Driving Instructor Invoice Template

A driving lesson invoice usually goes to someone other than the person in the driver's seat. A teenage student is the learner, but a parent or guardian signs the enrolment agreement and pays, so the invoice names both. It also has to keep score on prepaid lessons: when a family buys a package, each invoice should show how many lessons it includes, how many have been used and how many remain, with the date and length of each lesson. Three other lines cause most questions, and this template gives each its own place: use of the instructor's car on test day (often with a warm-up lesson first), lessons outside the package at your single-lesson rate, and late-cancellation or no-show fees taken from the notice period in your agreement. Add your instructor licence or approved driving instructor number and, if you teach through a school, the school's licence number. The download is an editable HTML invoice with invoice number, dates, a line-item table and totals. Fill it in your browser and print it or save it as PDF, or type or say what lessons you gave and InvoiceQuickly drafts an editable invoice for you to check before saving.

Recommended Payment Terms

Driving lessons are normally paid before or at the lesson, or as a prepaid package, rather than on 30-day terms. Write the rules into the enrolment agreement that the student (or, for a minor, the parent or guardian) signs: the package price and what it includes, how long unused lessons stay valid, whether a package is refundable, the cancellation notice period and the fee for missing it, and the price for using your car on test day. Then make each invoice match. For a package, issue one invoice for the package when it is bought, and show 'lessons used / remaining' on later invoices or receipts. For pay-as-you-go students, invoice each lesson or each week with dates. Bill test-day car use separately from lessons, and never fold the official test fee into your own charges unless you actually paid it: in Great Britain, since 12 May 2026 only the learner can book and manage their own car driving test, and the Driver and Vehicle Standards Agency fee (£62 on weekdays, £75 evenings, weekends and bank holidays) is paid by the learner.

Tax Information

In the US, whether driving instruction is subject to sales tax is a state question, so check with your state revenue department rather than assuming. Licensing is also state by state: in California, for example, the Department of Motor Vehicles licenses driving school owners and instructors, defines a driving school as any business offering motor vehicle instruction for compensation, and allows independent instructor licences only in limited circumstances. Put your licence numbers on the invoice so a parent or school can check them. In Great Britain, anyone you pay to teach you to drive must be a qualified approved driving instructor (ADI) or a trainee driving instructor, shown by a green or pink windscreen badge, and an instructor charges VAT only if VAT registered (registration is compulsory once taxable turnover for the last 12 months exceeds £90,000). InvoiceQuickly applies one tax percentage per invoice and copies your saved tax ID into new invoice PDFs; keep professional licence details in the notes. Industry context (2026)

Driving instruction is a licensed activity in many places, and the rules decide what an invoice can include. In California, the Department of Motor Vehicles defines a driving school as any business that offers motor vehicle instruction for compensation and licenses its owner and instructors; independent instructor licences are limited to small cities without a licensed school. Minors there must complete both driver education and driver training, and practise at least 50 hours (10 at night) with a licensed driver aged 25 or over, before the drive test (California Driver Handbook). In Great Britain, GOV.UK says anyone paid to teach driving must be a qualified approved driving instructor or a trainee, and DVSA's car test costs £62 on weekdays or £75 at evenings, weekends and bank holidays. A recent change affects instructors directly: from 12 May 2026 only learners can book and manage their own car test, and instructors can set the times they are available for tests instead (DVSA news, 12 May 2026). This page does not quote lesson market rates. Checked 28 October 2026; general information, not legal advice.

Worked example

Worked example (illustrative prices from one school's own enrolment agreement, not market data): a licensed California driving school teaches 16-year-old Leo Chen; his mother, Maria Chen, signed the agreement and pays. On 20 October 2026 she prepaid a behind-the-wheel package of three 2-hour lessons for $390.00. Invoice DS-0418 is dated 13 November 2026, due on receipt, addressed to Maria Chen with 'Student: Leo Chen' and the school and instructor licence numbers in the notes. Line 1: behind-the-wheel package, 3 × 2-hour lessons, used 22 October, 29 October and 5 November, 1 × $390.00. Line 2: extra practice lesson outside the package, 8 November, 2 hours × $70.00 = $140.00. Line 3: test-day car use on 12 November, including a 1-hour warm-up drive, 1 × $150.00. Line 4: late cancellation of the 1 November lesson, cancelled 4 hours before (agreement requires 24 hours' notice), 1 × $35.00. Subtotal $715.00; tax 0% in this example after the school checked its state's rules; total $715.00; prepaid $390.00 applied; balance due $325.00. The package line is billed in full because all three lessons were used, and showing the prepaid amount separately means the parent sees $325.00 owed, not $715.00. In Great Britain the same invoice would show the ADI number instead of a state licence, and would not include the £62 test fee, which the learner pays to DVSA directly.

Common mistakes to avoid

Billing the student instead of the payer

An invoice addressed to a 16-year-old is not much use. Bill the parent or guardian who signed the agreement, and name the student.

No running count on packages

Without lessons used and remaining, every package becomes a dispute about how many are left. Show the count with dates on each invoice or receipt.

Cancellation fees with no agreed policy

A fee that first appears on the invoice is the line most likely to be refused. Put the notice period and fee in the agreement, then quote it on the line.

Adding the official test fee to your own charges

In Great Britain the learner books and pays for the test. Bill only your own car use and lessons.

Leaving off licence numbers

Parents and schools may check credentials. Your instructor licence or ADI number belongs on every invoice.

Invoicing Tips

  • 1Name the payer and the student separately: 'Bill to: Maria Chen (parent). Student: Leo Chen.' The parent pays, but the lessons, certificates and records are the student's.
  • 2Show package use as a running count with dates: 'Lessons used 3 of 5 (22 Oct, 29 Oct, 5 Nov)'. It answers the most common parent question before it is asked.
  • 3Bill test-day car use as its own line, separate from lessons, and say what it includes, such as a warm-up drive before the test.
  • 4Charge a cancellation fee only if the agreement sets one, and quote the notice period on the line: 'Late cancellation, under 24 hours' notice, per agreement'.
  • 5Record prepaid amounts and apply them to the invoice, so the balance shows what is actually owed.
  • 6Keep your licence or ADI number on every invoice. A parent comparing instructors, or a school paying you as a contractor, may check it.

Frequently Asked Questions

What should a driving instructor invoice include?

Your name, business details and licence or ADI number, the student's name, the payer if different, a unique invoice number, the date and length of each lesson, package lessons used and remaining, any test-day car use, cancellation fees under your agreement, tax if it applies, prepaid amounts applied, the total, the due date and how to pay.

Who should a driving lesson invoice be addressed to when the student is a minor?

Address it to the parent or guardian who signed the enrolment agreement and pays, and name the student in the description or notes. Keep the student's name on lesson records and completion certificates.

How do I invoice a driving lesson package?

Invoice the package once when it is bought, with the number of lessons and their length. On later invoices or receipts, show lessons used with dates and lessons remaining, and bill any lessons beyond the package at your single-lesson rate.

Can a driving instructor charge for using their car on test day?

Yes, if your agreement says so. Bill it on its own line and say what it covers, such as the warm-up lesson and the car for the test. In Great Britain the test fee itself is paid by the learner to DVSA, and since 12 May 2026 only the learner can book their car test.

Can I charge for a missed or late-cancelled driving lesson?

If your agreement sets a notice period and a fee, bill the fee on its own line with the lesson date and the rule. Without an agreed policy, a surprise charge is hard to justify and often disputed.

Do I need a licence to charge for driving lessons?

Often, yes. In Great Britain only a qualified ADI or a trainee driving instructor can be paid to teach driving. In the US it depends on the state; California licenses driving schools and their instructors through the DMV. Check your state or national authority.
