Data Analyst Invoice Template

Data analysts tend to bill in three ways, often for the same client: a monthly reporting retainer (dashboard refreshes, a KPI pack, a set number of analyst hours), a fixed fee for a defined deliverable such as a dashboard or an audit, released at sign-off, and hourly work with a cap for jobs nobody can size until they see the data, such as cleaning or reconciling records. On top come costs: a dataset, an API, a tool seat bought for one client. This template gives each its own fields, so the client can see the retainer hours included and used, the cap on uncertain work and how much of it was needed, and which costs are passed through at cost. It also keeps one rule in view: the invoice describes the work in business terms ('Q3 retention analysis for board pack'), never the data itself, because invoices travel through email and accounts-payable systems. The download is an editable HTML invoice with invoice number, dates, a line-item table and totals. Fill it in your browser and print it or save it as PDF, or type or say what you did and InvoiceQuickly drafts an editable invoice for you to check before saving.

Recommended Payment Terms

Retainers are billed in advance, on the first of the month, because the client is buying availability for that month; hours used beyond the retainer are billed in arrears on the next invoice. Fixed-fee deliverables are billed at each sign-off (for example 40% at requirements, 40% at acceptance testing, 20% at handover). Capped hourly work is billed when it finishes or at month end. Net 30 is common with larger companies and their accounts-payable cycles; smaller clients often accept net 14. Print the actual due date. If the client's data access arrives late, note the delay on the invoice that covers the affected milestone, so the payment schedule and the project timeline stay consistent.

Tax Information

In the US, the question is usually whether a line is a nontaxable professional service or a taxable data processing service, and the answer depends on the state. Texas is an example where it matters: 34 Texas Administrative Code § 3.330 defines data processing as the computerized entry, retrieval, search, compilation, manipulation or storage of data, taxes it with 20% of the charge exempt, and lists consultation as a nontaxable related service. Texas's state rate is 6.25%, and local jurisdictions can add up to 2% for a maximum of 8.25%, so a data processing line taxed at 8.25% on 80% of its charge carries an effective 6.6% on the whole line. InvoiceQuickly applies one tax percentage to the whole invoice, so put taxable and nontaxable lines on separate invoices. For tax years beginning after 2025, a business generally files Form 1099-NEC if it pays you $2,000 or more for services; expect a Form W-9 request, or a Form W-8BEN if you are outside the US. Industry context (2026)

Three facts shape analytics invoices in 2026. Tax: Texas, one of the states that taxes data processing, defines it in 34 Texas Administrative Code § 3.330 as the computerized entry, retrieval, search, compilation, manipulation or storage of data, exempts 20% of the charge, and treats consultation as a nontaxable related service (amended effective 2 April 2025; text via Cornell LII). The Texas Comptroller sets the state rate at 6.25% with up to 2% local tax, a maximum of 8.25%. Tools: the client usually pays for the BI platform; as of October 2026, Microsoft lists Power BI Pro at $14 and Premium Per User at $24 per user a month, paid yearly, and includes Pro in Microsoft 365 E5. Data: the UK Information Commissioner's Office explains the data minimisation principle (UK GDPR Article 5(1)(c)) as personal data being 'adequate, relevant and limited to what is necessary', a sound rule for what an invoice should say about a client's data. For US contractors, the IRS raised the Form 1099-NEC threshold to $2,000 for payments made after 31 December 2025. Sources accessed 28 October 2026; general information, not tax or legal advice.

Worked example

Worked example (illustrative rates, not market data): a freelance analyst works for an online homewares retailer under a statement of work with a $1,600-a-month reporting retainer (weekly sales dashboard refresh, monthly KPI pack, 8 analyst hours) and $110 an hour for anything else. Invoice INV-0088 is dated 2 November 2026, net 30, due 2 December, cost centre ECOM-OPS. Line 1: reporting retainer, November 2026, billed in advance, 1 × $1,600.00. Line 2: October analysis beyond the retainer: included 8.0 hours, used 11.5, so 3.5 hours × $110.00 = $385.00 (Finance: returns analysis for Q3 review; Marketing: promotion readout). Line 3: product catalogue de-duplication before the platform migration, capped at 12 hours, 10.5 hours used × $110.00 = $1,155.00. Line 4: KPI definitions workshop with the leadership team, 22 October, 2 hours, flat $450.00. Line 5: address-verification API usage for the customer-data cleanup, October, at cost per provider statement, $62.40. Subtotal $3,652.40, tax 0%, total $3,652.40. Notes: 'Power BI licences are in your Microsoft 365 tenant. No data or findings are listed on this invoice.' The numbers show three choices: the retainer is billed for the month ahead while the extra 3.5 hours are billed for the month behind; the cleanup came in under its cap, so no approval was needed; and the API cost is passed through to the cent rather than rounded into the rate. In Texas, if the Comptroller treated the de-duplication as data processing, that line would go on its own invoice with tax on 80% of its charge.

Common mistakes to avoid

Hours with no deliverable

'22 hours, October' gets questioned. Tie each line to a deliverable, question or retainer period so the approver can match it to something they asked for.

Client data in the line description

Table names, customer names or headline figures in a line item leak into email threads and accounts-payable systems. Describe the work, never the data.

Retainer overage without the arithmetic

A month that costs $1,985 instead of $1,600 needs 'included 8.0, used 11.5' on the invoice. Without it, the client assumes the retainer price changed.

Uncapped cleanup work

Data cleaning without an agreed cap turns into an argument when the hours double. Agree a cap, stop at it and get written approval for more.

Tools bought on your account with no handover plan

If the dashboards live in your tool seat, the client loses them when you leave. Keep licences in the client's tenant or agree in writing how they transfer.

Invoicing Tips

  • 1Name each line after the question or deliverable, not the tool: 'Churn dashboard, milestone 2: acceptance testing passed 29 October', not 'Power BI work, 22 hours'.
  • 2Keep data off the invoice: no customer names, table names, revenue figures or findings. The UK GDPR data minimisation principle (personal data limited to what is necessary) is a good test even outside the UK.
  • 3Show retainer hours as 'included 8.0, used 11.5, beyond retainer 3.5'. The client sees why the month costs more without opening your timesheet.
  • 4Agree a cap before cleaning or reconciling data, and stop at the cap to ask. Hours beyond it need the client's written approval, quoted on the invoice line.
  • 5Put tool seats and data subscriptions in the client's name where you can, so access continues if you leave. If you buy them, pass them through at cost with the receipt and the period covered.
  • 6Add the requester's team to ad hoc lines (Finance, Product). It helps the client allocate the cost and shows who is using the retainer.

Frequently Asked Questions

What should a data analyst invoice include?

Your details and the client's, invoice number and dates, the contract or statement of work, then lines for each billing type: the retainer for the period with hours included and used, fixed-fee deliverables with sign-off dates, capped hourly work with the cap, workshops, and data or tool costs at cost. Finish with the total, the due date and how to pay.

Should a data analyst charge hourly, by project or on retainer?

Often all three. A retainer suits regular reporting, a fixed fee suits a defined deliverable like a dashboard, and capped hourly suits work you cannot size until you see the data. Show each on the invoice the way the contract defines it.

How do I invoice data cleaning when I cannot estimate the hours?

Agree an estimate range and a cap first, bill hours up to the cap, and stop to ask when you reach it. If the client approves more hours in writing, bill them on a separate line that quotes the approval date.

Who pays for BI tools and data sources?

Usually the client, in their own account, because they keep the dashboards and data after you leave. For example, Microsoft lists Power BI Pro at $14 per user a month, paid yearly. If you buy a seat or dataset for one client, pass it through at cost with the receipt, and agree who holds the account at handover.

Should I include data or findings on the invoice?

No. Describe the work in business terms ('retention analysis for Q3 board pack') and leave out customer names, table names, figures and conclusions. Invoices are emailed and stored in accounts-payable systems that people outside the project can see.

How is a data analyst invoice different from a data scientist invoice?

A data analyst invoice usually bills reporting, dashboards and analysis on retainer or by deliverable. Data science engagements more often bill modelling and machine learning work, experiments and compute costs, so use the data scientist template for those.
