Swim Instructor Invoice Template
A swim instructor invoice usually bills a block of lessons rather than a single hour: so many lessons, on set days, for a named swimmer at a stated level, paid before the first lesson. Families often book more than one child, at different levels and in different lesson types, so the clearest invoice gives each swimmer their own line with the lesson type (private, semi-private or group, with the ratio), the length and the number of lessons in the block. It also states what happens when a lesson is missed, and when the pool closes for weather, a fouled pool or maintenance, which is the most common source of refund requests. This template adds those fields, plus pool entry or lane hire passed through at cost and course fees for adult certification programmes. The download is an editable HTML invoice with invoice number, dates, a line table and totals. Fill it in your browser, then print it or save it as PDF. To create and send lesson invoices from an account, InvoiceQuickly drafts an editable invoice from a typed or spoken description that you review before saving.

Recommended Payment Terms
Invoice each block before it starts and make it due before the first lesson, so places are confirmed by payment rather than by a message. Say what a missed lesson means: many instructors do not refund or replace lessons a swimmer misses, but do offer a make-up or credit when the instructor cancels or the pool closes. Write that policy on the invoice. For swim schools and aquatic centres that contract you to teach, invoice them on the schedule in your agreement, often monthly in arrears, listing the classes and hours taught.

Tax Information
If you teach as an independent contractor for a swim school, club or aquatic centre in the US, the IRS says a business that pays a non-employee for services reports it on Form 1099-NEC, with a threshold of $2,000 for payments made after December 31, 2025 ($600 before that); the form is for payments made in the course of a business, so families paying you privately for their children's lessons do not issue one. Your lesson income is taxable either way. Whether lessons are subject to sales tax depends on the state, so check with your state's revenue department before adding a tax line. In the UK, most solo instructors are below the £90,000 VAT registration threshold. A template is only a layout: add any registration number your tax authority requires. InvoiceQuickly applies one tax percentage and one discount percentage per invoice and copies saved business and client tax IDs to new invoice PDFs on its PDF. This is general information, not tax advice. Last reviewed October 2026.
Industry context (2026)
Swim lessons are mostly sold to parents, and safety is the reason many families book them. The US Centers for Disease Control and Prevention says that more children ages 1 to 4 die from drowning than from any other cause, and that formal swimming lessons can reduce the risk of drowning (CDC drowning prevention page, September 2025). For instructors, the business set-up is usually one of two: teaching privately and invoicing families, or teaching for a swim school, club or aquatic centre as an employee or contractor. Contractors invoice the school; in the US, the IRS raised the Form 1099-NEC reporting threshold to $2,000 for payments made after December 31, 2025, so a school paying a part-time instructor less than that in a year may no longer issue a 1099-NEC, although the income remains taxable.
Worked example
Worked example (hypothetical; rates are this instructor's own, not market benchmarks): Jordan Reyes, a self-employed swim instructor, teaches at a community aquatic centre. On 1 July 2026 Jordan invoices the Okafor family for a summer block, INV-0088, due before the first lesson on 7 July. Line 1: Mia Okafor, age 5, beginner (water confidence), private 1:1, 30 minutes, Tuesdays and Thursdays 7 July to 13 August, 12 lessons at $45 = $540.00. Line 2: Leo Okafor, age 8, stroke development level, semi-private 1:2, 45 minutes, Saturdays 11 July to 15 August, 6 lessons at $35 per swimmer = $210.00. Subtotal $750.00; sibling discount 10% = -$75.00; total $675.00. No sales tax line is added in this example; Jordan checked the state's rules first, and the answer can differ elsewhere. Notes: 'Lessons cancelled by the instructor or the pool are made up or credited. Lessons missed by the swimmer are not refunded.' On 16 July the pool closes for a thunderstorm and Mia's lesson is cancelled. Jordan schedules a make-up on 15 August and, when invoicing the autumn block, adds a note: 'Make-up for 16 July lesson given 15 August; no credit due.' The family can see exactly what each child's block cost and why no refund was owed.
Common mistakes to avoid
One total for the whole family
'Swim lessons, $675' leaves parents unable to see what each child's block cost or which lessons a credit applies to. Use one line per swimmer and lesson type.
No pool-closure policy
Outdoor pools close for storms and indoor pools close for maintenance. Without a written rule, every cancelled lesson becomes a refund negotiation.
Billing after the block
Invoicing at the end of a block means teaching on credit and chasing families who dropped out. Bill before the first lesson.
Charging pool fees twice
If lane hire is built into your rate, a separate pool-fee line double-charges. Choose one approach and keep it consistent.
No dates on the block
Without lesson dates, a missed or cancelled lesson cannot be identified later. Put the block dates and days on every invoice.
Invoicing Tips
- 1Give each child their own line, with name, level and lesson type. Parents with two swimmers at different levels want to see what each block costs.
- 2Put the ratio on group lines ('group, 1:4'). Families compare private and group prices, and the ratio explains the difference.
- 3Write the block dates and days ('Tuesdays and Thursdays, 7 July to 13 August') so a missed or cancelled lesson can be identified by date.
- 4State the pool-closure rule in one line: 'Lessons cancelled by the instructor or the pool are made up or credited; lessons missed by the swimmer are not.'
- 5Pass pool entry or lane hire through at cost on its own line, or build it into your rate. Do not do both.
- 6For a swim school that contracts you, list classes by date and level with hours taught, and quote their contractor reference.

Frequently Asked Questions
What should a swim lesson invoice include?
Your details and the payer's, an invoice number and dates, one line per swimmer with level, lesson type and ratio, lesson length and number in the block, block dates, any pool or lane fees, discounts, the total, how and when to pay, and your missed-lesson and pool-closure policy.
Should swim lessons be paid in advance?
Most instructors bill a block before the first lesson, because a booked place cannot be resold once the block starts. Make the invoice due before the first lesson and say how long a place is held without payment.
How do I invoice private and group swim lessons on one invoice?
Use separate lines: one for each swimmer and lesson type, with the ratio and the per-swimmer price. A family with a child in private lessons and one in a semi-private class gets two lines, each with its own quantity and rate.
What happens to lessons cancelled by weather or pool closure?
Whatever your written policy says. A common approach is to make up or credit lessons cancelled by the instructor or the pool, but not lessons the swimmer misses. Put the policy on the invoice and note any make-up dates when you bill the next block.
Do I get a 1099-NEC as a swim instructor?
If you are an independent contractor and a swim school or other business pays you $2,000 or more in a calendar year for payments made after December 31, 2025, the IRS says that business reports the payments on Form 1099-NEC. Parents paying privately for their children's lessons do not issue one, but the income is still taxable.
Can I invoice swim lessons in InvoiceQuickly?
Yes. Describe the block, swimmers and rates, and InvoiceQuickly drafts an editable invoice you review before saving. Each invoice takes one discount percentage, which suits a sibling discount on the whole block. Pro can repeat invoices on a weekly, monthly, quarterly or yearly schedule, but each schedule creates a single line with the saved discount rate, so a family block with several swimmers is easier to duplicate from last term's invoice. Free includes 5 invoices and 3 AI drafts; Pro is $9 a month.
