Land Surveyor Invoice Template

A land surveyor invoice should let a homeowner, title company or developer see what the survey fee paid for: records research, field crew time, monuments set, office calculations and drafting, the licensed surveyor's review, and any fees paid to the county on the client's behalf. This template separates those lines and adds the references survey clients ask for: the survey type (boundary, topographic, ALTA/NSPS land title, construction staking), the property address and parcel number or legal description, acreage, and for ALTA/NSPS surveys the optional Table A items that were ordered. The download is an editable HTML invoice with invoice number, dates, a line-item table and totals. Fill it in your browser, then print it or save it as PDF, or create the invoice in InvoiceQuickly from a typed or spoken description of the job and review the draft before saving.

Recommended Payment Terms

Residential boundary surveys are often billed on delivery of the signed plat, with a retainer taken at booking, because the client is usually a one-time customer. Title companies, lenders and developers commonly pay net 30 and may pay at closing for ALTA/NSPS surveys ordered for a transaction, so put the closing or file number on the invoice. For staking and multi-visit construction work, bill each visit or each month. State on the invoice that county recording fees and other pass-through costs are included at cost.

Tax Information

Whether surveying services are subject to sales tax is decided by each state, so check your own state's rules before adding a tax line. Show recording fees paid to the county as reimbursed costs on their own line; how reimbursements are taxed also depends on the state. In the US, an individual surveyor working as an independent contractor for a business client may be asked for Form W-9, and the IRS 1099-NEC filing threshold is $2,000 for payments made after December 31, 2025. A template is only a layout: add your license number, firm registration and any other details your state board or tax authority requires. InvoiceQuickly applies one tax percentage per invoice to the discounted subtotal and copies saved business and client tax IDs to new invoice PDFs, so put registration details in the notes.

Industry context (2026)

The ALTA/NSPS Land Title Survey is widely used in US commercial real estate transactions and is defined by Minimum Standard Detail Requirements published jointly by the American Land Title Association and the National Society of Professional Surveyors. According to ALTA, the current 2026 standards took effect on February 23, 2026 and replace the 2021 version for surveys commenced on or after that date. They keep the structure of a required core survey plus optional Table A items, which the client, title insurer or lender selects and which are often priced individually. That is why survey invoices for commercial transactions should list the Table A items ordered: the title company checks the invoice and the survey against the same order. Residential boundary, topographic and staking work follows the minimum technical standards set by each state's law or licensing board.

Worked example

Worked example: Cedar Ridge Surveying invoices a homeowner for a boundary survey of a 0.62-acre residential lot before a fence is built. The rates are the firm's own contract rates for this job, not market benchmarks. Invoice INV-0154 lists the property address and parcel number, then: deed, plat and records research, 3.0 hours at $95 = $285.00; two-person field crew with GNSS and total station, 6.5 hours at $185 = $1,202.50; boundary monuments set, 4 x 5/8 in. iron rod with plastic cap at $45 = $180.00; office calculations and CAD drafting of the plat, 5.0 hours at $110 = $550.00; licensed surveyor review and signature, 1.5 hours at $150 = $225.00; county recording fee for the record of survey, at cost, receipt attached, $48.00; travel, 64 miles at the contract rate of $0.70 = $44.80. Total $2,535.30, due on delivery of the signed plat, with no sales tax line because this firm's state does not tax surveying (check yours). If the client paid a $500 retainer at booking, the invoice shows 'Less retainer received $500.00, balance due $2,035.30'. Separating field time from office time answers the client's most common question: why a survey that took one day on site costs more than one day's crew rate.

Common mistakes to avoid

One lump-sum 'survey fee'

A single line hides what drove the cost. Split research, field, office, review and pass-through costs, so an over-estimate can be explained line by line.

No parcel or file reference

Without the parcel number, legal description reference or title file number, title companies and lenders cannot match your invoice to their order, and payment at closing is delayed.

Recording fees mixed into the fee

Folding county fees into your professional fee makes your price look higher and can complicate sales tax treatment. Show them at cost on their own line.

Unlisted Table A items

On ALTA/NSPS surveys, items added after the original order should be invoiced explicitly, with a reference to the written request, so they are not treated as included.

Ignoring extra work found in the field

Missing corners, conflicting deeds or heavy vegetation add hours. Note the condition and the client's approval on the invoice line rather than absorbing it or surprising the client with a higher total.

Invoicing Tips

  • 1Put the parcel number or legal description reference on every invoice. Surveying firms often have several jobs on the same street or subdivision.
  • 2Separate field and office time. Clients understand a field crew day; they question a single 'survey fee' that doubled from the estimate.
  • 3List each ALTA/NSPS Table A item that was ordered as its own line or in a note, so the title company and lender can match the invoice to the survey they requested.
  • 4Show monuments set with count and type, for example '4 x 5/8 in. iron rod with plastic cap'. They are a physical deliverable the client can see on site.
  • 5Pass recording fees through at the county's amount with the receipt, and say so on the line.
  • 6Reference the signed proposal or engagement letter, especially when unexpected conditions such as missing corners or conflicting deeds added hours.

Frequently Asked Questions

What should a land surveyor invoice include?

Your firm details and license number if your state requires it, the client, invoice number and dates, survey type, property address and parcel reference, then separate lines for research, field crew time, monuments, office work and plat preparation, surveyor review, recording fees and travel, followed by the total and payment instructions.

Do surveyors charge a fixed fee or by the hour?

Both are common. Standard residential boundary surveys are often quoted as a fixed fee, while complex sites, construction staking and research-heavy jobs are billed by crew hour and office hour. Even with a fixed fee, listing the components on the invoice helps the client see what changed if extra work was needed.

What are ALTA/NSPS Table A items?

Table A is the list of optional items a client can add to an ALTA/NSPS Land Title Survey, such as additional mapping or information requested by the title insurer or lender. The 2026 ALTA/NSPS standards took effect on February 23, 2026, replacing the 2021 version. Because Table A items are ordered individually, list the ones you performed on the invoice.

Should recording fees be on the survey invoice?

Yes, when you paid them for the client. Show them as a separate pass-through line at the amount the county charged, with the receipt, so they are not mistaken for part of your professional fee.

When should a surveyor send the invoice?

Most residential surveys are invoiced when the signed plat or survey is delivered, with any retainer shown as already paid. For surveys ordered for a property closing, send it to the title company with the file number before closing. For staking and ongoing construction support, invoice per visit or monthly.
