3D Artist Invoice Template
A 3D artist invoice works best when each line matches a stage of the pipeline the client approved: modeling, texturing and lookdev, rigging, animation and rendering, billed per asset, per milestone or per hour. This template adds the details that cause most disputes in 3D work: how many revision rounds were included and how many were used, render-farm or cloud rendering costs passed through at cost, the file formats delivered, whether source files are included, and exactly what rights the client receives. The download is an editable HTML invoice with invoice number, dates, a line-item table and totals, plus fields for those 3D-specific details. Fill it in your browser, then print it or save it as PDF. To create and send invoices from an account, InvoiceQuickly turns a typed or spoken description of the work into an editable invoice draft you review before saving.

Recommended Payment Terms
For project work, bill at each approved milestone (for example blockout, final models and textures, final renders) rather than at the end, and make the next milestone start after the previous invoice is paid. Net 14 is a common choice for freelancers, while studios and agencies often pay on their own net 30 cycle, so agree terms in the contract and repeat them on every invoice. Ask for a deposit on new clients before you start blockout. If final files are only released on payment, say so on the invoice: 'Final source files delivered on receipt of payment.'

Tax Information
In the US, 3D artists working as independent contractors are paid gross and handle their own income and self-employment tax. Clients usually ask for Form W-9, and the IRS says Form 1099-NEC is filed for payments totalling $2,000 or more in a calendar year for payments made after December 31, 2025 ($600 before that). Sales tax on digital images, 3D files and animation depends on the state and on what is delivered, so check your state's rules before adding a tax line. Outside the US, VAT or GST may apply once you are registered, and cross-border business-to-business services often follow place-of-supply or reverse-charge rules. A template is only a layout: add any tax registration number or wording your tax authority requires. InvoiceQuickly applies one tax percentage per invoice and copies saved business and client tax IDs to new invoice PDFs on its PDF, so put yours in the notes.
Industry context (2026)
Who owns a 3D asset depends on the contract, not on the invoice. The US Copyright Office's Circular 30 (revised August 2024) explains that a commissioned work by an independent contractor is a work made for hire only if it falls within one of nine categories (such as part of a motion picture or other audiovisual work, or a contribution to a collective work) and both parties sign a written agreement saying so. A stand-alone product model or still render may fit none of those categories, and section 204(a) of the Copyright Act says any other transfer of copyright ownership is valid only in a writing signed by the owner. That is why this template has a license line. On the tax side, the IRS raised the Form 1099-NEC reporting threshold from $600 to $2,000 for payments made after December 31, 2025, so US clients that pay you less than $2,000 in a year may no longer send a 1099-NEC, although the income is still taxable.
Worked example
Worked example: Lena Ortiz, a freelance 3D artist in Oregon, is building product visuals for six furniture SKUs for an online retailer. The contract has three milestones, two included revision rounds and a non-exclusive license for web and marketplace use. The milestone 1 deposit is already paid. Invoice INV-0027 for milestone 2 of 3 lists: modeling, 6 SKUs at $240 = $1,440.00; texturing and lookdev, PBR 4K materials, 6 SKUs at $110 = $660.00; still renders, 4 angles for each of the 6 SKUs, 24 at $35 = $840.00; 360-degree turntables for 2 hero SKUs at $180 = $360.00; cloud render cost passed through at cost, receipt attached, $96.40; revision round 3 (2 included), 3 hours at $85 = $255.00. Total $3,651.40, net 14. No sales tax line is added in this example; Lena checked her own state's rules first, and the answer can differ in other states. Notes on the invoice: 'Delivered: FBX and glTF models, PNG renders at 3000 x 3000 px. Source .blend files not included (available for $400). License: non-exclusive, perpetual, web and marketplace use, per agreement dated 2 September 2026; copyright stays with the artist.' The producer can approve every line against the brief, and the license line prevents the most common later dispute: whether the retailer may reuse the models in print or resell them.
Common mistakes to avoid
One line for the whole project
'3D work, $3,651.40' gives the client's producer nothing to approve. Break it into stages and assets so each line can be checked against the brief.
Unbilled extra revisions
If the contract includes two rounds and the client asks for a third, bill it as its own line with the round number. Silently absorbing extra rounds resets the client's expectations for the next project.
No license line
Without it, clients may assume they own the models outright and can reuse or resell them. State the use, media, term and exclusivity, and whether copyright stays with you.
Hidden render costs
Cloud GPU and render-farm bills can be large on animation work. Pass them through as a separate line with the receipt instead of burying them in your rate.
Unclear file deliverables
Listing 'final files' without formats invites a second round of exports for free. Name the formats, resolution and whether source files are included.
Invoicing Tips
- 1Write each line as stage plus asset plus count, for example 'Texturing and lookdev, PBR 4K, 6 SKUs', so a producer can check it against the brief without asking.
- 2State revision rounds as included and used ('Revision round 3 of 2 included, 3 h at $85') so extra rounds are billed as agreed, not argued about.
- 3Pass render-farm or cloud GPU costs through at cost with the provider's receipt attached, or show your markup openly.
- 4List the delivered file formats and resolution. 'Final model' means different things in a game engine, an e-commerce viewer and a VFX pipeline.
- 5Put the license on the invoice in one line (use, media, term, exclusivity) and point to the signed agreement for anything more.
- 6Price source files separately if you keep them by default, so clients who need them can buy them without renegotiating the project.

Frequently Asked Questions
What should a 3D artist invoice include?
Your and the client's details, invoice number, issue and due dates, the project and milestone, one line per pipeline stage and asset with quantity and rate, render or other pass-through costs, revision rounds used, delivered file formats, the license granted, the total, and payment instructions.
Should 3D work be billed per hour, per asset or per milestone?
Per asset or per milestone suits defined deliverables such as product models or a character, because the client knows the price upfront. Hourly suits research, look development and open-ended revisions. Many 3D artists combine them: fixed prices for agreed assets, plus an hourly rate for extra rounds and changes of brief.
Should render farm costs go on the invoice?
Yes, as their own line. Show them at cost with the provider's receipt, or with a stated markup, and agree in advance whether the client pays for re-renders caused by their own changes.
Does paying a 3D artist invoice transfer copyright?
Not by itself. In the US, a commissioned work is a work made for hire only if it falls in one of nine statutory categories and both parties sign a written agreement saying so, and any other transfer of copyright must be in writing and signed by the owner. State on the invoice what license the client gets and refer to the signed agreement.
How do I bill extra revision rounds?
Agree the number of included rounds and the rate for extra rounds before work starts. On the invoice, add a separate line for each extra round with the hours or fixed fee, and note which round it was, for example 'Revision round 3 (2 included)'.
Will a US client send me a Form 1099-NEC?
If you are an independent contractor and the client pays you $2,000 or more in a calendar year for payments made after December 31, 2025, the IRS says the client reports it on Form 1099-NEC. Clients normally ask for a Form W-9 before the first payment.
