Yoga Instructor Invoice Template
A yoga instructor invoice depends on who is paying. A private client pays you directly for one-to-one sessions or a pack of them. A studio pays you, as a contractor, for the classes you taught or covered, sometimes with a per-head bonus or a workshop share. A company pays for a wellness series against its purchase order. And students in your own classes usually pay at booking, so they need a receipt rather than an invoice. This template covers the first three: class type (private, group, workshop), session length and count, dates and location, pack balances with an expiry date, cover classes with the teacher you replaced, and any venue rental you have agreed to pass on. Download it as an editable HTML file, fill it in your browser and print or save it as PDF. For a full month of studio invoicing with per-head pay and workshop splits, see the guide on how to invoice as a yoga instructor.

Recommended Payment Terms
Private clients normally pay before the first session of a pack; write the paid date and method on the invoice so it doubles as the receipt, and state the pack's expiry and your cancellation notice period (for example 24 hours) on it. Studios usually pay contractors monthly or per pay period in arrears: invoice on the date your agreement sets, list every class and cover, and use the studio's terms, often net 14 or net 30. Corporate series are billed against a purchase order, often net 30, monthly or at the end of the series. Put the actual due date on every invoice rather than only 'net 30'.

Tax Information
Whether yoga classes carry sales tax depends on the state and, in some states, on the venue. Washington is a clear example: the Department of Revenue's athletic and fitness facilities guidance (archived copy of April 2026) says yoga was removed from the definition of an athletic or fitness facility from 19 October 2017, and that charges for yoga, tai chi or chi gong classes at facilities that provide only those classes, or held at a community center, park, gymnasium, college, hospital, private residence or any facility not primarily used for physical fitness, are subject to the Service and Other Activities B&O tax rather than retail sales tax. Classes sold by a gym or fitness center can be treated differently, so check your own setup with the Department. Other states draw their own lines; check your state revenue department rather than a list. Mats, props or apparel you sell are goods and often taxable; InvoiceQuickly applies one tax percentage per invoice, so bill them separately from classes. General information, not tax advice. Industry context (2026)
Two official points shape yoga invoices. On tax, the Washington State Department of Revenue's athletic and fitness facilities guidance (archived copy of 19 April 2026, Internet Archive capture 20260419143435) removed yoga from the definition of an athletic or fitness facility from 19 October 2017 and lists yoga, tai chi and chi gong classes at yoga-only facilities, and at community centers, parks, gymnasiums, colleges, hospitals, private residences and facilities not primarily used for physical fitness, under Service and Other Activities B&O tax. On credentials, Yoga Alliance describes itself through its credentials and directories for teachers (RYT) and schools (RYS), with a one-time $400 application fee and a $240 annual fee per school credential listed on its credentialing page; its yoga therapy policy requires members to identify a source other than Yoga Alliance for any certification, accreditation or licensure behind yoga therapy offerings. Registration is a private credential, not a government licence. For tax forms, US studios and companies usually ask contractors for Form W-9, and the IRS 1099-NEC threshold is $2,000 for payments made in 2026. Worked example
Worked examples (illustrative rates, not market data). 1. Private pack: a teacher sells a client five 60-minute private sessions at the client's home for $90 each. Invoice INV-0063, dated 2 November 2026, due on receipt, paid 2 November by card. Line: private yoga, 60 minutes, client's home, 5 sessions valid until 31 January 2027, 5 x $90.00 = $450.00. Total $450.00, paid. Notes: '24 hours' notice to reschedule; sessions cancelled later count as used. Sessions used 0 of 5.' 2. Studio covers: the same teacher covers three classes at a yoga-only studio at the agreed cover rate of $45. Invoice INV-0064 to the studio, dated 31 October 2026, net 14 (due 14 November). Lines: 'Vinyasa 60, Tue 6 Oct 6:00 pm, cover for J. Lee', 'Vinyasa 60, Tue 13 Oct 6:00 pm, cover for J. Lee', 'Yin 75, Sun 25 Oct 5:00 pm, cover for M. Patel', each 1 x $45.00. Total $135.00, tax 0% (in Washington, yoga classes at a yoga-only studio fall under Service and Other Activities B&O, not retail sales tax). 3. Rented room: for the teacher's own Saturday class, a community-center room is rented at $35 an hour for 1.5 hours ($52.50) and students pay $18 a drop-in. Three students cover the room ($54.00); with 8 students the class takes in $144.00, leaving $91.50 before other costs. The room hire is the teacher's cost and does not appear on students' receipts.
Common mistakes to avoid
Invoicing students for studio classes
If the studio sold the class, your invoice goes to the studio. Billing students for the same class double-charges them.
Covers without names or dates
'3 sub classes: $135' cannot be checked. Give each cover its date, time, class and the regular teacher.
Packs with no expiry
Without an expiry date on the invoice, a client can ask for a session a year later. State the validity period every time you sell a pack.
Calling a registration a licence
RYT is a Yoga Alliance registry credential. Do not describe it as a licence or a government certification on invoices or in your terms.
Passing on venue costs nobody agreed to
Room hire for your own public classes is part of your price. Only add a venue line for a private or corporate booking that agreed to it in advance.
Invoicing Tips
- 1Invoice the studio, not the students, for classes you teach on the studio's schedule. Students paid the studio; you are paid by the studio under your agreement.
- 2For cover classes, write the date, time, class name and the teacher you covered for. Studios reconcile covers against the regular teacher's pay, so a vague line is the one that gets queried.
- 3Put the expiry date and sessions remaining on every private-pack invoice or receipt, and repeat the balance after each session in your notes.
- 4Price a rented room before you book it: divide the rental for the class by your drop-in price to find how many students cover it, and only then set your class size target.
- 5If you list a credential, write it as what it is: 'RYT 200 (Yoga Alliance)' is a registry credential, not a licence.
- 6Keep health information off the invoice. 'Private session, 60 minutes' is enough; injuries or conditions belong in your intake notes, not on a billing document.

Frequently Asked Questions
What should a yoga instructor invoice include?
Your name and contact details, the client, studio or company, an invoice number, the issue and due dates, the class type, session length and count, dates and location, the rate per session or pack, any per-head pay, workshop split or agreed venue cost, tax only where your state requires it, the total and how to pay. For packs, add sessions used, remaining and the expiry date.
Do I invoice the studio or the students?
If you teach on the studio's timetable and students pay the studio, invoice the studio under your teaching agreement. If you run your own classes or private sessions, students and clients pay you directly, usually at booking, and you give them a receipt or an invoice marked paid.
How do I invoice a private yoga class pack?
Bill the pack up front as one line, for example '5 private sessions, 60 minutes, at client's home, valid until 31 January 2027: 5 x $90 = $450', mark it paid, and track the balance in the notes. Sessions beyond the pack go on a new invoice.
How do I bill a studio for cover classes?
List each cover as its own line with the date, time, class and the teacher you replaced, at the rate your agreement sets for covers. Add per-head pay only if your agreement includes it, with the headcounts.
Is Yoga Alliance registration a license to teach?
No. Yoga Alliance is a private membership organisation that lists credentialed teachers (RYT) and schools (RYS) in its directory; it is not a government licensing body. Its yoga therapy policy says members offering yoga therapy must identify a source other than Yoga Alliance for any certification, accreditation or licensure behind it. Check your state and city for business licence requirements.
Do yoga teachers charge sales tax?
It depends on the state and sometimes the venue. In Washington, yoga classes at a yoga-only studio, a community center, park, private home or other facility not primarily used for fitness are subject to Service and Other Activities B&O tax rather than retail sales tax, according to the Department of Revenue. Check your own state before adding a tax line.
Can InvoiceQuickly track my private packs?
No. InvoiceQuickly does not count sessions or credits; write the balance in the invoice notes. It does record full or partial payments on every plan, and on Pro a recurring schedule can bill a fixed monthly arrangement, though the recurring form creates one line item with the saved tax rate and saved payment terms (30 days by default).
