Netherlands Invoice Template (BTW and KvK)
A layout for a Dutch-established, VAT-registered business invoicing other businesses. On top of the usual invoice number, dates, parties and line items, it has fields for the details the Belastingdienst (Netherlands Tax Administration) lists as required: your btw-identificatienummer, your KvK number, the customer's full address, the delivery date or period, the amount excluding VAT per rate, the rate and the VAT amount in euros. There is also a field for scheme wording such as 'btw verlegd' or a KOR statement. The download is an editable HTML file: fill it in your browser, then print it or save it as PDF. It is a layout, not a certified or e-invoice document. Whether an invoice meets Dutch rules depends on what you enter, so check the Netherlands invoice requirements guide before you send it. It is not suitable for Dutch central government, which requires Peppol e-invoices.

Recommended Payment Terms
Dutch tax rules set when the invoice must be sent, not when it must be paid: the Belastingdienst says to send it no later than the 15th day of the month after the month you delivered. Work done in October 2026 is invoiced by 15 November 2026. The payment term is a commercial matter, so put the term you agreed with the customer in your contract or quotation and print the resulting due date on the invoice, for example 'Payment within 30 days, by 30 November 2026'. If you sell to consumers or have specific late-payment questions, check the rules that apply to your contract with an adviser.

Tax Information
The Netherlands has three VAT (btw) rates: 21% general, 9% reduced (a defined list that includes food, medicines and books) and 0% (mainly goods supplied to other EU member states). Show the amount excluding VAT and the VAT separately for each rate, and the VAT amount in euros even if the invoice is in another currency. For reverse-charged supplies, show no VAT, write 'btw verlegd' and add the customer's VAT identification number. Under the small-business scheme (KOR), show no VAT and state that you use the kleineondernemersregeling. If you create invoices in InvoiceQuickly instead of this template, note that it applies one tax rate per invoice, prints the label 'Tax' rather than 'btw', and copies your saved tax ID into new invoice PDFs; add the KvK number in the notes, so type them into the notes. It has no Peppol or other e-invoice output.
Industry context (2026)
Three dated changes matter for Dutch invoicing in 2026. First, Dutch central government already requires e-invoices from its suppliers and accepts them over Peppol; the government business portal Ondernemersplein says a PDF does not count. Second, on 21 September 2026 Digitale Overheid reported that the cabinet wants compulsory e-invoicing and e-reporting for businesses from 1 July 2030, in line with the EU's VAT in the Digital Age package, with the bill expected in parliament before summer 2027. Until then a PDF remains a valid business-to-business invoice if the customer agrees to electronic invoices. Third, the small-business scheme (KOR) turnover limit is €20,000 per calendar year, measured over the year you register and the year before, according to the Belastingdienst. Worked example
Sanne de Vries runs a VAT-registered web development eenmanszaak in Utrecht (not in the KOR) and invoices Havenlicht B.V. in Rotterdam for October 2026. Header: invoice SDV-2026-041, issue date 31 October 2026, due date 30 November 2026. Your VAT identification number: NL001234567B01. KvK number: 12345678 (both illustrative). Customer's full address: Wilhelminakade 50, 3072 AP Rotterdam. Delivery period: 1 to 31 October 2026. Line 1: website maintenance, 24 hours at €85.00 = €2,040.00. Line 2: landing page build, fixed price = €680.00. Amount excluding VAT at 21%: €2,720.00. VAT 21%: €2,720.00 × 0.21 = €571.20. Total: €3,291.20. Customer's VAT number and scheme wording: left blank, because this is a domestic supply at the standard rate. Sanne must send the invoice by 15 November 2026. If the customer were a VAT-registered Belgian company buying the same services, the VAT line would show no amount, the scheme wording field would read 'btw verlegd' and the customer's Belgian VAT number would go in its field, after Sanne confirms the reverse charge applies.
Common mistakes to avoid
Printing the omzetbelastingnummer instead of the btw-id
Sole traders have two numbers. Customers need the btw-id (NL...B..). The omzetbelastingnummer is for dealings with the Belastingdienst and, for sole traders, contains the citizen service number.
Leaving out the delivery date
The delivery date or period is a separate required detail. An invoice dated 31 October for work done throughout October should say so.
Invoicing after the 15th of the following month
The Belastingdienst deadline is the 15th day of the month after delivery. Late invoices do not move the VAT to a later return; you still declare it in the period when the invoice was due.
Showing VAT under the KOR
The Belastingdienst says a KOR business puts no VAT on its invoices. State that you use the kleineondernemersregeling instead.
Blending 9% and 21% into one VAT line
The amount excluding VAT and the VAT must be shown for each rate. One combined VAT figure for mixed-rate goods does not meet the requirement.
Emailing a PDF to central government
The Rijksoverheid requires e-invoices. The government business portal says a PDF by email is not an e-invoice.
Invoicing Tips
- 1Put your btw-id (NL, nine digits, B, two digits) on the invoice, not your omzetbelastingnummer. For sole traders the omzetbelastingnummer contains the citizen service number and is meant only for the Belastingdienst.
- 2Add your 8-digit KvK number. KVK says the law requires it on invoices, quotations, letters, your website and business emails.
- 3Give the customer's full street address in the Bill to field. The Belastingdienst says a P.O. box on its own is not enough.
- 4Fill in the delivery date or period even when it is close to the invoice date. The Belastingdienst treats it as a separate required detail.
- 5Use one numbering series, or several clearly separated ones, and never reuse a number. A prefix per year, such as SDV-2026-041, keeps series easy to audit.
- 6If an order mixes 9% and 21% items, show a separate subtotal and VAT amount for each rate rather than one blended VAT figure.
- 7Agree with your customer that you invoice by email. Dutch rules allow electronic invoices only with the customer's consent.
- 8Keep each invoice for 7 years (10 years for real estate) in the form you sent it.

Frequently Asked Questions
What must be on an invoice in the Netherlands?
The Belastingdienst lists: your and your customer's full names and addresses, your VAT identification number, your KvK number if registered, the invoice date, a sequential invoice number, what you supplied and how much, the delivery date, the amount excluding VAT per rate with unit prices where relevant, the VAT rate and the VAT amount.
Is a KvK number required on Dutch invoices?
Yes, for registered businesses. The Belastingdienst includes the KvK number in its invoice requirements, and KVK says the law requires it on invoices, letters, quotations, websites and business emails. Associations and foundations without commercial activities, owners' associations, public bodies and religious communities are exempt.
When must I send an invoice in the Netherlands?
No later than the 15th day of the month after the month in which you delivered the goods or services.
Can I use this template for a simplified invoice under €100?
Yes. For invoices of €100 or less including VAT, the Belastingdienst requires fewer details: issue date, your name and address, what you supplied and the VAT amount or the details to calculate it. Leave the extra fields blank. Simplified invoices are not allowed for intra-Community supplies or distance sales.
Does this template work for the KOR small-business scheme?
Yes. Under the KOR you charge no VAT and do not have to issue invoices at all. If you do issue one, leave the VAT at zero and use the scheme wording field to state that you use the kleineondernemersregeling.
Can I send this invoice to a Dutch government body?
Not to central government. Suppliers to the Rijksoverheid must send an e-invoice over the Peppol network, and the government's business portal says a PDF is not an e-invoice. Some municipalities, provinces and water boards ask for e-invoices too. Use e-invoicing software or the government's Leveranciersportaal instead.
What file format is the download?
An editable HTML file. Open it in your browser, click into the bracketed fields to fill them in, then print it or save it as PDF from the print dialog. Totals are not calculated automatically.
Can InvoiceQuickly create Dutch invoices?
It can create English-language PDF invoices in euros with one VAT rate per invoice, sequential numbering and your notes. It copies your saved tax ID into new invoice PDFs; add the KvK number in the notes, so you type them into the notes, and it cannot put 9% and 21% on the same invoice or produce Peppol e-invoices.
