Resume Writer Invoice Template

Resume writing is usually sold as a package to an individual job seeker, paid before or during the work, so the invoice has to make the scope unmistakable: which documents, for which target role, how many revision rounds, what turnaround and what happens if the client wants more. Some work is paid by a third party, such as an employer funding outplacement or a career services provider subcontracting to you, and then the invoice also needs their PO and the name of the person you wrote for. Use this template for individual packages, add-on orders (a cover letter or LinkedIn rewrite later) and third-party-paid work. The download is an editable HTML file with the invoice header, a description, quantity, rate and amount table, and resume-specific fields for the client and target role, package tier, documents, consultation, revisions included and used, rush fee, deposit and balance, file formats, third-party payer and your refund terms. Fill it in your browser, then print it or save it as PDF.

Recommended Payment Terms

Individual clients usually pay in full at booking or pay a deposit (often half) at booking with the balance due before you release the final files. Releasing editable files only after payment is the main protection a resume writer has, because the deliverable cannot be taken back once sent. Third-party payers such as employers or outplacement firms normally expect an invoice after delivery on net 15 or net 30 terms with their PO number. State your refund terms before the client pays: for example, the deposit is refundable until the first draft is sent, and no refund after final files are delivered. Do not promise interviews or job offers in your terms or on the invoice.

Tax Information

Whether resume writing is subject to sales tax depends on the state and on how the service is delivered, so check your own state's revenue department guidance before you add or leave out tax. If you are self-employed, keep a record of every payment for your own income tax. Business clients that pay you $2,000 or more in a year for services report it on Form 1099-NEC for tax years beginning after 2025, and they will usually ask for Form W-9 first. Whether an individual client can deduct your fee is their own tax question, so do not state on the invoice that it is deductible. This is general information, not tax advice.

Industry context (2026)

Federal hiring has made 'federal resume' a separate product. The U.S. Office of Personnel Management's Applicant Guidance on the Two-Page Resume Limit, issued under its Merit Hiring Plan, says resumes must be no longer than two pages and must address the minimum qualifications and other requirements in the job announcement, and that beginning on 27 September 2025 job seekers can modify, upload or build a resume in their USAJOBS profile to meet the two-page requirement and must choose a resume of two pages or less to apply. The same guidance asks for job title and employer (with series and grade for federal positions), start and end dates in month and year, and hours worked per week for each relevant role. A writer who used to sell long-form federal resumes now sells a tightly edited two-page document, often with supporting material moved into other parts of the application, so the package name and scope on the invoice should say which format the client is buying. For the tax side, US business clients, such as employers paying for outplacement, report payments for services of $2,000 or more a year on Form 1099-NEC for tax years beginning after 2025, according to the IRS instructions for Forms 1099-MISC and 1099-NEC.

Worked example

Clearline Career Writing sells packages from its own price list: executive resume $650, cover letter $125, LinkedIn profile rewrite $225, each package including a 45-minute intake call and two revision rounds, rush delivery in 3 business days at 20% of the writing fees, additional revision round $75. Priya Raman orders an executive resume for VP Operations roles in logistics, a cover letter and a LinkedIn rewrite, with rush delivery. Invoice INV-0233, issued 5 October 2026. Line 1: executive resume, VP Operations (logistics), intake call and 2 revision rounds included, 1 x $650.00. Line 2: cover letter, same target role, 1 x $125.00. Line 3: LinkedIn profile rewrite (headline, About, experience), 1 x $225.00. Line 4: rush delivery, first drafts by 8 October 2026, 20% of $1,000.00 writing fees, 1 x $200.00. Total $1,200.00, no sales tax in the writer's state. Terms: 50% deposit at booking, balance due before editable DOCX and PDF files are released; deposit refundable until first drafts are sent. Priya pays the $600.00 deposit on 5 October, recorded as a partial payment, leaving $600.00. Drafts go out on 8 October, she uses both revision rounds, and pays the $600.00 balance on 14 October; the invoice is now paid and the final files are released. On 20 October she asks for a third round to retarget the resume slightly toward supply chain director roles. Because the first invoice has already been sent and paid, Clearline issues a new invoice, INV-0241: additional revision round, executive resume, 1 x $75.00, due on receipt.

Common mistakes to avoid

No target role on the invoice

Without the role and industry, 'one more version' requests look like revisions. Naming the target role records the scope you agreed and makes a new direction a new order.

Unlimited revisions by default

If the invoice and terms do not say how many rounds are included, the client will assume there is no limit. State the number and count them.

Releasing editable files before payment

Once the DOCX is sent, the work is delivered. Send drafts for review in a read-only format and release final editable files when the balance is paid.

Promising results

Wording such as 'guaranteed interviews' on an invoice or in terms creates refund disputes you cannot control. Promise the deliverables and the revisions, not the hiring outcome.

Invoicing the wrong party

When an employer or outplacement firm pays, an invoice addressed only to the job seeker may be rejected. Bill the payer, include their PO and name the job seeker in the description.

Invoicing Tips

  • 1Name the target role on the invoice ('Executive resume: VP Operations, logistics'). It records the scope you agreed and makes a later 'can you also do a version for sales roles?' a clear new order.
  • 2Count revision rounds on the invoice: '2 rounds included, 2 used'. When the client asks for a third, it is already visible that it is extra.
  • 3Bill rush turnaround as its own line with the delivery date promised, not folded into the package price.
  • 4Take the deposit before the intake call and release editable files after the balance is paid. Send a watermarked or PDF-only draft for review if you need to.
  • 5For federal resumes, name the format on the invoice. USAJOBS has required resumes of two pages or less since 27 September 2025, so a federal package is a distinct product from a long-form CV.
  • 6When an employer or outplacement firm pays, put their PO on the invoice and the job seeker's name in the line description, and confirm who receives the files.
  • 7In InvoiceQuickly, only draft invoices can be edited. If a client orders an extra revision round after you have sent the invoice, bill it on a new invoice.

Frequently Asked Questions

What should a resume writer invoice include?

Your business name and contact details, the client's name, an invoice number, dates and terms, then the package or documents (resume tier, cover letter, LinkedIn profile), the target role, consultation, revision rounds included and any extra rounds, rush fee, deposit received and balance due, file formats delivered and your refund terms. Add a PO number if an employer or outplacement firm is paying.

Should resume writers take payment up front?

Most do, either in full at booking or as a deposit with the balance due before final files are released. A finished resume cannot be returned, so releasing editable files only after payment protects you. Third-party payers such as employers usually pay on invoice after delivery instead.

How do I bill extra revisions?

State how many revision rounds the package includes, track rounds used on the invoice, and bill any extra round as a separate line at a price set in your terms. Changing the target role is usually a new document, not a revision, so say so in your terms.

How should I invoice a federal resume?

As its own package, naming the format. The U.S. Office of Personnel Management's applicant guidance says resumes for federal jobs must be no longer than two pages and must address the minimum qualifications in the job announcement, with work experience showing dates in month and year and hours worked per week. Federal resume work differs from a private-sector resume, so price and describe it separately.

Can I offer a refund or an interview guarantee?

Refund terms are your business decision; put them in writing before the client pays and repeat them on the invoice. Avoid guaranteeing interviews or job offers, since the outcome depends on the employer. If you offer a revision guarantee instead, define its time limit and scope.

Can I create resume writer invoices in InvoiceQuickly?
