Social Media Management Invoice Template

A social media management invoice carries two kinds of money, and they must never share a line: your fee for the work, and the client's money spent on their behalf, mainly ad spend and creator fees. Clients approve the fee against the deliverables they expected and check the spend against the ad platform's billing report. The usual layout is one retainer line per month, billed in advance on the 1st, naming the platforms, the post, story and reel counts, the community management hours cap and the report; then last month's arrears items, such as an ad management fee calculated on actual spend, ad spend you paid at exact cost, creator fees at cost and any approved extra work with its date. Where you can, have the client pay the ad platform directly from their own ad account, so the spend never appears in your total. This template is for freelance social media managers and small agencies billing monthly retainers. The download is an editable HTML file with the usual invoice header, line table and totals, plus the social media fields below. Fill it in your browser, then print it or save it as PDF.

Recommended Payment Terms

Bill the retainer in advance on the 1st of the month it covers: content is planned and produced before it is posted, so billing in arrears means doing most of the work before the client commits to pay. Small businesses usually pay on receipt or Net 15; agree Net 30 only where a larger client's payment run requires it. Put last month's arrears items (an ad management percentage, pass-through ad spend, approved extra hours) on the same invoice, so the client gets one invoice a month. If you pay ad spend yourself, ask for the next month's budget in advance as its own invoice, and ask for bank transfer on invoices that carry large pass-throughs, because card processing fees apply to the whole amount paid. The contract's notice period sets the last invoice: the notice month's retainer plus any arrears items.

Tax Information

Tax on social media services depends on where you and the client are. In the US it varies by state: Washington, for example, has treated advertising services as retail sales subject to sales tax since 1 October 2025, so check whether your services fall within your own state's definitions. In the UK, ad spend you pass through can only be left outside VAT if it meets all of HMRC's disbursement conditions, such as paying the platform as the client's agent with the client responsible for the cost; spend run through your own ad account and billed to you by the platform is normally part of your own supply, and VAT is charged on it. InvoiceQuickly applies one tax percentage to the whole invoice and copies saved tax IDs to new invoice PDFs, so lines with different tax treatment need separate invoices. This is not tax advice; check with your tax authority or an adviser.

Industry context (2026)

Three official sources shape how social media managers invoice. On creators, the US Federal Trade Commission's guidance, FTC's Endorsement Guides: What People Are Asking, says you could be liable if you play a role in creating or disseminating endorsements that fail to disclose a material connection, and that companies need reasonable programs to train and monitor the influencers they pay and direct, which is why creator coordination is real work worth its own line. On VAT, HMRC's VAT guide (Notice 700, section 25) sets conditions that must all be met before a payment to a third party can be treated as a disbursement outside the scope of VAT, including acting as the client's agent, the client being responsible for paying, the cost being itemized separately and recovering exactly what was paid. On fees, Stripe's US pricing page lists 2.9% plus 30 cents per successful domestic card payment as of October 2026, so a client paying a $5,400.00 pass-through by card link would cost about $156.90 in processing fees (2.9% of $5,400.00 plus 30 cents). These are the reasons the layout separates fee from spend and prefers the client paying the platform directly.

Worked example

A freelance social media manager works for a two-location yoga studio. The contract sets a $1,650.00 monthly retainer billed in advance, ad management at 12% of monthly spend with a $400.00 minimum billed in arrears, ad spend paid by the client directly from its own Meta ad account, and creator fees passed through at cost plus $150.00 coordination per creator. The invoice issued on 1 December 2026, Net 14, has four lines. Line 1: 'Social media management, December 2026 (in advance): Instagram and Facebook; 10 feed posts, 12 stories, 2 reels; community management up to 6 hours; monthly report', $1,650.00. Line 2: 'Ad management, November 2026 (in arrears): 12% of $5,400.00 spend per Meta billing report = $648.00; $400.00 minimum does not apply', $648.00. Line 3: 'Creator fee, one sponsored reel, creator invoice CR-118, approved by studio owner 4 November, at cost', $750.00. Line 4: 'Creator coordination: brief, disclosure check and post review', $150.00. Total: $1,650.00 + $648.00 + $750.00 + $150.00 = $3,198.00. Notes: 'November Meta ad spend of $5,400.00 was billed by Meta to the studio's own ad account and is shown for reference only; it is not part of this total.' Because the studio pays Meta directly, the manager is not carrying $5,400.00 of spend for a month, and no card processing fee is charged on it.

Common mistakes to avoid

'Social media management' with no counts

A bare retainer line gives the client nothing to check and you nothing to point to when they ask for extra posts. Put platforms, counts and the hours cap in the line.

Ad spend folded into the fee

One combined figure cannot be checked against the platform report and can get the VAT treatment wrong in the UK. Keep spend on its own line at cost, or off the invoice entirely.

Funding the client's ad budget on your card

You carry their spend for a month or more and pay processing fees to collect it. Use the client's own ad account, or invoice the budget in advance.

Percentage fee without the calculation

'Ad management $648' invites a query. Show the percentage, the spend figure and the minimum on the line.

Extra work with no approval on record

Crisis weekends and 'one more reel' become free work if the invoice line has no date and approver. Get a written yes first.

Invoicing Tips

  • 1Write the counts into the retainer line ('12 feed posts, 8 stories, 4 reels; community management up to 8 hours'). It shows the scope without listing $0.00 'included' lines and makes extra work easy to spot.
  • 2Mark every line with its period and 'in advance' or 'in arrears' when an invoice mixes both.
  • 3If your ad fee is a percentage, show the calculation on the line: the percentage, the spend it was calculated on and the minimum, so a quiet month's minimum is not a surprise.
  • 4Copy pass-through ad spend from the platform's billing report to the cent and label it 'at cost'. Send the report with the invoice.
  • 5Bill creator fees at cost with the creator's invoice number, and your time for briefing and reviewing their posts as a separate coordination line.
  • 6Get written approval, even by text, before extra work such as a weekend crisis response, and put the date and approver on the invoice line.

Frequently Asked Questions

What should a social media management invoice include?

Your business and client details, invoice number and dates, the billing period, a retainer line with platforms, deliverable counts, community hours cap and reporting, the ad management fee and how it was calculated, any ad spend or creator fees at cost, approved extra work with dates, the total, due date and payment instructions.

Should ad spend go on my invoice?

Preferably not. If the client's own ad account and payment method pay the platform, you invoice only your fee and carry no credit risk or card fees on their budget. If you pay the spend yourself, bill it after the month at the exact amount from the platform's billing report, labelled at cost.

How do I bill a percentage of ad spend?

Put the percentage and a monthly minimum in the contract, then show the arithmetic on the invoice, for example '12% of $5,400.00 spend = $648.00; $400 minimum does not apply'. Bill it in arrears, because the percentage can only be calculated once the month's spend is final.

Do I bill social media management in advance or in arrears?

The retainer in advance, on the 1st of the month it covers. Items that depend on what happened during the month, such as a percentage-based ad fee, ad spend you paid and extra hours, go in arrears on the next month's invoice.

How do I invoice influencer or creator fees?

As pass-through lines at the creator's exact fee, with their invoice reference and the client's approval, and your coordination work as its own line. In the US, the Federal Trade Commission's guidance says businesses that pay influencers need reasonable programs to train and monitor them on disclosure.

Can InvoiceQuickly invoice a social media retainer every month?

Yes, on Pro a recurring schedule can create the monthly retainer invoice. The schedule form makes one line item with saved payment terms and tax rate, so leave auto-send off; each month's invoice then waits as a draft and you add ad spend, creator fees or extra hours before sending. There is no connection to ad platforms, so type spend from the billing report.
