Home Inspector Invoice Template
A home inspection invoice has to tie a fee to one property, one client and one inspection agreement, because the person paying is not always the person the report is for. This template starts with the inspected address, the client named on the agreement and, if different, the payer (a relative, an agent or a relocation company). The base fee is one line that shows how it was set, usually a square-footage tier plus any age or foundation adjustment, and each ancillary test sits on its own line: radon, sewer scope, wood-destroying insect (termite) report, pool or spa, outbuildings. That split matters because ancillary tests often have their own licence holder, their own timeline (a radon device stays in the house at least 48 hours) and their own report. The invoice also states when payment is due and how that links to report delivery, which some states regulate. The download is an editable HTML invoice with invoice number, dates, a line-item table and totals. Fill it in your browser and print it or save it as PDF, or type or say what you inspected and InvoiceQuickly drafts an editable invoice for you to check before saving.

Recommended Payment Terms
Most home inspections are paid at the inspection or before the report is released, not on net 30 terms, because the buyer needs the report inside an option or contingency period and the inspector has no ongoing relationship to chase payment through. Write the rule into your inspection agreement and repeat it on the invoice: 'Due on completion of inspection' or 'Payment in full due before report release'. Check your state's rules before you tie report delivery to payment. In Texas, 22 Tex. Admin. Code §535.222 requires the inspector to deliver the report within two days of receiving payment in full, or within two days of completing the inspection if payment in full was received beforehand, unless the client agrees otherwise in writing. Other states set their own rules or none, so do not assume the Texas wording applies where you work. If an agent or relative pays, the invoice can be addressed to them, but the report still goes to the client: TREC's guidance says a third party paying does not change who the client is. For reinspections, issue a new invoice rather than editing the original.

Tax Information
Whether a home inspection fee is subject to sales tax is a state question, and the answer can differ between the inspection itself and add-ons such as pest work, so check your state revenue department rather than charging tax by habit or leaving it off by habit. If you subcontract an ancillary test (for example a sewer scope or a termite report from a licensed pest company), decide whether you resell it on your invoice or the subcontractor bills the client directly, and keep that consistent with your agreement. A home inspection paid by a homebuyer is a personal payment, so it generally does not trigger Form 1099-NEC reporting; a relocation company or investor paying for its business may ask you for Form W-9. InvoiceQuickly applies one tax percentage to the whole invoice and copies your saved tax ID into new invoice PDFs; keep professional licence details in the notes, so put your licence number in the notes. Industry context (2026)
Home inspectors are counted by the U.S. Bureau of Labor Statistics within construction and building inspectors: 153,900 jobs in 2025 with a median wage of $74,690, and the BLS notes that most states require home inspectors to follow defined trade practices or hold a state-issued licence or certification, with requirements that can include experience, insurance and an exam (Occupational Outlook Handbook, page modified 27 August 2026). The BLS does not publish home inspection fees, and this page does not quote market rates. Two official rule sets show why the invoice needs more than one line. In Texas, 22 Tex. Admin. Code §535.222 links report delivery to payment (two days from payment in full, or from completion if paid in advance), and 4 Tex. Admin. Code §7.175 requires wood-destroying insect inspections for real estate reports to be performed by a licensed applicator or technician in the termite category. The U.S. Environmental Protection Agency recommends fixing a home at 4 pCi/L of radon or more and says any radon test should run at least 48 hours, which is why a radon line often has its own collection date. Checked 28 October 2026; general information, not legal advice.
Worked example
Worked example (illustrative fees from one inspector's own price list, not market data): a Texas inspector carries out a buyer's inspection of a 2,350 sq ft single-family house built in 1978 on a pier-and-beam foundation. The buyer is the client; the buyer's parent pays. Invoice HI-0312 is dated 4 November 2026, addressed to the parent, with the note 'Client: buyer named on inspection agreement IA-0312'. Line 1: home inspection, 2,001 to 2,500 sq ft tier, 1 × $425.00. Line 2: pre-1980 and crawlspace adjustment, 1 × $75.00. Line 3: radon test, continuous monitor, placed 4 November and collected 6 November, 1 × $150.00. Line 4: sewer scope, main line from exterior cleanout, 1 × $175.00. Line 5: wood-destroying insect report on the Texas Department of Agriculture form, by the company's licensed technician (licence number in notes), 1 × $85.00. Subtotal $910.00; tax 0% in this example, after the inspector checked their state rules (do the same for yours); total $910.00. The parent pays $910.00 by card on site on 4 November, so the invoice shows 'Paid in full 4 November 2026, balance $0.00'. Because payment in full was received before the inspection was finished, the Texas two-day clock runs from completion, so the main report is due by 6 November; the radon result follows when the device is collected that day. Had the parent paid on 9 November instead, the report would be due by 11 November. The radon line also shows why add-ons are separate: if the seller had refused access for a second visit, only line 3 would change.
Common mistakes to avoid
One lump-sum fee
'Home inspection and tests: $910' hides what was done. If the radon test is cancelled or the termite report is billed by a pest company instead, you cannot adjust a single line.
Invoicing the wrong party as the client
When an agent or relative pays, the invoice can go to them, but the client on the agreement and the report is still the buyer or seller. Name both.
Assuming you can withhold the report
Whether and how report delivery can depend on payment is set by state rules and your agreement. Check your state before writing 'report released on payment'.
Billing a test you are not licensed for
Some ancillary tests need their own licence, such as wood-destroying insect reports in Texas. Bill them under the licence holder, and show that licence number.
Editing the invoice for a reinspection
A reinspection is a new service on a new date. Give it a new invoice number that references the first inspection.
Invoicing Tips
- 1Name the property on every invoice line block or in the header, with unit numbers for condos. Two inspections for the same agent in one week are easy to mix up.
- 2Show how the base fee was set: '2,001 to 2,500 sq ft tier, built 1978'. A buyer comparing quotes can see why yours differs from a flat-rate competitor.
- 3Put each ancillary test on its own line with what it covers ('Sewer scope, main line from exterior cleanout'). If one test is cancelled or rescheduled, you can adjust one line without reworking the invoice.
- 4Add your state licence number to the notes, and the licence holder for any test that needs a separate licence, such as a wood-destroying insect report in Texas.
- 5Record the payment on the invoice the day it is received. Where report delivery is tied to payment, that date starts the clock.
- 6Agree your cancellation and trip-fee policy in the inspection agreement first, then bill it as its own line if a seller does not provide access.

Frequently Asked Questions
What should a home inspection invoice include?
Your business name, contact details and licence number, the client's name, the payer if different, the inspected address, the inspection date, a unique invoice number, the base inspection fee and how it was set, each ancillary test on its own line, any trip or reinspection fee, tax if your state requires it, the total, the payment status and how to pay.
When should a home inspector get paid?
Usually at the inspection or before the report is released, and the agreement should say which. Some states regulate the link between payment and delivery. In Texas, the report must be delivered within two days of payment in full, or within two days of the inspection if payment was received in advance, unless the client agrees otherwise in writing.
Can a home inspector hold the report until the invoice is paid?
It depends on your state and your agreement. The Texas rule starts the two-day delivery clock when payment in full is received, so the report is due after payment rather than before it. Check your own state's licensing rules and say clearly in the inspection agreement when the report will be released.
Who is the client if the buyer's agent pays for the inspection?
Under Texas Real Estate Commission rules the client is the buyer or seller the inspection is for, and someone else paying does not change that. You can invoice the payer, but name the client on the invoice and deliver the report to the client.
Should radon, sewer scope and termite inspections be separate lines?
Yes. They have different scopes, timelines and sometimes different licence holders. A radon test runs at least 48 hours under EPA guidance, and in Texas a wood-destroying insect report must be done by someone licensed by the Texas Department of Agriculture. Separate lines show the client exactly what was done and make changes easy.
How do I invoice a reinspection?
Issue a new invoice with its own number that references the original inspection date and report, the items rechecked and the reinspection fee. Do not edit or reuse the original invoice.
