Relationship Coaching Invoice Template

A relationship coaching invoice has two jobs a general coaching invoice does not. It often goes to two people, who may pay separately, and it can be read by someone other than the client: a partner, a shared email account or an employer's expense system. So it should name who is being billed and how any split works, and describe sessions neutrally, by type, length and date, never by what was discussed. This template covers couples and individual sessions, an intake session, multi-session packages, workshops and your cancellation policy. The download is an editable HTML file with your business, the client, invoice number, issue and due dates, a line table (description, quantity, rate, amount) and totals, plus the coaching fields below. Fill it in your browser, then print it or save it as PDF. Coaching is not therapy: if you are not a licensed mental health professional, do not describe your services as counselling or therapy on the invoice.

Recommended Payment Terms

Coaches commonly take payment before sessions: per session at booking, or for a package before the first session in it. Put the package expiry on the invoice (for example "6 sessions, to be used by 30 April 2027") and say what happens to unused sessions if the couple stops. If both partners pay, agree the split in the coaching agreement and print it on the invoice, for example "50/50: $635.00 each", so neither has to ask the other what they owe. Record each partner's payment separately against the same invoice; the invoice is settled when both payments have arrived. Keep the cancellation rule short and specific, such as "Sessions cancelled with less than 48 hours' notice are charged in full."

Tax Information

Whether coaching fees are taxable depends on where you work: in the US it is a state-by-state question, and in countries with VAT or GST it usually depends on whether you are registered. Check with your state or national tax authority before adding tax. Coaching is not a medical service, so do not add diagnosis or treatment codes to a coaching invoice or present it as a medical bill; if a client asks whether they can claim it from insurance or a health account, that is a question for their plan, not something the invoice should suggest. InvoiceQuickly applies one tax percentage per invoice and copies saved tax IDs to new invoice PDFs; add the ID to the notes if you need it shown. This is general information, not tax or legal advice.

Industry context (2026)

Relationship coaching is not a licensed profession in most places, but the words used to describe it can be. California's Business and Professions Code section 4980 (as updated 1 January 2024, accessed via public.law 27 October 2026) says a person may not practise marriage and family therapy without a licence, and may not advertise that they perform the services of a marriage, family, child, domestic or marital consultant without one; other states and countries set their own rules. That is the practical reason this template says "coaching", not "counselling" or "therapy". Professional standards point the same way on paperwork. The International Coaching Federation's Code of Ethics, in effect since 1 April 2025, asks coaches to co-create a coaching agreement covering roles, responsibilities, confidentiality and financial arrangements before coaching begins, lists payment terms and cancellation policies among its typical contents, and requires the strictest level of confidentiality with all parties (accessed 27 October 2026). An invoice that repeats the agreed fees and cancellation terms, and says nothing about session content, follows both. This page does not quote market rates for coaching: we found no dated primary source for them.

Worked example

Illustrative figures. A relationship coach invoices a couple, Jordan and Sam Lee, on INV-0067, issued 2 November 2026, due 9 November 2026, before the first package session on 12 November. Line 1: "Intake session, couples, 90 minutes, 29 October 2026", 1 x $180.00 = $180.00. Line 2: "Couples coaching package, 6 sessions of 60 minutes, weekly from 12 November, to be used by 30 April 2027 (single session $165.00)", 6 x $150.00 = $900.00. Line 3: "Communication workshop, Saturday 14 November 2026, 10:00 to 13:00", 2 places x $95.00 = $190.00. Subtotal $180.00 + $900.00 + $190.00 = $1,270.00. Tax 0% (the coach checked that coaching is not taxable in their state). Total $1,270.00. Payment split printed under the total: "Agreed 50/50: Jordan Lee $635.00, Sam Lee $635.00." Terms: "Sessions cancelled with less than 48 hours' notice are charged in full. Unused package sessions are refunded at $150.00 each if you end coaching with 7 days' written notice." Jordan pays $635.00 on 4 November and Sam pays $635.00 on 6 November; the coach records two payments against the same invoice and it shows paid after the second. Nothing on the invoice says why the couple came to coaching, so it can sit in either partner's email or an expense system without revealing anything private.

Common mistakes to avoid

Describing what the session was about

"Session on trust issues after affair" on an invoice is a privacy breach waiting to happen. Use the session type, length and date only.

Calling coaching counselling or therapy

In some places those words describe licensed services. Unless you hold the licence, keep "coaching" on every line and in your business description.

Sending to a shared inbox by default

A joint email account or a partner's work email may not be where the client wants their coaching invoices. Confirm the billing address at intake.

Splitting one package into two invoices

Two invoices for one package make refunds and cancellations hard to track. Use one invoice with both names and the agreed split, and record each partner's payment against it.

No expiry on a package

A couple who pauses after two sessions and returns a year later will expect the remaining four at the old price. Put a use-by date and the refund rule on the package line.

Invoicing Tips

  • 1Describe sessions by type, length and date only: "Couples coaching session, 60 minutes, 12 November". Never put topics, goals or anything said in a session on an invoice.
  • 2Send the invoice to the email address the client chose for billing, not automatically to both partners or to a shared inbox. Ask at intake.
  • 3Price a package per session on its own line ("6 sessions at $150.00"), with the single-session rate in the description if it is different.
  • 4If partners split the fee, print the split and each share on the invoice, and record each payment separately.
  • 5Bill workshops by place, not by couple, if that is how you sell them: "Communication workshop, 14 November, 2 places".
  • 6Repeat the cancellation policy from your coaching agreement on every invoice, so a late cancellation fee is never a surprise.

Frequently Asked Questions

What should a relationship coaching invoice include?

Your business details, the client or clients named on your agreement, a unique invoice number, issue and due dates, one line per service (couples or individual session, intake, package, workshop) with length, dates and rate, the total, any agreed payment split, payment instructions and your cancellation policy. Leave out session content and anything health-related.

Should I invoice both partners or one?

Invoice whoever your coaching agreement says is responsible for payment. If both partners pay, put both names on one invoice and print the agreed split, rather than sending two invoices for one package, which makes cancellations and refunds harder to track.

How do I keep a coaching invoice private?

Use neutral descriptions such as "Coaching session, 60 minutes", send it only to the billing email the client chose, and keep your session notes completely separate from your billing records. The ICF Code of Ethics asks coaches to keep the strictest level of confidentiality and to agree financial arrangements in the coaching agreement.

Can I call it couples counselling or therapy on the invoice?

Only if you hold the licence that allows it. In California, for example, Business and Professions Code section 4980 bars anyone without a marriage and family therapist licence from practising marriage and family therapy or advertising that they perform the services of a marriage, family or marital consultant. Other states and countries have their own rules. Describe coaching as coaching.

How do I invoice a coaching package?

Invoice it before the first session, with the number of sessions, the per-session price, the session length and an expiry date. Add one-off items such as an intake session or workshop places as separate lines. Do not change a sent invoice when sessions are used; track usage against the package.

Can I charge for a late cancellation?

Yes, if your coaching agreement says so and the client agreed before starting. Bill it as its own line with the session date and the policy that applies, for example "Late cancellation, 19 November session, under 48 hours' notice, per agreement".

Do I need to charge tax on relationship coaching?

It depends on where you work. In the US, sales tax on services is set state by state; in VAT or GST countries it usually depends on whether you are registered. Check with your tax authority before adding tax to an invoice.

Can InvoiceQuickly create a relationship coaching invoice?

Yes. Describe the package, for example "Jordan and Sam Lee, intake $180, 6 couples sessions at $150, 2 workshop places at $95, split 50/50", and InvoiceQuickly drafts an editable invoice you review before saving. You can record each partner's payment separately on any plan. Free includes 5 invoices; Pro ($9/month) adds email delivery, a private client portal and reminders. It does not book sessions or store session notes.
