Window Cleaning Invoice Template
A window cleaning invoice has to answer two questions a general invoice skips: what exactly was counted, and what kind of building it was. The first decides whether the client agrees with the total; the second can decide whether sales tax applies, because some states tax cleaning of commercial buildings and not homes, and a few tax window cleaning on every property. This template is built around that. You state the pricing unit once (per pane, per window or per hour), then list counts by floor or elevation, inside and outside separately, with the access method for upper floors. Screens, tracks, glass doors, skylights and hard-water stain removal get their own lines, so a one-off restoration charge is never hidden in the routine price, and a maintenance-plan visit shows its visit number. The download is an editable HTML invoice with invoice number, dates, a line table and totals: fill it in your browser and print or save it as PDF, or type or say what you cleaned and InvoiceQuickly drafts an editable invoice for you to review before saving.

Recommended Payment Terms
Homeowners usually pay on completion, by card, transfer or check, so send the invoice the same day and mark it paid when you collect. Commercial clients, property managers and HOAs normally pay on net 15 or net 30 through accounts payable: ask for the purchase order number and the billing contact before the first visit, and match each invoice to a single visit or a single month. For maintenance plans (monthly or quarterly visits), invoice each visit separately with its visit number and date rather than billing a year up front, so a skipped visit for rain or access does not need a credit later. If you charge for a lockout (no access on the booked day) or for rescheduling a lift or rope crew, put that in your quote or service agreement before the work starts.

Tax Information
Sales tax on window cleaning depends on the state and on the type of building. Florida's Department of Revenue (guide GT-800015, revision 09/22) lists window cleaning, interior or exterior, among taxable nonresidential cleaning services at the 6% state rate plus the county's discretionary sales surtax, and says charges for cleaning residential facilities, including single-family homes, apartments, condominiums and their common areas, are not taxable; providers of nonresidential cleaning must register to collect the tax. Connecticut's Department of Revenue Services lists window cleaning services among the services subject to sales and use tax. Many other states do not tax the service at all. Check the revenue department for the state where the building is, since the tax follows the location of the work. InvoiceQuickly applies one tax percentage to a whole invoice, so do not mix taxable commercial work and non-taxable residential work on one invoice: send two. Your tax ID is copied to new invoice PDFs; check the saved IDs and PDF before sending. General information, not tax advice.
Industry context (2026)
Two official rules shape how window cleaning is invoiced. Tax follows the building: Florida's Department of Revenue guide GT-800015 (revision 09/22) lists 'window cleaning (interior or exterior)' as a taxable nonresidential cleaning service and residential cleaning as not taxable, and its 2026 surtax form DR-15DSS (revision 11/25) lists each county's rate, including Orange County at 0.5% and Palm Beach County moving to a 0.5% total on 1 January 2026 after its 1% infrastructure surtax was repealed. Connecticut's Department of Revenue Services lists window cleaning services as taxable. Height changes the job: under the federal OSHA standard 29 CFR 1910.27, a building owner must tell the employer in writing that each rope anchorage can support at least 5,000 pounds per attached worker, based on annual inspection and certification at least every 10 years, and rope descent systems may not be used more than 300 feet above grade unless the employer shows other access is not feasible or is more hazardous. That is why upper-floor and rope-access lines are priced and listed separately from ground-level work. Sources: Florida Department of Revenue, Connecticut DRS (capture of 15 October 2026) and eCFR, checked 28 October 2026. General information, not tax or safety advice.
Worked example
Worked example (Florida; prices are the cleaner's own, not market data): a two-storey dental office in Orange County, quarterly maintenance plan, visit 3 of 4 on 4 November 2026, PO 5518, net 30. Line 1: exterior, ground floor, 24 windows × $6.00 = $144.00. Line 2: exterior, second floor by water-fed pole, 18 windows × $8.00 = $144.00. Line 3: interior, both floors, 42 windows × $4.00 = $168.00. Line 4: glass entry doors, both sides, 2 × $10.00 = $20.00. Line 5: hard-water stain removal, east elevation, approved on site, 1.5 hours × $60.00 = $90.00. Subtotal $566.00. Tax 6.5% (Florida 6% plus Orange County's 0.5% surtax) = $36.79. Total $602.79, due 4 December 2026. The same five lines at the practice owner's house would carry no Florida sales tax: $566.00. And the same office job in Palm Beach County changed price this year: its 1% infrastructure surtax was repealed at the end of 2025 and a new 0.5% school surtax began on 1 January 2026, so the tax line there went from 7% to 6.5%. Writing the county and building type on each invoice is what makes the tax line checkable.
Common mistakes to avoid
Charging tax by habit, or never
In Florida, the same job is taxable at an office and not at a house; in Connecticut it is taxable at both. Decide per building, not once for the whole business.
One line for the whole house
'Window cleaning, $340' gives the client nothing to check. Counts by floor, inside and outside, let them see what they paid for.
Hiding restoration work in the routine price
Hard-water stain and construction cleanup take far longer than a maintenance clean. Bill them separately so the routine price stays the same next visit.
Not recording existing damage
Scratched or etched glass found after the job is hard to prove was there before. Note it, with location, before you start.
Billing a maintenance plan a year ahead
Weather, access and lockouts move visits. Invoicing per visit with a visit number avoids credits and refunds for visits that did not happen.
Invoicing Tips
- 1Say on the invoice what a 'pane' or 'window' means for this job (a double-hung window cleaned inside and out can be two panes or four), and use the same unit as your quote.
- 2Split counts by floor or elevation. 'Exterior, 2nd floor, water-fed pole, 18 windows' answers the question a property manager will ask before they ask it.
- 3Price hard-water stain removal and post-construction cleanup (paint, labels, mortar) as separate lines, by the hour or by the window, after a test spot. They take longer than a routine clean and are the lines most often disputed.
- 4Note scratched, etched or cracked glass on the invoice or job sheet before you start, with the window location. It is your record if a client later blames the cleaning.
- 5For a commercial site, record the building type and county on the invoice. In Florida the same job is taxable at an office and not at a house, and the surtax depends on the county.
- 6On rope-access work, keep the building owner's written anchorage information with the job file; OSHA requires the employer to have it before anyone uses the anchorages.

Frequently Asked Questions
What should a window cleaning invoice include?
Your business details, the client and service address, invoice number and date, the building type, the pricing unit, counts of windows or panes by floor with inside and outside shown separately, extras such as screens, tracks, glass doors and stain removal, any tax with the rate, the total, the due date and how to pay.
Should I charge per pane, per window or by the hour?
Use the unit you quoted. Per pane or per window is easiest for the client to check against the building; hourly suits jobs you cannot count in advance, such as heavy stain removal or post-construction cleanup. Many cleaners quote routine work per window and extras by the hour.
Do I charge sales tax on window cleaning?
It depends on the state and the building. Florida taxes window cleaning at nonresidential buildings at 6% plus the county surtax, but not cleaning of homes and other residential facilities. Connecticut lists window cleaning services as taxable. Many states do not tax the service. Check the revenue department where the work is done.
How do I invoice a commercial window cleaning contract?
Invoice each visit or each month with the contract or PO number, the visit date, counts by floor or elevation, the access method used, and any extras approved on the day. Send it to the accounts-payable contact named in the contract, on the agreed terms.
How do I bill for hard-water stain removal?
As its own line, separate from the routine cleaning, by the hour or per window after a test spot, with the location ('east elevation, 6 windows'). Say on the invoice or quote if full removal was not possible because the glass is etched.
Can I create a window cleaning invoice in InvoiceQuickly?
