Freelance Invoice Template

A freelance invoice asks a client to pay for work you did as an independent business, so it has to stand on its own: who you are, who is paying, what was delivered and when, how the amount was worked out, when it is due and how to pay. Most freelance invoices mix three kinds of line, and this template keeps them apart: the agreed fee for the project (one line, with the proposal it came from), extras outside that scope (each on its own line as hours times rate), and costs you paid on the client's behalf (at what you paid, with a receipt reference). It also has the fields that decide whether a larger client pays on time: a purchase order number, the accounts-payable contact, the date or period of the work and your payment details. The download is an editable HTML invoice with invoice number, dates, a line-item table and totals. Fill it in your browser and print it or save it as PDF, or type or say what you did and InvoiceQuickly drafts an editable invoice for you to check before saving.

Recommended Payment Terms

Net 14 and net 30 are the most common freelance terms; 'due on receipt' suits small one-off jobs. Pick one, write it in your contract and show the actual due date on the invoice ('Due 16 November 2026'), because 'net 14' alone leaves the client to count. For a new client or a project longer than a few weeks, ask for part of the fee up front and bill the rest on delivery or at milestones, each as its own invoice. Larger companies pay through an accounts-payable process: ask before the first invoice who it goes to, whether they need a supplier form or Form W-9, and whether a purchase order number must appear. If your contract allows a late fee, state it on the invoice, and check your state's or country's rules before charging one.

Tax Information

United States: a business that pays you $2,000 or more for services in 2026 generally reports it on Form 1099-NEC (the threshold was $600 for payments made before 2026); payments by card or a third-party payment network are reported on Form 1099-K instead. That is why clients ask for Form W-9, which gives them your taxpayer identification number, before the first payment. Whether you charge sales tax depends on your state and what you sell: many services are not taxed, but some states tax specific services or digital products, so check your state revenue department rather than assuming. United Kingdom: an invoice must include a unique number, your name and address, the customer's name and address, a description, the supply date, the invoice date, the amounts and the total; a sole trader must also show any business name used and, if using one, an address where legal documents can be delivered. Charge VAT only if you are VAT registered; registration is compulsory once taxable turnover for the last 12 months goes over £90,000. InvoiceQuickly applies one tax percentage per invoice and copies your saved business tax ID to new invoice PDFs; check the saved IDs and PDF before sending when it must appear. Industry context (2026)

Two rule changes shape freelance invoicing in 2026. In the United States, Public Law 119-21 raised the Form 1099-NEC reporting threshold from $600 to $2,000 for payments made after 31 December 2025, with inflation adjustments possible from 2027, according to the IRS instructions and its Form 1099-NEC FAQ. Clients still ask for a W-9 from every contractor, because they need your taxpayer identification number on file before they know whether you will cross the line. In the United Kingdom, GOV.UK lists what every invoice must include (a unique number, both parties' names and addresses, a description, the supply date, the invoice date, the amounts and the total) and adds sole-trader rules on business names, while VAT registration is compulsory once taxable turnover for the last 12 months passes £90,000 (GOV.UK, accessed October 2026). Neither country prescribes a layout, so a template is a starting point: the content of each invoice is what makes it complete. All figures were checked on 27 October 2026; this is general information, not tax advice.

Worked example

Worked example (illustrative rates, not market data): a US freelance copywriter finishes website copy for a dental practice that issued purchase order 2291. Invoice INV-0014 is dated 2 November 2026 with net 14 terms, so it is due 16 November. Line 1: website copy for six service pages, per proposal of 6 October, fixed fee, 1 × $1,500.00. Line 2: additional landing page requested 20 October, outside the proposal, 5 hours × $75.00 = $375.00. Line 3: editorial workshop with the practice manager, 27 October, 1.5 hours × $75.00 = $112.50. Line 4: stock image licence bought in the client's name, at cost, 1 × $49.00. Subtotal $2,036.50, tax 0%, total due $2,036.50. Notes: 'PO 2291. Work period 6 to 31 October 2026. Payment by bank transfer to the account below or by check.' Three decisions come out of the numbers. The total crosses the $2,000 Form 1099-NEC line for 2026, so the copywriter attaches a completed W-9. The 0% tax is a checked decision, not a default: copywriting is not taxed in the writer's state, but that varies. And the $375.00 extra sits on its own line with its request date, so the client can see the agreed $1,500.00 fee has not changed. A UK sole trader would add the supply date and any trading name, and VAT only if registered.

Common mistakes to avoid

One round number

'Freelance work, October: $2,036.50' invites a query. Split the fixed fee, extras and expenses so the client can match each line to what they agreed or asked for.

Sending it to the wrong person

Your contact may not pay invoices. Ask for the accounts-payable address and the PO number before the first invoice, or it can sit unapproved past its due date.

Adding tax by habit

Charging sales tax or VAT when you are not registered or the service is not taxable is as much a problem as leaving it off when it is. Check your registration and the rules for your service first.

No due date

'Payment terms: net 14' leaves the client to calculate the date. Print the actual due date, and keep it consistent with your contract.

Reusing or skipping numbers

Reusing an invoice number confuses both sets of records. If an invoice is wrong, cancel or credit it and issue a new one with the next number.

Invoicing Tips

  • 1Put the agreed fee on one line and name its source ('Website copy, 6 pages, per proposal of 6 October'). The client checks it against the proposal, not against your hours.
  • 2Give every out-of-scope request its own line with hours times rate and the date it was asked for. It is the line most likely to be queried, and a clear one is the line most likely to be paid.
  • 3Reimburse costs at what you paid and say whose account they are in. Mark-ups on expenses are fine if your contract says so; unannounced ones cause disputes.
  • 4Write the work date or period on the invoice. UK invoices must show the supply date, and US clients use it to match the invoice to their records.
  • 5Send a completed W-9 with your first invoice to a US business, and ask for the purchase order number before you invoice, not after the invoice is rejected.
  • 6Keep your own numbering in one unbroken sequence (INV-0001, INV-0002), and never reuse a number, even for a cancelled invoice.

Frequently Asked Questions

What should a freelance invoice include?

Your name or business name and contact details, the client's name and address, a unique invoice number, the invoice date and the date or period of the work, a description of each item with quantity and rate or a fixed fee, any reimbursed expenses, tax if you are registered to charge it, the total, the due date and how to pay. Add the client's PO number if they use one.

How do I write my first freelance invoice?

Start from a template, give it number 0001 in a sequence you will keep, and fill in your details and the client's. List the agreed fee as one line, any extras as separate lines, then the total, a due date and your payment details. Send it to the person who pays invoices, not only to the person you worked with, and keep a copy.

Can I invoice as a freelancer without a registered business?

Yes. A self-employed person can invoice in their own name. In the US you can use your Social Security number or an EIN on Form W-9; in the UK a sole trader invoices under their own name and any business name they use. Local licences or registrations depend on where you work and what you do.

Should I charge hourly or a fixed fee on a freelance invoice?

Use whatever your contract says, and show it the same way on the invoice. A fixed fee goes on one line as quantity 1; hourly work shows hours times rate. Many freelancers combine both: a fixed fee for the agreed scope and an hourly rate for anything outside it.

Do freelancers have to charge sales tax or VAT?

Only where the law requires it. In the US it depends on your state and the service. In the UK you charge VAT only once you are VAT registered, which is compulsory when taxable turnover for the last 12 months exceeds £90,000. Other countries set their own thresholds.

When should a freelancer send an invoice?

As soon as the work or the agreed stage is delivered, or on a fixed day for ongoing work, such as every other Friday or the first of the month. The due date runs from the invoice date, so a late invoice is a late payment.
