Copywriting Invoice Template
A copywriting invoice is read by two people who were not on the briefing call: the marketing manager who approves it and the finance team who pays it. Both need to see what was bought. This template is built for commercial copy for businesses and agencies (websites, landing pages, email sequences, paid ads and monthly content retainers), where the fee is set per deliverable or per project rather than per word. It gives each deliverable its own line, counts ad variants as quantities (3 hooks × 4 body versions = 12 ads), states how many revision rounds the fee includes and bills any extra round separately with the date it was requested, and keeps strategy or research time apart from drafting. It also has a line for the usage or ownership terms, because in the US commissioned copy does not automatically belong to the client: the agreement decides, and the invoice repeats it in one sentence. Journalists and authors billing per word with kill fees should use the freelance writing template instead. The download is an editable HTML invoice with invoice number, dates, a line-item table and totals. Fill it in your browser, then print it or save it as PDF.

Recommended Payment Terms
Copywriting projects are usually billed in stages: a share of the fee on signing and the balance when the final copy is approved, each as its own invoice. Ad and email work is typically invoiced on delivery, and retainers on the same date each month. Net 14 suits direct clients; agencies and larger companies often pay on their own terms, such as net 30, through a monthly payment run, so ask for the purchase order number and the accounts-payable address before you send the first invoice. Print the actual due date ('Due 24 November 2026'), not only 'net 15'. If ownership of the copy passes to the client on payment, say so in the terms, so the client knows unpaid copy is not yet theirs to use. Any late fee must be in your agreement, and local rules on late charges vary.

Tax Information
United States: a business that pays you $2,000 or more for services in 2026 generally reports it on Form 1099-NEC (the threshold was $600 for payments before 2026), so clients ask for Form W-9 before the first payment. Whether copywriting is subject to sales tax depends on your state and on what you deliver: many states do not tax writing services, but some tax specific services or digital products, so check your state revenue department rather than assume. United Kingdom: charge VAT only if you are VAT registered, which is compulsory once taxable turnover for the last 12 months goes over £90,000, and show the VAT number when you do. InvoiceQuickly applies one tax percentage per invoice and copies saved tax IDs to new invoice PDFs; check the saved IDs and PDF before sending when it must appear. Industry context (2026)
There are no official copywriting rates, so treat any figure as a reference point. The Editorial Freelancers Association's 2026 Rate Chart, based on a member survey run from November 2025 to mid-January 2026 with over 1,100 respondents, gives median rate ranges for work-for-hire business and marketing writing of 32.0¢ to 87.5¢ a word, $65 to $75 an hour and $80.00 to $218.75 a page; most EFA members are editors rather than conversion copywriters, and the EFA says it neither sets rates nor advises on them. The US Bureau of Labor Statistics counts copywriters within writers and authors, with a median pay of $76,910 a year ($36.98 an hour) in 2025 and 140,300 jobs; that is pay, not a billing rate. Rights matter as much as rates: under US law a commissioned work is a work made for hire only if it falls into one of nine categories in the Copyright Act and both parties sign a written agreement saying so (US Copyright Office, Circular 30), and a transfer of ownership is valid only in a writing signed by the rights owner (17 U.S.C. § 204(a)). Website and ad copy rarely fits those categories, which is why the agreement, and the invoice line that repeats it, should say who owns the copy. Sources checked on 28 October 2026.
Worked example
Worked example (illustrative rates, not market data): a US freelance copywriter delivers launch copy for a skincare brand under an agreement dated 14 October 2026 that includes 2 revision rounds per deliverable, $200 per extra round, and assigns copyright in the final approved copy to the client on payment in full. Invoice INV-0042 is dated 9 November 2026 on net 15 terms, so it is due 24 November. Line 1: paid social ads, spring launch, 3 hooks × 4 body versions = 12 ads × $85.00 = $1,020.00. Line 2: launch landing page, 1 × $1,350.00. Line 3: launch email sequence, 3 emails × $240.00 = $720.00. Line 4: extra revision round, landing page (third round, requested 30 October), 1 × $200.00. Line 5: messaging call and competitor review, 1.5 hours × $120.00 = $180.00. Subtotal: 1,020 + 1,350 + 720 + 200 + 180 = $3,470.00. Tax 0% (copywriting is not taxed in the writer's state; that varies). Total due $3,470.00. Terms: 'Copyright in final approved copy assigned on payment in full per agreement of 14 October 2026. PO 7713.' Three things the numbers settle: the client's paid social team can see it bought 12 variants, not '1 ad campaign'; the $200 line carries its request date, so the total exceeding the $3,270 quoted is explained before anyone asks; and the payment crosses the $2,000 Form 1099-NEC line for 2026, so the writer sends a W-9 with the invoice.
Common mistakes to avoid
'Copywriting services: $3,470'
A single line gets queried by finance and cannot be matched to the deliverables the marketing team approved. Give each page, email set and ad set its own line.
Extra rounds hidden in the fee
Quietly raising the landing page fee from $1,350 to $1,550 looks like a price change. Keep the agreed fee and add the extra round as its own line with the request date.
Rights left unstated
If the invoice and agreement say nothing about ownership or usage, the client may assume they own the copy outright. Repeat the agreed assignment or licence, with its date, in one sentence.
Retainer invoices with no volume
'Monthly retainer: $2,500' gives no basis for billing overage or for discussing a new fee. Show volume included and used every month.
Missing the PO number
Agencies and larger brands often cannot pay an invoice without their purchase order number. Ask for it at kickoff and put it on the first line or in the notes.
Invoicing Tips
- 1Name each deliverable the way the client's team will find it: 'Landing page: spring launch', 'Welcome sequence, 5 emails'. A line that matches what is live in their CMS or email tool gets approved quickly.
- 2Write ad work as quantity × rate ('3 hooks × 4 bodies = 12 ads at $85'). Paid social teams budget per variant and can see at a glance what they are testing.
- 3Put the rounds included next to each fee ('2 revision rounds included') and bill any extra round on its own line with the date it was asked for, so the higher total explains itself.
- 4Repeat the rights in one sentence with the agreement date: 'Copyright in final approved copy assigned to the client on payment in full, per agreement of 14 October 2026', or the channels and period of a licence.
- 5For a retainer, show volume included, volume used and overage on every invoice, even in months with no overage. It makes the next fee conversation easier.
- 6Bill strategy calls, interviews and competitor research as hours or a fixed workshop fee, separate from drafting, so the per-page fee is not inflated by work the client did not ask to see.

Frequently Asked Questions
What should a copywriting invoice include?
Your details and the client's legal name, an invoice number, issue and due dates, then one line per deliverable with the fee, the revision rounds included, any extra rounds, strategy or research time, pass-through costs, the total and how to pay. Add the project name, the client's PO number if they use one, and one sentence on usage or ownership terms.
Should copywriters charge per word or per project?
For commercial copy, a fee per deliverable or per project is common, because a 150-word headline section can take longer than an 800-word blog post. Per-word pricing suits long-form content where length tracks effort. Whatever you agree, the invoice should use the same unit.
How do I bill extra revision rounds?
State the rounds included in the agreement, then bill each extra round as its own line with the deliverable and the date the client requested it, for example 'Extra revision round, landing page (third round, requested 30 October): $200'. Do not fold it into the original fee.
Does the client own the copy once they pay the invoice?
Only if your agreement says so. In the US, commissioned copy is a work made for hire only in nine statutory categories with a signed written agreement, and a transfer of copyright needs a writing signed by the owner. The invoice does not transfer rights; it should repeat what the agreement says, such as an assignment on payment in full or a licence for named channels and a period.
How do I invoice a copywriting retainer?
Bill the monthly fee on one line with the volume it covers and the volume used ('up to 8 emails, 8 used'), then add any work above that volume as a separate overage line at the agreed rate. Say in the agreement whether unused volume rolls over.
Do copywriters charge sales tax?
It depends on the state and what you deliver. Many states do not tax writing services, but some tax certain services or digital products. Check your state revenue department, and in the UK charge VAT only if you are VAT registered.
