Canadian Invoice Template with GST/HST Fields
A free, editable invoice layout for Canadian businesses registered for GST/HST. It has a field for each detail the Canada Revenue Agency lists for input tax credit claims: your business name and GST/HST registration number, the invoice date, the tax charged, the buyer's name, a description and payment terms for sales of C$500 or more. It also has fields for the province of supply and for PST or QST where you charge them. The download is an HTML file you edit in your browser and print or save as PDF. You choose the rate and calculate the tax yourself; the layout does not check your province's rules.

Recommended Payment Terms
No federal law sets one payment term for business invoices, so state your own and match it to your contract, for example "Due within 30 days of the invoice date". From C$500 the CRA's input tax credit rules require the terms of payment to appear on the invoice, so write them out rather than relying on a separate agreement. Include how to pay (e-transfer, bank transfer or cheque) and the invoice number to quote.

Tax Information
The rate depends on the province where the supply is made, usually the customer's address for services: 5% GST in Alberta and the territories; 13% HST in Ontario; 14% HST in Nova Scotia (since 1 April 2025); 15% HST in New Brunswick, Newfoundland and Labrador and Prince Edward Island; 5% GST plus PST in British Columbia (7%), Manitoba (7%) and Saskatchewan (6%); and 5% GST plus 9.975% QST in Québec, with QST calculated on the price before GST. Registration is required once taxable sales exceed C$30,000 in a calendar quarter or over four consecutive quarters.
Industry context (2026)
As of October 2026, the CRA's input tax credit information requirements (page updated 14 October 2026) use three tiers: under C$100, C$100 to C$499.99, and C$500 or more. They replaced the older C$30 and C$150 tiers, so older templates may be out of date. The CRA's rate table (updated 1 April 2025) lists 5% GST, 13% to 15% HST in the five harmonized provinces, PST in British Columbia, Manitoba and Saskatchewan, and QST in Québec, administered by Revenu Québec. The CRA's rules set what information an invoice contains, not a file format, and invoices are not submitted to the government before they are issued.
Worked example
Sam, a GST/HST-registered brand designer in Toronto, invoices a Halifax company. Because the client's business address is in Nova Scotia, the services are supplied there and 14% HST applies. Lines: brand identity package 1 x C$3,200.00; revision rounds 2 x C$350.00 = C$700.00. Subtotal C$3,900.00, HST at 14% C$546.00, total C$4,446.00. As the total is over C$500, the invoice shows Sam's business name and GST/HST number, the date (27 October 2026), invoice number INV-0108, the client's legal name, a description of each line, the HST charged and "Due within 30 days". The same work for a Montréal client would instead carry 5% GST (C$195.00) and 9.975% QST on C$3,900.00 (C$389.03) as two separate lines.
Common mistakes to avoid
Charging your own province's rate
For most services the rate follows the customer's address. A Toronto business invoicing a Halifax client charges 14% Nova Scotia HST, not 13% Ontario HST.
Using the old 15% rate for Nova Scotia
Nova Scotia's HST fell to 14% on 1 April 2025. Templates and accounting settings from before then may still say 15%.
Missing the GST/HST number on invoices from C$100
Without your registration number your customer cannot support an input tax credit claim, and you may be asked to reissue the invoice.
Calculating QST on the GST-inclusive amount
QST is 9.975% of the price before GST. On C$1,000 it is C$99.75, not 9.975% of C$1,050.
Invoicing Tips
- 1Put your GST/HST registration number on every invoice, even under C$100; it is required from C$100 and saves reissuing.
- 2Work out the province of supply before choosing the rate: an Ontario business invoicing a Halifax client charges Nova Scotia's 14% HST.
- 3In Québec, show GST and QST as separate lines and calculate QST on the price excluding GST.
- 4For invoices of C$500 or more, check the buyer's name, a description and the payment terms are all filled in.
- 5Keep issued invoices for six years, in a readable electronic format if you store them digitally.

Frequently Asked Questions
What does a Canadian invoice need for the customer to claim GST/HST back?
Under C$100: your business name, the date and the total. From C$100: also your GST/HST registration number and the GST/HST charged (or a statement that prices include it). From C$500: also the buyer's name, a brief description and the payment terms.
Is this template CRA approved?
The CRA does not approve invoice templates. It lists the information an invoice must contain. This layout has a field for each item, but whether your invoice meets the rules depends on what you enter.
Which HST rate applies in Nova Scotia?
14% for supplies made on or after 1 April 2025, according to the CRA's rate table. The rate was 15% before that date.
What format is the download?
An HTML file. Open it in a browser, click into the bracketed fields to edit them, then print or save it as a PDF. Tax and totals are not calculated for you.
Can InvoiceQuickly create Canadian invoices?
Yes for single-rate GST or HST invoices in CAD: set one tax rate and InvoiceQuickly adds it to the subtotal. Your GST/HST number is copied to new invoice PDFs; check the saved IDs and PDF before sending. It cannot show GST and QST or PST as separate lines and does not produce French invoices.
