Sprinkler System Invoice Template

A sprinkler system invoice has to explain work the client mostly cannot see: a leak found under the lawn in zone 3, three heads replaced in zone 5, a controller reprogrammed, a backflow assembly tested. This template is built around that. It lists the service type (design, installation, spring start-up, repair, winterization), the service address, each zone and what was done there, labor hours apart from parts, the controller and any sensors, backflow test details and fees paid to a water utility or permit office for the client. Keeping labor and materials on separate lines also matters for sales tax, because some states tax them differently. The download is an editable HTML invoice with invoice number, dates, a line-item table and totals. Fill it in your browser, then print it or save it as PDF, or describe the job to InvoiceQuickly by typing or speaking and review the drafted invoice before you save it.

Recommended Payment Terms

Homeowner service calls (start-ups, repairs, winterization blowouts) are usually due on completion or within 7 to 14 days, because the client is often not home and the invoice is the only record of what was done. For a new system or a large retrofit, agree a deposit and a final payment on completion in the written contract, and bill each as its own invoice; where state law caps deposits on home improvement work, follow that cap. Commercial and HOA clients commonly pay monthly or net 30 against a maintenance agreement, so put their agreement or purchase order number on every invoice. If you sell an annual service plan (start-up, mid-season check, winterization), say whether it is billed up front or per visit, and list any repairs found during a plan visit as separate, priced lines.

Tax Information

Sales tax on irrigation work depends on the state and on whether the job is new installation, repair or scheduled maintenance, and residential or nonresidential. Texas is a worked case: under Texas Comptroller publication 94-116 (Real Property Repair and Remodeling), a contractor repairing or remodeling residential property can use a lump-sum contract (pay tax on materials when buying them and charge the customer no tax) or a separated contract (collect state and local tax on the separately stated materials charge, while the construction labor is not taxable). Repair and remodeling of nonresidential property is taxable on the total charge, and scheduled, periodic maintenance of property that is not broken is not taxable, although parts used are. Other states follow different rules, so check your own revenue department. InvoiceQuickly applies one tax percentage to the whole invoice after any discount, so it cannot tax the parts lines and leave the labor lines untaxed on the same invoice; see the worked example for two ways to handle that. It also copies your saved tax ID into new invoice PDFs; keep professional licence details in the notes, so put them in your business address block or the notes.

Industry context (2026)

Irrigation is unusual among home services because some states regulate it directly. In Texas, the Texas Commission on Environmental Quality licenses irrigators, and 30 Texas Administrative Code section 344.71 requires written estimates, proposals, bids and invoices for installing or repairing an irrigation system to include the irrigator's name, license number, business address and phone number together with a notice that irrigation in Texas is regulated by the TCEQ. Section 344.70 also requires the license number on all advertising and on work vehicles. Clients also have water costs in mind: the US Environmental Protection Agency's WaterSense programme says homes with clock-timer irrigation systems use about 50 percent more water outdoors, and that a system with cracked pipes or broken heads could waste up to 25,000 gallons and $280 over a six-month irrigation season (Sprinkler Spruce-Up page, updated 9 March 2026). That is why an invoice that names the zone, the fault and the fix is worth more to the client than a single service total. Backflow testing rules are set locally by water utilities, so check yours for test frequency, tester certification and report filing.

Worked example

Worked example (illustrative rates, not market data): a licensed irrigation contractor in Texas does a spring start-up at a house with a 6-zone system and finds two problems. Labor lines: spring start-up, controller check and run-through of all 6 zones, flat $95.00; zone 3, locate and repair lateral line leak at front bed, 1.5 hours × $85 = $127.50; zone 5, replace three broken 4-inch pop-up spray heads, 0.5 hours × $85 = $42.50. Labor total $265.00. Parts lines: 3 × 4-inch pop-up spray body with nozzle at $14.50 = $43.50; repair coupling, fittings and solvent = $18.40. Parts total $61.90. The contractor uses a separated contract, so under Texas Comptroller publication 94-116 tax is due on the materials charge only: at a client address where the combined state and local rate is 8.25%, that is $61.90 × 8.25% = $5.11, and the job total is $265.00 + $61.90 + $5.11 = $332.01. Because InvoiceQuickly applies one tax rate to a whole invoice, the contractor either issues two invoices (labor $265.00 at 0%, parts $61.90 at 8.25% = $67.01) or works on a lump-sum basis, paying tax on parts when buying them and charging the client no tax on one invoice of $326.90. The business address block carries the license number in the 'LI' format the TCEQ uses, and the notes carry the TCEQ notice, the warranty on the repair and an unfixed item: 'Zone 6 valve slow to close, replacement quoted at $165.'

Common mistakes to avoid

One 'sprinkler service' total

A single line hides whether the money went on labor, parts or a call-out, and the client cannot tell a start-up from a repair. Split the visit into a flat start-up line and one line per repair, with the zone number.

Parts and labor merged

Where a state taxes materials and labor differently, a merged line forces you to tax everything or nothing. Itemize parts at their charge and labor as hours times rate, then apply your state's rule.

Leaving off the license and notice

In Texas, invoices for installation and repair must show the irrigator's license number and the TCEQ notice. Add them to the business block or notes so they appear on every invoice, not just the contract.

Vague winterization

'Winterized system' gives the client nothing to check if a pipe bursts in January. List the zones blown out, the date, and what was done to the backflow assembly and controller.

Repairs found but not quoted

Mentioning a failing valve verbally and fixing it later without approval leads to disputes. Put the problem and its price in the notes, and bill it only once the client approves.

Invoicing Tips

  • 1Write the zone number on every repair line ('Zone 3: repair lateral line leak at front bed'). The client can walk the yard and see the work, and next season's technician knows the system's history.
  • 2Separate labor from parts even when you quote a flat price to the homeowner. It answers the 'why did a start-up cost $330?' question and lets you apply your state's tax rule to materials.
  • 3Say exactly which winterization steps you performed: controller set to off or rain mode, backflow drained or insulated, lines blown out by zone with compressed air. 'Winterization' alone means different things to different contractors.
  • 4For backflow tests, record the assembly make, size and serial number, the pass or fail result and your tester certification number, and note whether you filed the report with the water utility and charged a filing fee.
  • 5Put your license number and any state-required notice in the business address block or notes so they print on every invoice, not only on the contract.
  • 6List problems you found but did not fix, with a price, at the end of the invoice ('Zone 6 valve slow to close: replacement quoted at $165'). It turns an inspection into approved work instead of a later dispute.

Frequently Asked Questions

What should a sprinkler or irrigation invoice include?

Your business name, address, phone and license number if your state licenses irrigators, the client and service address, invoice number and dates, the service type, then one line per zone or task with labor hours and rate, separate lines for parts, any fees paid for the client, the tax rate if one applies, the total and how to pay. Add warranty dates for installation or repair work, and any notice text your state requires.

How do I bill a spring start-up that turns into repairs?

Bill the start-up as one flat line, then add each repair found during the visit as its own line with the zone, labor time and parts. If you agreed to call the client before repairs over a set amount, note the approval ('approved by phone 14 April') on the line. This keeps the base start-up price recognisable from year to year.

Should winterization be billed per zone or as a flat fee?

Either works if the invoice states what was included. Many contractors charge a flat fee up to a stated number of zones and an extra amount per additional zone, because blowing out each zone takes compressor time. Whatever you choose, list the number of zones serviced so the price can be checked.

Do I charge sales tax on sprinkler repairs?

It depends on your state and the type of job. In Texas, for residential repair under a separated contract the contractor collects tax on the materials charge and the labor is not taxable, while nonresidential repair is taxable on the full charge (Texas Comptroller publication 94-116). Other states differ, so check your revenue department before setting a rate.

Does my irrigator license number have to be on the invoice?

In Texas, yes for installation and repair work: 30 Texas Administrative Code section 344.71 requires written estimates, proposals, bids and invoices to show the irrigator's name, license number, business address and phone number, plus a notice that irrigation in Texas is regulated by the TCEQ. Other states have their own licensing rules, and some have none, so check yours.
