Setting it up
Setup takes 10 minutes for QuickBooks Online users; QuickBooks Desktop is not currently supported. Prerequisites: QuickBooks Online account (Simple Start or higher), admin access to QBO, InvoiceQuickly admin role. From Settings β Integrations β QuickBooks, click 'Connect QuickBooks Online' and complete OAuth. Choose sync direction: invoices only (recommended for most), or invoices + customers + items. Initial sync of historical invoices is optional (typically skipped β start fresh from connection date).
Best practices
Map account codes during initial setup
QuickBooks requires every line item to map to an income account (Sales, Service Revenue, Consulting Income, etc.). Map these once during setup so InvoiceQuickly's AI-generated invoices route to the correct GL automatically.
Use QuickBooks for tax filing, InvoiceQuickly for invoice creation
Don't try to replace QuickBooks's GL functionality. Generate invoices fast in InvoiceQuickly, sync to QBO for tax filing, reporting, and reconciliation. Best of both.
Sync customers from QBO during initial setup
If you have an established customer list in QuickBooks, sync customers to InvoiceQuickly during setup. New invoices match against existing QBO customer records β prevents duplicate customer creation.
Reconcile sync gaps weekly
Network hiccups occasionally cause invoices to not sync. Once a week, reconcile InvoiceQuickly invoice count vs QuickBooks Sales count for the period. Manually re-sync any missing invoices via the integration UI.
Common issues
Invoice fails to sync with 'tax code not found' error
QuickBooks tax codes (e.g., NON-T, OUT-OF-STATE) must be configured in QBO before InvoiceQuickly can apply them. Set up tax codes in QBO β Sales Tax Center β Add Sales Tax Rate. Re-sync the failed invoice.
Customer name mismatch creates duplicate
QBO matches customers by exact name. If you have 'Acme Corp' in QBO and InvoiceQuickly creates invoice for 'Acme Corporation', a duplicate is created. Standardize customer names in QBO; future invoices match correctly.
OAuth token expires every 100 days
QuickBooks OAuth tokens expire and require re-authorization. InvoiceQuickly notifies you 14 days before expiration. Reconnect via Settings β Integrations β QuickBooks before the deadline.
