Pilates Instructor Invoice Template

Most Pilates instructors send two kinds of invoice. As a self-employed instructor at a studio, you invoice the studio each month for the classes you taught: mat and reformer classes, cover classes for other instructors, and any studio-booked privates at your agreed rate. With your own clients, you invoice for private or duet sessions, session packs and any equipment or room hire. This template handles both: each line shows the date or period, the class type (mat, reformer, other apparatus, private, duet), the duration, the count and the rate, with fields for package discounts, cancellations under your policy and the studio or client reference. The download is an editable HTML invoice with invoice number, dates, a line-item table and totals. Fill it in your browser, then print it or save it as PDF, or describe the month in plain English and let InvoiceQuickly draft an editable invoice for you to review.

Recommended Payment Terms

For studio work, invoice once a month on the first working day for the previous month's classes, and check the studio's own payment run; many pay contractors on a fixed monthly date. For private clients, take payment for session packs before the first session and state how long a pack is valid. Put your cancellation window on the invoice or booking terms (for example 24 hours) so a late-cancellation charge refers to something the client already agreed to. Short terms such as 7 days suit private clients; studios usually set their own.

Tax Information

Self-employed Pilates instructors are responsible for their own income tax and usually their own social contributions, such as National Insurance in the UK or self-employment tax in the US. In the UK you must register for VAT if your taxable turnover for the last 12 months goes over £90,000 or you expect it to in the next 30 days, according to GOV.UK; below that, do not add VAT to your invoices unless you have registered voluntarily. In the US, a studio that pays you $2,000 or more in a calendar year for payments made after December 31, 2025 reports it on Form 1099-NEC, according to the IRS. If a studio controls when, where and how you teach, your status may be closer to employee than contractor; the IRS looks at behavioral control, financial control and the type of relationship. A template is only a layout: add any tax registration number your tax authority requires. InvoiceQuickly applies one tax percentage per invoice and copies saved business and client tax IDs to new invoice PDFs on its PDF.

Industry context (2026)

Pilates teaching is commonly done by self-employed instructors who teach at one or more studios and also run private clients, which is why invoicing splits into studio invoices and client invoices. The tax points that most often affect them are thresholds and status. In the UK, GOV.UK sets the VAT registration threshold at £90,000 of taxable turnover over the last 12 months, so most solo instructors invoice without VAT. In the US, the IRS raised the Form 1099-NEC reporting threshold to $2,000 for payments made after December 31, 2025, and its guidance on worker status weighs behavioral control, financial control and the type of relationship. A studio that sets your timetable, supplies all the equipment and pays a fixed rate per class is exercising more control than a client who books you privately, so keep your contract and invoices consistent with how you actually work.

Worked example

Worked example: Maya Collins is a self-employed Pilates instructor in Manchester who teaches at Northbank Pilates and is not VAT-registered. The rates are her agreed contract rates with this studio, not market benchmarks. On 1 November 2026 she sends invoice INV-0042 for October: group mat classes, 55 min, 8 classes at £32 = £256.00; group reformer classes, 50 min, 12 classes at £38 = £456.00; cover reformer classes for another instructor on 9, 16 and 23 October, 3 at £38 = £114.00; studio-booked private reformer sessions, 5 at £45 = £225.00. Total £1,051.00, no VAT, payable by bank transfer by the studio's contractor payment date of 15 November. Separately, she invoices her own private client for a 10-session reformer pack: 10 sessions at £65 = £650.00, less a 10% package discount of £65.00, total £585.00, paid before the first session, sessions valid for 12 weeks, 24-hour cancellation policy. Keeping the studio and private-client work on separate invoices means the studio can check every line against its timetable, and the private client sees exactly what the pack discount saved.

Common mistakes to avoid

One line for the whole month

'October classes, £1,051' forces the studio to rebuild your timetable. List class types, counts and dates so the invoice can be approved without questions.

Forgetting cover classes

Covers are easy to miss because they are not on your regular timetable. Keep a note of each one and show them as their own line.

Charging VAT before you are registered

In the UK you can only charge VAT once you are VAT-registered. Adding '20% VAT' to an invoice without a VAT number is wrong, even if you expect to register soon.

Package discounts without pack terms

A discounted 10-session pack with no expiry date or cancellation rule leads to disputes about unused sessions. Put the validity period and policy on the invoice.

Mixing studios and private clients

One invoice covering two studios, or a studio and a private client, cannot be paid by either without splitting it. Send one invoice per payer.

Invoicing Tips

  • 1Give each class its own line or group identical classes with a count and date list, for example 'Reformer, 50 min, 12 classes: 1, 3, 6, 8 Oct...'. Studios check invoices against their timetable.
  • 2Show cover classes separately from your regular timetable so the studio can recharge or reconcile them against the absent instructor.
  • 3Separate mat and reformer rates if the studio pays them differently, and say who supplied the equipment when you teach off-site.
  • 4For private session packs, show the full price, the package discount and the number of sessions, plus the expiry date of the pack.
  • 5Only charge late cancellations that your written policy covers, and name the session date that was cancelled.
  • 6Use one invoice per studio per month. Mixing several studios or private clients on one invoice slows payment.

Frequently Asked Questions

How does a Pilates instructor invoice a studio?

Send one invoice per month listing each class taught, grouped by class type with dates, duration, count and the agreed rate, plus cover classes and any studio-booked privates. Add your details, the studio's details, an invoice number, the billing period and your payment instructions.

What should a Pilates invoice for a private client include?

Your details and the client's, invoice number and date, the session type (private or duet, mat or reformer), the dates or the number of sessions in a pack, the rate, any package discount, the total, the due date and your cancellation policy.

Should mat and reformer classes be billed at different rates?

Often, yes. Reformer and other apparatus classes are usually smaller and need equipment, so many studios and instructors set a different rate for them. Whatever you agreed, show the class type on each line so the rate is clear.

Can I charge for late cancellations on a Pilates invoice?

Yes, if the client agreed to your cancellation policy in advance. Add a separate line naming the session date and the policy, for example 'Late cancellation, 14 Oct, under 24-hour policy'.

Do I charge VAT as a Pilates instructor in the UK?

Only if you are VAT-registered. Registration is compulsory once taxable turnover over the last 12 months goes above £90,000, or is expected to in the next 30 days. Most solo instructors below that level invoice without VAT.

Can I create Pilates invoices in InvoiceQuickly?
