Car Detailing Invoice Template

A car detailing invoice has to identify the vehicle as well as the customer, because the price depends on it. Many detailers price a package (exterior, interior or full detail) by vehicle size, then add extras for the condition the car arrived in, such as pet hair, heavy staining or odour treatment. Higher-value work like paint correction and ceramic coating is often booked with a deposit, and mobile detailers add a travel fee outside their service area. This template keeps each of those apart: the vehicle (year, make, model, colour and plate), its size category, the package and what it includes, each add-on with its own price, coating or correction work with the product and stages, the travel fee, the deposit already received, and the condition noted before work began. The download is an editable HTML invoice with invoice number, dates, a line-item table and totals. Fill it in your browser and print it or save it as PDF, or type or say the job and InvoiceQuickly drafts an editable invoice for you to check before saving.

Recommended Payment Terms

For retail customers, set the invoice to due on receipt and take payment at handover. For paint correction or ceramic coating, which take longer and use more product, consider taking a deposit when the appointment is booked: put the deposit amount, what happens to it if the customer cancels or does not show up, and the balance due at handover in your booking terms, then show the deposit as already received on the final invoice. Fleet and dealership customers may want a monthly invoice listing each vehicle by plate or stock number, with agreed terms such as net 15 or net 30 and their purchase order number.

Tax Information

Sales tax on detailing depends on the state, and states do not treat it the same way. New York's Tax Bulletin ST-105 (updated 16 October 2026) says car wash services are taxable when car wash personnel wash, wax or vacuum the car or help with those services, and that detailing performed at least in part by car wash employees is generally taxable; washes done entirely by coin-operated equipment are exempt. Texas's Publication 94-113 (revised April 2026) says sales tax is not due on the labour to repair or maintain a motor vehicle, that parts are taxable, and that waxes and polishes are consumable supplies whose tax treatment depends on whether the invoice is lump-sum or separates parts and labour. That Texas publication does not address washing or detailing by name, so ask the Comptroller how your services are classified before deciding. Many cities and counties add local tax on top of the state rate. InvoiceQuickly applies one tax percentage per invoice, so enter the combined rate that applies at the service location, and use a separate invoice if part of a job is taxed differently. Industry context (2026)

We could not find a dated public survey of detailing prices that we could verify, so this page does not quote market rates. The official data we found is about tax. New York's Tax Bulletin ST-105, Car Wash Services (issued 23 September 2010, updated 16 October 2026), says car wash services are taxable when car wash personnel wash, wax or vacuum the car or assist, that sales not activated by coin-operated equipment are taxable, and that detailing performed at least in part by car wash employees is generally taxable. Texas's Publication 94-113, Motor Vehicle Repairs, Remodels and Maintenance (revised April 2026), says sales tax is not due on the labour to maintain motor vehicles, defines maintenance as work on an operational vehicle that keeps it in good working order, and lists waxes and polishes as consumable supplies. The two documents show why one detailing invoice cannot carry the same tax line in every state. Checked on 28 October 2026; the Texas page was read from an Internet Archive capture of the official URL. General information, not tax advice.

Worked example

Worked example (illustrative prices, not market data): a mobile detailer details and coats a customer's 2022 midsize SUV in their driveway. The coating was booked on 2 November with a $300 deposit paid by card. Invoice INV-0118, dated 8 November 2026, due on receipt. Line 1: full detail, interior and exterior, large SUV size category, 1 × $260.00. Line 2: pet hair removal, rear seats and cargo area, 1 × $45.00. Line 3: one-step paint correction before coating, 1 × $350.00. Line 4: ceramic coating, paint and wheel faces, 1 × $550.00. Line 5: travel fee, outside 15-mile service area, 1 × $25.00. Subtotal $1,230.00. Tax: an assumed 8% combined rate, entered as one percentage (illustrative, not a specific jurisdiction), $1,230.00 × 8% = $98.40. Total $1,328.40. Less deposit received 2 November: $300.00. Balance due at handover: $1,028.40. Notes: 'Pre-existing: chip on hood, scuff on rear bumper (photos sent 8 November). Aftercare sheet from the coating maker given to the customer; maintenance wash booked 6 December.' Two checks behind the numbers: the deposit is 300 ÷ 900 = one third of the correction and coating lines it secured, and it reduces the balance, not the total, so tax is still worked out on the full $1,230.00. Where detailing is not taxable, the tax line is 0% and the balance is $930.00.

Common mistakes to avoid

No vehicle details

An invoice that says 'Full detail: $260' without the vehicle cannot be matched to a fleet list or a booking, and does not show why the price applies.

Deposit missing from the final invoice

Billing the full amount without showing the deposit received leads to overpayment or a dispute. Show the deposit, its date and the balance.

Condition not recorded

Without a pre-work note and photos, existing scratches and chips can be blamed on the detail. Record them before you start.

Copying another state's tax treatment

Detailing is generally taxable in New York and is not addressed by name in Texas's motor vehicle guidance. Check your own state's rule instead of copying a competitor's invoice.

Travel fee hidden in the package price

Raising the package price for distant customers makes your prices look inconsistent. Charge travel as its own line with the rule behind it.

Invoicing Tips

  • 1Write the vehicle size on the invoice next to the package ('Full detail, large SUV'). It explains the price before the customer asks why it differs from the price their neighbour paid.
  • 2Note existing damage before you start, with photos, and put a one-line summary on the invoice. It protects you if a scratch is blamed on the detail.
  • 3Price add-ons separately instead of raising the package price for a dirty car. 'Pet hair removal: $45' is easier to accept than a full detail that costs more than quoted.
  • 4For ceramic coating, name the product and stated durability on the invoice and attach the maker's aftercare instructions. Repeat any warranty only as the product maker states it.
  • 5Show the deposit and the date it was paid, then the balance. A customer who sees only the full total may think the deposit was forgotten.
  • 6Charge the travel fee as its own line and say how it is calculated (for example 'outside 15-mile service area'), so regular customers inside the area know they will not pay it.

Frequently Asked Questions

What should a car detailing invoice include?

Your business details, the customer's name and contact details, an invoice number and date, the vehicle (year, make, model, colour and plate), its size category, the package and what it covered, each add-on and its price, any travel fee, tax where it applies, any deposit already paid, the balance due and how to pay. Add notes on the vehicle's condition before work.

How do I price detailing by vehicle size on an invoice?

Set a price for each package in each size category in your price list, then invoice the package at the size price with the size named in the line, for example 'Full detail, large SUV: $260'. Extras for condition, such as pet hair, go on their own lines.

How do I show a ceramic coating deposit on an invoice?

Invoice the full job, then show the deposit as a payment already received with its date, and the remaining balance due. If you issued a separate deposit invoice, quote its number. Put the deposit and cancellation rules in your booking terms, not only on the invoice.

Can a mobile detailer charge a travel fee?

Yes, if it is in your published prices or quote. Show it as a separate line with how it is worked out, such as a flat fee outside a stated radius or a per-mile charge. Whether tax applies to it depends on the state.

Do car detailers charge sales tax?

It depends on the state. New York says detailing performed by car wash personnel is generally taxable. Texas says labour to maintain a motor vehicle is not taxable but does not name detailing, so check how your service is classified with your state revenue department.
