Hong Kong Invoice Template
A free, editable invoice layout for businesses in Hong Kong. Hong Kong has no sales tax, VAT or GST, so a local invoice carries no tax line and the total is simply the sum of the lines. There is also no government invoice format to follow. What does apply: a Hong Kong company must state its registered name, in legible characters, on its invoices and receipts, including electronic ones (Companies (Disclosure of Company Name and Liability Status) Regulation, Cap. 622B), and anyone carrying on business in Hong Kong must keep sufficient records of income and expenditure, including invoices, in English or Chinese for at least 7 years (Inland Revenue Ordinance section 51C). The layout has fields for your registered name, your Business Registration number if you choose to show it, the customer, the lines, the currency and your bank details. It downloads as an HTML file you edit in a browser and print or save as PDF; totals are not calculated for you.

Recommended Payment Terms
No Hong Kong law sets standard invoice payment terms, so agree them in your quotation or contract and print them, for example "Payment due within 30 days of the invoice date". State the currency (HKD, USD or another), the account name, bank, account number and, for overseas clients, the SWIFT code. If you bill a client abroad in their own currency, say who bears bank and conversion charges.

Tax Information
Hong Kong has no sales tax, VAT or GST (Hong Kong Government, HKEngage), so do not add a tax line or a tax percentage to a local invoice. Business profits are taxed through profits tax on the business, not through the invoice. Keep your invoices and the rest of your business records for at least 7 years: the Inland Revenue Department's section 51C guidance lists books of account, invoices, receipts, vouchers and bank statements, and failure to keep them without reasonable excuse carries a fine of up to HK$100,000. If you bill a customer in a country that has VAT or GST, that country's rules decide whether your customer accounts for it. InvoiceQuickly lets you set the tax to 0%, but its editor's currency list does not include HKD today (it offers USD, EUR, GBP, CAD, AUD, INR and PKR) and it does not print your Business Registration number.
Industry context (2026)
Hong Kong's tax system has no tax on sales: the Government lists no sales tax, VAT, capital gains tax, dividend tax or estate tax, and business income is taxed through profits tax. That makes invoicing simpler than in VAT countries, but two rules still shape the document. Since the Companies Ordinance (Cap. 622) took effect in 2014, the Companies (Disclosure of Company Name and Liability Status) Regulation has required companies to state their registered name in legible characters on invoices, receipts and other transaction instruments, including electronic ones, and on their websites. And the Inland Revenue Department requires anyone carrying on a business in Hong Kong to keep sufficient records of income and expenditure, including invoices and receipts, for at least 7 years. Businesses must also register with the IRD's Business Registration Office within 1 month of starting (sources accessed 27 October 2026).
Worked example
Harbour Lens Studio Limited, a photography company in Kwun Tong, invoices a Central law firm for a staff portrait day (an illustrative example). Invoice HLS-2026-0318 is dated 30 October 2026 and due in 30 days. Lines: on-site portrait session, 1 day at HK$8,000.00; retouching, 10 hours at HK$600.00 = HK$6,000.00; online gallery, fixed fee HK$500.00. Total: HK$14,500.00, with no tax line because Hong Kong has no VAT or GST. The header shows "Harbour Lens Studio Limited" exactly as registered, not the shorter "Harbour Lens" brand, plus its Business Registration number, bank name, account number and FPS details. A second invoice to a client in Singapore for the same work is billed as US$1,860.00 at an agreed rate, with the currency stated on every total. Both invoices are filed with the company's accounts and kept until at least 2033 under section 51C.
Common mistakes to avoid
Adding a VAT or GST line
Hong Kong has no VAT or GST. A tax line copied from an overseas template makes the total look wrong to the client.
Using a trading name instead of the registered name
A company's invoices must state its registered name in legible characters. A brand or shop name alone does not meet Cap. 622B.
Throwing invoices away too early
Section 51C requires records of income and expenditure, including invoices, for at least 7 years.
Leaving the currency unclear
A "$" alone can mean HKD or USD. Show the currency code on every total, especially when you bill overseas clients.
Invoicing Tips
- 1Use the company name exactly as it appears on the Companies Registry, including "Limited", not a shortened brand name.
- 2Keep the tax line blank or remove it. A "VAT 0%" line copied from a UK template only confuses clients.
- 3Show the currency code next to every total when you bill both HKD and USD clients.
- 4File a copy of every invoice you issue. The IRD can ask to see records of income for 7 years.
- 5For a client in mainland China, Singapore or the UK, check whether they need your company details for their own tax records and add them to the notes.

Frequently Asked Questions
Do Hong Kong invoices include VAT or GST?
No. Hong Kong has no sales tax, VAT or GST, so a local invoice shows the line amounts and the total with no tax line. Businesses pay profits tax on their profits instead.
What must a Hong Kong invoice include?
There is no tax-law list of invoice fields. A Hong Kong company must state its registered name in legible characters on invoices and receipts, paper or electronic (Cap. 622B). Beyond that, include what you and your client need for records: invoice number, date, your details, the customer, a description, quantities and prices, the total, the currency and payment details.
Do I have to show my Business Registration number on an invoice?
Neither the IRD's record-keeping guidance nor the Companies Registry's name-disclosure rules require it. The Business Registration Ordinance requires you to register within 1 month of starting business and to display a valid Business Registration Certificate at your place of business. Many businesses add the number to invoices anyway.
How long must I keep invoices in Hong Kong?
At least 7 years. Section 51C of the Inland Revenue Ordinance requires sufficient records of income and expenditure, in English or Chinese, including invoices and receipts, and the maximum fine for failing to keep them without reasonable excuse is HK$100,000.
Can I create a Hong Kong invoice in InvoiceQuickly?
Yes, with two limits. Set the tax to 0% or leave it off, and type your Business Registration number into the notes if you want it shown, because the app copies saved business and client tax IDs to new invoice PDFs. The editor's currency list does not include HKD today, so it suits invoices billed in USD or another listed currency better than HKD invoices.
