Virtual Assistant Invoice Template
A virtual assistant invoice is read by a client who did not see the work happen, so it has to show where the time went. Most VAs bill in one of two ways. A monthly retainer buys a set number of hours for the month ahead, billed in advance, with any overage billed the following month. A prepaid hour block buys, say, 10 hours that the client draws down at their own pace and tops up when the balance runs low. Either way, the invoice needs the same supporting detail: hours by task category (inbox, calendar, CRM updates, social scheduling), the balance carried or used, any rush or after-hours work at its agreed rate, and costs you paid for the client, at cost with a receipt. This template has fields for each, plus the rules that cause most VA disputes: whether unused hours roll over or expire, and how much notice you give before an overage. The download is an editable HTML invoice with invoice number, dates, a line-item table and totals. Fill it in your browser and print it or save it as PDF, or type or say what you did and InvoiceQuickly drafts an editable invoice for you to check before saving.

Recommended Payment Terms
Retainers and hour blocks are paid in advance: a retainer on the first of the month for the month ahead, a block before its hours start. Short terms suit both, such as due on receipt or within 7 days, because the client is paying for time you are reserving. Hourly clients without a retainer are usually billed weekly or every two weeks in arrears, so the amount never builds up. Put the rollover rule (unused hours expire at month end, or roll over once, up to a cap) and the overage rule (the rate, and when you warn the client) in your agreement and repeat them in the invoice notes. Print the actual due date. If you charge a late fee, it must be in the agreement first; check your state's or country's rules.

Tax Information
United States: a business client that pays you $2,000 or more for services in 2026 generally reports it on Form 1099-NEC (the threshold was $600 for payments made before 2026); payments by card or a third-party payment network are reported on Form 1099-K instead. Expect a Form W-9 request before the first payment, or a Form W-8BEN from a VA outside the US. Contractor status itself is decided by the relationship, not the invoice: the IRS looks at behavioral control, financial control and the type of relationship, and either side can ask for a determination on Form SS-8. United Kingdom: an invoice must show a unique number, both parties' names and addresses, a description, the supply date, the invoice date and the amounts; charge VAT only once registered, which is compulsory when taxable turnover for the last 12 months exceeds £90,000. InvoiceQuickly applies one tax percentage per invoice and copies saved business and client tax IDs to new invoice PDFs. General information, not tax or legal advice. Last reviewed: 28 October 2026.
Industry context (2026)
Virtual assistants are mostly independent contractors billing small businesses, so the rules that matter are about status and paperwork rather than an industry standard. The IRS decides contractor or employee status from the whole relationship, grouping the evidence into behavioral control, financial control and the type of relationship, and says a Form SS-8 determination may take at least six months. For payments made after 31 December 2025, the Form 1099-NEC reporting threshold rose from $600 to $2,000, and card or payment-network payments are reported on Form 1099-K rather than 1099-NEC (IRS). In the UK, GOV.UK lists what every invoice must include, and VAT registration is compulsory once taxable turnover for the last 12 months passes £90,000. For pay context, the US Bureau of Labor Statistics reported a median wage of $23.23 an hour for employed secretaries and administrative assistants in May 2025; that excludes the self-employed and benefits, so it is not a VA rate. Sources accessed October 2026; general information, not tax or legal advice.
Worked example
Worked example (illustrative rates, not market data): a US virtual assistant supports a small real estate office on prepaid 10-hour blocks at $38 an hour. The agreement says each block expires 60 days after purchase, unused hours carry into the next block, and work requested for a weekend is billed at 1.5 times the rate. Block 5's balance fell to 0.75 hours on 6 November 2026, so the VA sends invoice INV-0156 dated 9 November, due 16 November. Line 1: prepaid support block 6, 10 hours, expires 8 January 2027, 10 × $38.00 = $380.00. Line 2: weekend open-house registrations, Sunday 1 November, requested by the office manager, 1.5 hours × $57.00 = $85.50. Line 3: postage for client mailing, paid on the VA's card, at cost per receipt, $31.20. Subtotal $496.70, tax 0%, total $496.70. Below the lines, an unpriced statement of block 5: opening 10.0 hours; inbox and email follow-up 3.5; calendar and showing schedule 2.0; CRM data entry 2.5; social post scheduling 1.25; used 9.25; carried into block 6: 0.75, so 10.75 hours are available from 9 November. Notes: 'Time log export dated 6 November available on request.' The numbers answer the client's two questions without a call: what block 5 bought, and why this invoice is $116.70 more than the block price. The weekend line also shows why it is billed separately: the 1.5 hours were not drawn from the block.
Common mistakes to avoid
A single 'VA services' line
'VA services, October: $816' tells a remote client nothing. Break the hours into task categories, even when the retainer price is fixed.
Rollover rules that only live in your head
If the agreement does not say whether unused hours expire or carry over, the client will assume they carry over. Put the rule in the agreement and in the invoice notes.
Overage with no warning
An invoice that suddenly charges 6 extra hours causes a dispute. Warn the client as they approach the limit, and bill overage on its own line.
Paying client costs and forgetting to bill them
Small costs on your own card (postage, a booking, a tool seat) add up. Bill each at cost with a receipt on the next invoice, or use the client's account.
Acting like an employee while invoicing like a contractor
Fixed hours set by the client, client-provided equipment and no other clients can point to employment whatever the invoice says. Keep the relationship consistent with contractor status.
Invoicing Tips
- 1Show hours by task category on every invoice, even when the retainer price is fixed. It is the only view a remote client has of the work, and it is what keeps them renewing.
- 2Print the balance: 'Block 5: 10.0 hours bought, 9.25 used, 0.75 carried into block 6.' The client knows when the next top-up is coming.
- 3Warn the client before an overage ('you are at 18 of 20 hours'), then bill it in arrears on the next invoice at the agreed rate.
- 4Keep your time log in the tool you track time with and reference it on the invoice (report or export date). Attach it if the client asks for detail.
- 5Bill costs you paid for the client (postage, a booking deposit, a tool seat) at cost with the receipt. Better still, use the client's card or account for anything recurring.
- 6Rush or weekend work should have its own line and rate, agreed in writing beforehand, not a higher number of hours.

Frequently Asked Questions
What should a virtual assistant invoice include?
Your details and the client's, invoice number and dates, the billing model (retainer or hour block) and period, hours included and used by task category, the balance carried or expiring, any overage or rush hours at their rates, reimbursed costs with receipts, the total, the due date and how to pay.
How do virtual assistants bill hour blocks?
The client prepays a block, for example 10 hours, and you draw it down as you work. Each invoice is for the next block and shows how the previous one was used: hours by task and the balance carried over. Set an expiry date for each block and repeat it on the invoice.
Should a VA charge a monthly retainer or hourly?
A retainer suits clients with steady weekly work, because it reserves your time and is billed in advance. Hourly or hour blocks suit irregular work. Either way, track your hours and show them on the invoice, because a retainer client still wants to see what the hours bought.
Is a virtual assistant an employee or an independent contractor?
It depends on the whole relationship, not on sending invoices. The IRS weighs behavioral control (who decides how the work is done), financial control (how you are paid, who provides tools, whether you have other clients) and the type of relationship (contracts, benefits, permanence). Either party can ask the IRS for a determination on Form SS-8.
Do virtual assistants need to send a W-9?
US clients usually ask for Form W-9 before paying you, so they have your taxpayer identification number if they need to file Form 1099-NEC. For 2026 payments the 1099-NEC threshold is $2,000. A VA who is not a US person usually provides Form W-8BEN instead.
How often should a virtual assistant send invoices?
Retainers on the first of the month, in advance; hour blocks when the balance runs low; hourly work weekly or every two weeks. The shorter the cycle, the less you are owed if a client stops paying.
