new R-410A systems?

Under the EPA Technology Transitions rule, new residential and light-commercial split air conditioning and heat pump systems must use a refrigerant with a global warming potential of 700 or less, except systems whose specified components were all made or imported before 1 January 2025. Components used to repair existing systems are not restricted. Check EPA's current page before quoting an install.
