Auto Repair Invoice Template

An auto repair invoice is the document that closes a repair order. In a shop with several bays the job has already passed through a service writer, one or more technicians and a parts counter before anyone types the invoice, so the invoice has to carry that trail: the repair order (RO) number, the vehicle with its VIN and odometer readings, each concern with the cause found and the correction made, which technician did each labor line and whether it is billed at flat-rate (book) hours or clock hours, every part with its number, brand and condition, and a record of what the customer approved and when. Fleet accounts add their own references: a purchase order, the unit number painted on the van and the department that pays. This template lays those fields out around a standard line table and totals. The download is an editable HTML file: fill it in your browser and print it or save it as PDF. If you work alone or run a single bay, the reviewed mechanic invoice template is the simpler starting point.

Recommended Payment Terms

Retail customers normally pay when they collect the vehicle, so the invoice is due on receipt and the vehicle is released against payment. Fleet and commercial accounts are different: agree credit terms in writing before the first job (net 30 from the invoice date is common for accounts with a credit application on file), and put the account's purchase order on every invoice, because many fleet payers reject an invoice without one. Ask whether the fleet wants one invoice per repair order or a monthly statement listing each RO; the statement of account template covers the second. Insurance and warranty work follow the payer's own process, so keep those jobs on separate invoices from customer-pay work on the same visit. If you take a deposit on a large special-order part, record it and show it against the final total.

Tax Information

Sales tax on auto repair is set by each state, and states differ on whether the labor is taxed along with the parts, whether shop supplies and disposal fees are taxable, and which fleet or government buyers are exempt. Check your state revenue department's guidance for motor vehicle repair, and keep a valid exemption certificate on file for any account you bill without tax. InvoiceQuickly applies one tax percentage to the whole invoice subtotal, so it suits states where the same rate applies to the full repair charge. If your state taxes parts but not separately stated labor, calculate the tax yourself and enter it as its own line with the invoice tax set to 0%, or use shop software that taxes line by line. InvoiceQuickly copies your saved tax ID into new invoice PDFs; keep the repair-dealer registration number in the notes; add your registration number to the notes or footer. Industry context (2026)

Auto repair paperwork is regulated state by state, and the two rules that matter most to a busy shop are the estimate and the authorisation. Florida's Motor Vehicle Repair Act (2025 Florida Statutes, sections 559.905 to 559.911) requires a written estimate when repair work will exceed $150, unless the customer waives it in writing; the estimate must state the vehicle's odometer reading and tag number, whether the charge is flat rate, hourly or both, and any shop-supply or waste charge. The shop may not charge more than the estimate plus $10 or 10%, whichever is greater, up to $50, without authorisation, and the invoice must itemise labor and parts, identify used, rebuilt or reconditioned parts, state any guarantee with its time and mileage, and show the shop's state registration number. New York's Department of Motor Vehicles tells consumers that a shop must give a written estimate on request, may not exceed it without permission, must record the date, time and name of whoever authorised work by phone on the invoice, and must show the odometer reading and any used or not-original parts. California's Bureau of Automotive Repair rules are covered on the mechanic invoice template. Other states set their own rules, often through the attorney general's consumer protection office. Checked on 28 October 2026; general information, not legal advice.

Worked example

Worked example (hypothetical shop, fleet and names; the $140.00 hourly rate is the shop's own posted rate and the 7% tax rate is illustrative). A two-technician shop in Florida services van unit 14 for a plumbing company's fleet: 2021 Ford Transit 250, odometer 68,214 in. Repair order RO-20517 is opened at 8:05 am on 19 October 2026 for two concerns: brake noise and weak air conditioning. The written estimate is $608.00 plus tax, billed at book hours: front pads and rotors, 1.8 hours ($252.00) by technician T04; aftermarket front rotors, new, 2 × $68.50 ($137.00); OEM front pad set ($89.00); A/C performance diagnosis, 0.8 hours ($112.00) by technician T11; shop supplies as disclosed on the estimate ($18.00). The fleet manager approves it by email at 8:42 am under purchase order 7781. At 10:50 am T11 finds a failed condenser fan relay: OEM relay $34.00 plus 0.3 hours ($42.00), so the job would rise to $684.00. Florida's cap without further authorisation is the estimate plus the greater of $10 or 10%, limited to $50: 10% of $608.00 is $60.80, so the cap is $658.00, and $684.00 is over it. The service writer calls the fleet manager, who approves the revised $684.00 at 11:20 am, and logs it on the RO. The invoice: labor $406.00 (2.9 hours), parts $260.00, shop supplies $18.00, subtotal $684.00, tax at 7% $47.88, total $731.88, net 30 under the fleet agreement. Notes: 'RO-20517. PO 7781. Unit 14. Odometer in 68,214, out 68,221. Estimate approved by email 8:42 am; revised to $684.00 by phone 11:20 am, 19 October 2026. Old rotors and relay kept for disposal. 12 months / 12,000 miles warranty on parts and labor. FDACS registration [your number].' Because the shop's state taxes the whole charge in this example, one invoice-level rate works; a shop taxing parts only would enter the tax as its own line instead.

Common mistakes to avoid

Invoice and repair order that do not match

If the RO shows a $608.00 approval and the invoice says $684.00 with no recorded authorisation, the customer has grounds to dispute the difference. Log every supplemental approval on the RO and copy it to the invoice.

One labor line for the whole visit

'Labor: 2.9 hours, $406.00' hides which job each hour belongs to. Bill each operation on its own line with its technician and hours, so a warranty or comeback claim can be traced.

Mixing book and clock hours

Quoting at book time and invoicing at clock time, or the reverse, makes the totals impossible to reconcile. Pick one basis per job and say which on both documents.

Fleet invoices without the PO or unit number

Fleet payers match invoices to purchase orders and vehicles. An invoice missing either one is often returned unpaid, and the net 30 clock restarts when you reissue it.

Unexplained shop-supply charges

A flat 'shop supplies' fee that was never on the estimate is a common complaint. If you charge one, disclose it on the estimate as your state requires and show the same amount on the invoice.

Invoicing Tips

  • 1Print the RO number on the invoice and file both together. When a customer or fleet manager queries a line, the RO shows who wrote it up and what was approved before the work started.
  • 2Put the technician's name or ID on each labor line. It costs nothing on the invoice and settles comeback questions months later, when the warranty claim lands on a different technician.
  • 3Say whether labor is billed at book hours or clock hours, and use the same basis on the estimate and the invoice. Florida's statute, for example, requires the estimate to state whether the charge is flat rate, hourly or both.
  • 4Record the brand and condition of every part. 'Front brake pads, aftermarket, new' and 'Alternator, rebuilt' answer the question before it is asked, and New York and Florida both require used, rebuilt or not-original parts to be identified on the invoice.
  • 5Log each supplemental authorisation on the RO the moment you get it: amount, the approver's name, how they approved and the time. Copy that line to the invoice notes.
  • 6For fleets, keep the unit number, PO and odometer on every invoice. Fleet managers match invoices to vehicles by unit number, not by VIN.

Frequently Asked Questions

What is the difference between a repair order and an auto repair invoice?

The repair order is the shop's work authorisation and job record: it is opened when the vehicle is checked in, lists the customer's concerns and the approved estimate, and is updated as technicians work. The invoice is the bill issued when the job is finished, listing the labor, parts and charges the customer must pay. Many shops print the RO number on the invoice so the two can be matched.

What should an auto repair invoice include?

The shop's name and contact details, the customer, the date, the vehicle with VIN or plate and the odometer reading, a description of the work done, itemised labor and parts with their costs, the condition of any used or rebuilt part, any warranty with its time and mileage, and the total. Some states add more: Florida, for example, requires the shop's state registration number on the invoice.

Do I need the customer's approval before doing extra repairs?

In many states, yes. Florida does not allow a shop to charge more than the written estimate plus $10 or 10%, whichever is greater, up to $50, without the customer's authorisation. New York requires the customer's permission for any work, and when it is given by phone the invoice must show the date, time and name of the person who authorised it. Check your own state's rules.

How do I invoice a fleet account?

Agree the terms and the purchase order process in writing first. Then put the fleet's PO, the vehicle's unit number, VIN and odometer, and the driver or department on each invoice, and send it to the fleet's accounts-payable contact. Ask whether they want an invoice per repair order or a monthly statement, and keep their tax exemption certificate on file if they are exempt.

Should OEM and aftermarket parts be listed differently?

List each part on its own line with its part number and brand, and say whether it is original equipment (OEM) or aftermarket, and new, used or rebuilt. Some states require the condition: New York's DMV says the invoice must show which parts are used or not of original quality, and Florida's statute requires used, rebuilt or reconditioned parts to be identified.

Should each technician be named on the invoice?

No law we found requires it, but it helps. A technician name or ID on each labor line lets you trace a comeback to the person who did the work and matches the invoice to your time records. Use an ID if your technicians prefer not to have their names on customer paperwork.

Can a multi-bay shop use InvoiceQuickly?

For the invoice itself, yes: line items with quantity and rate, one tax rate and one discount per invoice, notes, PDF download, and on Pro email delivery, estimates your customer can accept in a client portal, payment links through your own Stripe or PayPal account and up to 5 team seats (10 on Business at $19 a month). It is not shop management software: it has no repair orders, parts inventory, VIN lookup or per-line tax, and the Pro timer is general time tracking, not a technician time clock tied to repair orders.
