Personal Chef Invoice Template

A personal chef invoice has two very different kinds of money on it: your fee for planning, shopping, cooking and cleaning up, and the groceries you bought for the client. Keeping them on separate lines, with the grocery receipts attached or referenced, is what lets a client see at a glance that the fee is what you agreed and the food cost is what the shop charged. The template is built around that split. It has fields for the service date and location, the menu or number of meals and servings, the service fee, groceries at cost with receipt references, containers, any server or assistant for a dinner party, travel if your agreement charges it, and a grocery advance already paid. Two cautions shape what you put in the tax line. In several states the whole charge is taxable, groceries included, even if you itemize them or the client paid for the food; and if a single household directs how you work, you may be its employee rather than a business sending invoices. Both are covered below. The download is an editable HTML invoice with invoice number, dates, a line-item table and totals. Fill it in your browser and print it or save it as PDF.

Recommended Payment Terms

Weekly meal prep clients are often billed after each session or once a week, due on receipt or within 7 days, because you have already spent your own money on their groceries. For a dinner party or event, ask for a deposit or a grocery advance when the client confirms the date, and invoice the balance after the event with the advance shown as paid. If grocery costs are large or unpredictable, an alternative is to have the client pay the store directly or give you a card to use, so your invoice carries only your fee. Write your cancellation terms down before the first booking: a late cancellation can leave you with groceries you cannot use, and the invoice should be able to point to a rule that says who pays for them.

Tax Information

United States: whether a personal chef charges sales tax depends on the state, and several states tax more than the fee. Iowa's Department of Revenue says a personal chef sells taxable prepared food regardless of who buys the groceries or whether the chef itemizes groceries and the cooking service. Washington's Department of Revenue says personal chefs who prepare food must collect retail sales tax. In California, a CDTFA annotation (550.0848, 1996) treats an independent chef cooking in clients' homes as a caterer whose charges are all taxable, including reimbursement for the cost of food. Other states treat chef services differently, so check your own state's revenue department before setting the tax line to 0%. Employment status: IRS Publication 926 lists cooks among household workers and says a worker is the household's employee if it controls not only what work is done but how it is done; a chef who controls their own work and serves the public in an independent business is self-employed and invoices. InvoiceQuickly applies one tax percentage to the whole invoice, so where groceries are taxed too, that rate applies to every line. General information, not tax advice; last reviewed October 2026.

Industry context (2026)

No national rule decides how a personal chef's invoice is taxed, and the published guidance from Iowa, Washington and California does not support the common assumption that groceries passed through at cost are tax-free. Iowa's Department of Revenue says a personal chef sells taxable prepared food regardless of who purchases the groceries or whether the chef itemizes them. Washington's Department of Revenue describes personal chefs as independent persons who must collect retail sales tax when they prepare food, and adds a note on frozen or refrigerated meals the chef supplies the ingredients for. California's CDTFA annotation 550.0848 (dated 25 June 1996) treats an independent chef cooking in clients' homes as a caterer and taxes all charges, including reimbursement of food costs. All three pages were accessed on 28 October 2026. On employment status, IRS Publication 926 (2026) lists cooks among household workers and applies a control test. Food-handler permits and any licence to cook for clients are set by state and local health departments, so check with yours. General information, not tax or legal advice.

Worked example

Worked example (illustrative fees, not market data): a self-employed personal chef cooks weekly for a family of four. Their agreement sets a $300.00 service fee per session for planning, shopping, cooking five dinners of four servings each and cleaning up, plus groceries at cost and $3.00 per reusable container. Invoice PC-0233 is dated 4 November 2026, due 11 November. Line 1: weekly meal prep, 4 November, 5 dinners × 4 servings (menu attached), service fee, 1 × $300.00. Line 2: groceries at cost, Fresh Market receipt 0412 ($118.42) and Butcher Co. receipt 88 ($23.95), 1 × $142.37. Line 3: reusable containers, 6 × $3.00 = $18.00. Subtotal $460.37. The tax line is a state decision, not a default: in a state that does not tax the service it stays at 0% and the total is $460.37; in Iowa, which taxes a personal chef's sales whatever the itemization, the combined state and local rate applies to the full $460.37, groceries included. A dinner party works the same way with an advance: chef fee $650.00, server 5 hours × $35.00 = $175.00 and groceries $388.40 make $1,213.40, less a $400.00 grocery advance already paid, leaving $813.40 before any tax.

Common mistakes to avoid

Assuming groceries at cost are never taxable

Iowa and California guidance both tax the grocery portion of a personal chef's charges. Check your state before leaving tax off any line.

Fee and groceries in one number

'Meal prep, $460.37' makes the client wonder what you charge. Show the fee, the groceries with receipts and supplies on separate lines.

Adding a tip the client did not agree to

A gratuity is voluntary unless agreed in advance. If you need a mandatory charge, call it a service charge and put it in the agreement.

No cancellation rule for bought groceries

Without a written policy, a late cancellation leaves you arguing about who pays for food already bought.

Invoicing as a contractor when you work like an employee

If one household sets your hours and tells you how to work, the IRS control test may make you its employee. Sort out status before the first invoice.

Invoicing Tips

  • 1Put groceries on their own line at the receipt total, and reference the receipts ('Groceries, Fresh Market receipt 0412 and Butcher Co. receipt 88, at cost'). Mark-ups on groceries are fine only if your agreement says so.
  • 2Keep your fee separate from food cost even where the state taxes both. The split still shows the client what they are paying you for.
  • 3Ask for a grocery advance before a dinner party and show it on the final invoice as already paid, so the balance is clear.
  • 4If you bring a server or assistant, bill their hours on a separate line. A gratuity is the client's choice: do not add one to the invoice unless the client agreed to it, and label any mandatory charge as a service charge, not a tip, since states tax the two differently.
  • 5Record dietary requirements as menu notes ('dairy-free, no tree nuts'), not as medical history. Invoices get forwarded and filed.
  • 6Bill each session on its own invoice or one weekly invoice with dated lines. Grocery totals change every week, so a fixed recurring invoice rarely fits.

Frequently Asked Questions

How do personal chefs charge for groceries?

A common approach is to bill groceries separately at cost, with the store receipts, on top of a service fee for planning, shopping, cooking and clean-up. Some ask for a grocery advance before a large event, or have the client pay the store directly. Whatever you do, state it in your agreement and show groceries on their own line.

Do personal chefs charge sales tax?

It depends on the state. Iowa says a personal chef sells taxable prepared food regardless of who buys the groceries or how the invoice is itemized; Washington says personal chefs who prepare food must collect retail sales tax; a California annotation treats all of an in-home chef's charges, including food reimbursement, as taxable. Check your own state's revenue department.

What is the difference between a personal chef and a private chef on an invoice?

The terms are used loosely. What matters for invoicing is control: IRS Publication 926 says a household worker such as a cook is an employee if the household controls not only what work is done but how. An employee is paid through payroll, not invoices. A chef who sets their own methods and serves several clients as a business invoices like any other service provider.

Should a personal chef add a tip or service charge to the invoice?

Only if the client agreed to it. A voluntary tip is the client's choice and normally stays off the invoice. A mandatory charge should be called a service charge and agreed in advance; several states tax mandatory service charges even when they are called gratuities, as the catering invoice template explains.

What should I charge if a client cancels after I bought groceries?

Whatever your written cancellation policy says. A common approach is to charge the grocery cost already incurred, with receipts, plus a cancellation fee if the notice was shorter than agreed, and to hand over the groceries. Without a written policy, you are negotiating after the loss.
