Mexico Invoice Template (CFDI 4.0): Field Reference

This is a reference layout of the data a Mexican electronic invoice (CFDI, version 4.0) carries under Article 29-A of the Federal Tax Code and Annex 20 of the SAT's rules: the issuer's and receiver's RFC, names and tax regimes, the receiver's tax postcode and uso CFDI, SAT catalogue codes for each line, and IVA broken down by rate. Use it to collect your customer's details and plan your invoice before you enter it in a certification provider's (PAC's) system or the SAT's free invoicing application. It is not a CFDI. In Mexico the invoice is an XML file that must be certified (timbrado) before it is issued; a printed or PDF version, whether from this layout or from InvoiceQuickly, does not let your customer deduct or credit the amount. The layout downloads as an editable HTML file.

How to fill in this Invoice Mexico (CFDI)

  1. Download the template. It opens as an editable HTML file in your browser.
  2. Replace each bracketed field with your details. Totals are not calculated for you, so check the arithmetic.
  3. Print it or save it as a PDF from your browser. InvoiceQuickly does not create or store this document type.

Recommended Payment Terms

State whether the invoice is paid in one instalment at issue (método de pago PUE) or later or in instalments (PPD, with forma de pago "99" Por definir). For a PPD invoice, issue a payment-receipt CFDI with the payment complement each time you receive a payment, referencing the original CFDI's UUID. Include your CLABE or other payment details in your terms.

Tax Information

IVA is 16% of the value and must be charged expressly and separately (Article 1, Ley del IVA). Listed goods such as most unprocessed food, and exports, are taxed at 0% (Articles 2-A and 29). Qualifying sales from premises in the northern and southern border regions can apply an effective 8% under fiscal stimulus decrees that are in force until 31 December 2026, after filing a notice with the SAT. Companies that receive independent services or rent property from individuals withhold part of the IVA (Article 1-A). InvoiceQuickly cannot produce CFDI, apply SAT catalogue codes, print RFCs or connect to a PAC, and Mexican pesos are not among the currencies its editor offers.

Industry context (2026)

Article 29 of Mexico's Federal Tax Code requires receipts to be issued as CFDI, certified by the SAT or an authorised provider before issue; the printed version only presumes the CFDI exists. A November 2025 reform added that CFDI must cover real operations or are treated as false (Código Fiscal de la Federación, last reformed DOF 9 April 2026). The northern and southern border fiscal stimulus decrees, which allow an effective 8% IVA rate, were extended on 31 December 2025 until 31 December 2026 (DOF via SIDOF). Worked example

Estudio Lumbre S.A. de C.V., a Mexico City design studio (régimen 601), invoices Comercializadora Norte S.A. de C.V. in Monterrey for a brand identity (an illustrative example). Lines: brand identity design MXN 40,000.00 and 10 hours of brand consulting at MXN 1,200.00 = MXN 12,000.00. Subtotal MXN 52,000.00, IVA 16% MXN 8,320.00, total MXN 60,320.00. The CFDI shows both RFCs and names, the receiver's tax postcode and régimen fiscal, uso CFDI G03, ObjetoImp 02 on each line, and método de pago PPD with forma de pago 99 because payment is due in 30 days. A PAC certifies it and returns the UUID; when the transfer arrives, Estudio Lumbre issues a payment-receipt CFDI. Border variant: the same service sold and delivered by its Tijuana branch under the border stimulus carries IVA at 8% (MXN 4,160.00), for a total of MXN 56,160.00.

Common mistakes to avoid

Sending a PDF instead of a certified CFDI

Without certification there is no UUID and no CFDI. Your customer cannot deduct or credit the amount.

Receiver data that does not match the SAT

CFDI 4.0 checks the receiver's RFC, name, tax postcode and régimen fiscal. Collect them exactly as registered.

Using PUE when payment comes later

If the customer pays after the invoice date or in instalments, use PPD with forma de pago 99 and issue a payment-receipt CFDI for each payment.

Applying 8% outside the border stimulus

The 8% rate applies only to qualifying sales from premises in the listed border municipalities, delivered there, after the SAT notice, and only while the decree is in force.

Cancelling without the receiver's acceptance

Most cancellations need the receiver to accept, and must be made by the month the annual income tax return for that year is due.

Invoicing Tips

  • 1Ask your customer for their RFC, name, tax postcode, régimen fiscal and uso CFDI exactly as the SAT holds them. A mismatch stops certification.
  • 2Choose ClaveProdServ and ClaveUnidad codes from the SAT catalogues for each line before you invoice.
  • 3Use PPD and forma de pago "99" when payment comes after the invoice, then issue a payment-receipt CFDI when the money arrives.
  • 4Deliver the XML file to your customer. The PDF is only a printed representation.
  • 5For customers abroad, use the generic RFC XEXX010101000, their country and uso CFDI "S01".

Frequently Asked Questions

Is this template a valid Mexican invoice?

No. A Mexican invoice must be a CFDI: an XML file certified by an authorised provider (PAC) or the SAT, which assigns a UUID and adds the SAT's seal. A printed or PDF layout cannot be deducted or credited by your customer. Use this layout to gather the data you will enter in your PAC's system or the SAT's free application.

What does a CFDI 4.0 need?

The issuer's RFC, name and régimen fiscal; place and date of issue; the receiver's RFC, name, tax postcode, régimen fiscal and uso CFDI; quantity, unit, SAT product and unit codes, description and unit value for each line; whether each line is subject to tax; taxes broken down by rate; the total; and the payment method and form. Certification adds the UUID and seals.

What IVA rate should I use?

16% in most cases, 0% for listed goods and for exports, and 8% for qualifying sales in the border regions under decrees in force until 31 December 2026.

Can InvoiceQuickly create a CFDI?

No. InvoiceQuickly produces PDF invoices only. It has no CFDI XML output, no PAC connection and no SAT catalogue fields. Mexican taxpayers should issue invoices through a PAC or the SAT's free application.

What is uso CFDI?

The code for how the receiver will use the invoice for tax purposes, from the SAT's catalogue, for example G03 for general expenses. The receiver chooses it, and it must fit their régimen fiscal.
