Business Coaching Invoice Template
A business coaching invoice usually goes to a company, not a person. The client is the business that signed the coaching agreement, often a small firm whose owner is also the person being coached, or a company paying for its managers or leadership team. That changes what the invoice needs. It has to be addressed to the business in its legal name, with any purchase order or approver, so it can be paid and recorded as a business cost. It has to show the engagement it belongs to: a six-month programme billed monthly, for example, with the instalment number and the sessions delivered this month. It should separate the one-off items that appear in business coaching more than in personal coaching: a half-day workshop with the leadership team, seats in a group programme, and licensed assessment profiles passed through at cost. And it must not reveal what was discussed, because the people approving the invoice are often not the people being coached. If a corporation is buying coaching for one senior leader, the executive coaching template fits better. The download is an editable HTML invoice with invoice number, dates, a line-item table and totals. Fill it in your browser and print it or save it as PDF.

Recommended Payment Terms
Most business coaching is sold as an engagement of three to twelve months and billed in equal monthly instalments in advance, or as a programme fee split into two or three payments; whatever you choose, it should already be in the coaching agreement, and each invoice should say which instalment it is. Bill one-off items (a workshop, an assessment batch) when they are delivered, either on their own invoice or as separate lines on the next monthly invoice. Companies pay through accounts payable, so ask before the first invoice whether you need a supplier form, Form W-9 in the US or a purchase order number, and use the business's terms if they are reasonable: net 15 or net 30 is common for business clients. If someone else (an investor, a franchise owner, a trade programme) is paying for the coaching, the coaching agreement should say so and the invoice goes to them.

Tax Information
United States: a business that pays an unincorporated coach $2,000 or more for services in 2026 generally reports it on Form 1099-NEC (the threshold was $600 for payments made before 2026), so expect a request for Form W-9 before the first payment. Payments the business makes by card or through a payment network are reported on Form 1099-K instead. Whether coaching is subject to sales tax depends on the state, so check your state revenue department. United Kingdom: charge VAT on coaching only if you are VAT registered; registration is compulsory once taxable turnover for the last 12 months passes £90,000; coaching a business customer in another country generally falls under the business-to-business place-of-supply rules, so check HMRC's Notice 741A before charging UK VAT. Costs you pass on, such as assessment licences, are normally part of your supply for VAT. InvoiceQuickly applies one tax percentage per invoice and copies saved tax IDs to new invoice PDFs; check the saved IDs and PDF before sending. Industry context (2026)
Coaching is largely self-regulated, so the coaching agreement and professional codes do most of the work of setting terms. The International Coaching Federation's Code of Ethics, in effect since 1 April 2025, asks coaches to co-create an agreement with clients, sponsors and other involved parties before coaching begins, covering roles, responsibilities, confidentiality and financial arrangements (standard 1.1); to keep the strictest confidentiality with all parties (2.1); to have a clear agreement about what information is exchanged and how among all parties (2.2); and to disclose compensation paid or received for referrals (3.8). For an invoice that goes to a business, that means the fee structure and what the sponsor sees are settled before the first session. On tax, the IRS Form 1099-NEC threshold for payments after 31 December 2025 is $2,000, and the UK VAT registration threshold is £90,000 of taxable turnover over the previous 12 months (both checked October 2026). General information, not legal or tax advice.
Worked example
Worked example (illustrative fees, not market data): a self-employed business coach signs a six-month agreement with Harbor Street Bakery LLC, dated 1 September 2026, to coach the owner and, later, the four-person management team. The agreement sets $1,800 a month in advance, covering two 90-minute sessions and a weekly 20-minute accountability call, plus a half-day team workshop at $1,200 and assessment profiles at cost. Invoice BC-0207 is dated 1 October 2026, net 15, due 16 October. Line 1: business coaching programme, month 2 of 6 (October), 2 × 90-minute sessions and weekly accountability calls, 1 × $1,800.00. Line 2: leadership team workshop, 24 September, 4 hours, 5 participants, 1 × $1,200.00. Line 3: workstyle assessment profiles for 5 participants, at cost, supplier invoice 20931, 5 × $48.00 = $240.00. Subtotal $3,240.00, tax 0%, total due $3,240.00. Notes: 'PO 7714. Coaching agreement of 1 September 2026. September sessions held 8 and 22 September.' Nothing on the invoice says what was discussed. Over the engagement the bakery will pay 6 × $1,800.00 + $1,200.00 + $240.00 = $12,240.00, well over the $2,000 Form 1099-NEC line for 2026, which is why its bookkeeper asked for the coach's W-9 with the first invoice.
Common mistakes to avoid
Invoicing the owner instead of the business
If the company pays, address the invoice to the company in its legal name. An invoice in the owner's personal name causes problems in the business's records.
Session topics on the invoice
'Coaching re: conflict with co-founder' should never appear on a document finance staff will read. List dates and durations only.
No instalment number
A run of identical '$1,800 coaching' invoices makes it hard for the client to see which months are paid. Number each one against the programme.
Workshop folded into the retainer
A one-off workshop billed inside the monthly fee looks like a price rise. Give it its own line with the date and headcount.
Marking up assessment licences without saying so
Bill assessment profiles at cost with the supplier reference, or agree a fixed price per profile in advance.
Invoicing Tips
- 1Address the invoice to the business in its legal name, not to the owner personally. The business's records need an invoice in its own name.
- 2Write the instalment number on every monthly invoice ('Business coaching programme, month 2 of 6'), so the client can see where the engagement stands.
- 3List the dates of sessions and accountability calls delivered, but not their content. The invoice may go to a finance team or co-owner who is not part of the coaching.
- 4For leadership team coaching, agree in writing what the sponsor will see (attendance, themes, nothing) before you start, and keep the invoice to that.
- 5Pass licensed assessment profiles through at the price you paid with the supplier invoice number, unless your agreement sets a fixed price per profile.
- 6Give a workshop its own line with date, length and headcount, so it is not mistaken for part of the monthly fee.

Frequently Asked Questions
Who should a business coaching invoice be addressed to?
The business that signed the coaching agreement, in its legal name, with the approver or accounts-payable contact and any purchase order number. If the owner is the person being coached, still invoice the business if the business is paying. If a third party is funding the coaching, the agreement should say so and the invoice goes to them.
How do I invoice a business coaching retainer?
Bill the agreed monthly fee in advance, one invoice per month, with the instalment number and what the month includes: for example two 90-minute sessions and weekly accountability calls. List the dates delivered. Put anything outside the retainer, such as a workshop, on a separate line.
How much detail about the coaching should the invoice show?
Dates, durations and the service, not the content. The ICF Code of Ethics asks coaches to keep the strictest confidentiality with all parties and to agree what information is exchanged among coach, client and sponsor. Session topics belong in the coaching itself, not on a document finance teams file.
How do I bill assessments like 360-degree feedback or workstyle profiles?
On their own line, with the number of profiles and either the price you paid (with the supplier invoice reference) or the fixed per-profile price in your agreement. If interpreting the results takes a debrief session, bill that as coaching time, separately from the licence cost.
Is business coaching the same as executive coaching on an invoice?
The format is similar. Business coaching more often works with owners and leadership teams of smaller firms and mixes monthly retainers, workshops and group programmes; executive coaching is usually a company buying a programme for one senior leader. Use the executive coaching template for that case.
Do I need to charge VAT or sales tax on business coaching?
In the UK, only if you are VAT registered, and coaching a business abroad usually follows the business-to-business place-of-supply rules. In the US it depends on the state. Check your own tax authority rather than assuming.
