Spain Invoice Template (Factura)
A free, editable layout for a full invoice (factura completa) issued in Spain. It has fields for the content in article 6 of Real Decreto 1619/2012: a number that is correlative within its series, the issue date, both parties' full names, addresses and NIF, a description with the unit price before tax, the IVA rate, the IVA amount shown separately, and the transaction date if it differs from the issue date. It also has space for the set wording some invoices need, such as "inversión del sujeto pasivo" for the reverse charge, and for any IRPF withholding. The template is a layout, not a guarantee of compliance: you fill in every figure and check which details your supply needs. It downloads as an HTML file you can edit in a browser and print or save as PDF. It is not billing software under Verifactu (Real Decreto 1007/2023) and is not a structured e-invoice under Real Decreto 238/2026.

Recommended Payment Terms
Spanish invoicing rules set when the invoice must be issued, not when it is paid: at the time of the transaction, or before the 16th of the following month when the customer is a business. Agree payment terms with your customer and print them, for example "Pago a 30 días desde la fecha de factura" (payment within 30 days of the invoice date), with your IBAN.

Tax Information
IVA rates published by the AEAT: 21% general, 10% and 4% reduced, and 0% for certain operations. Check the AEAT's annual table for which goods and services take each reduced rate. Show the IVA rate and the IVA amount separately, and show the taxable base per rate if one invoice mixes rates. The IVA amount must be in euros. For reverse-charge supplies, show no Spanish IVA and add the words "inversión del sujeto pasivo" and the customer's VAT number. The Canary Islands, Ceuta and Melilla are outside the IVA territory. InvoiceQuickly applies one tax percentage per invoice, labels it "Tax" rather than "IVA", copies saved tax IDs to new invoice PDFs and cannot show IRPF withholding.
Industry context (2026)
Two digital rules are on the way. Verifactu (Real Decreto 1007/2023) requires billing software to keep chained, tamper-evident billing records and print a QR code on every invoice. Under Real Decreto-ley 15/2025 the deadlines are 1 January 2027 for companies and 1 July 2027 for other taxpayers. On 5 October 2026 the Ministry of Finance announced it intends to postpone them to October 2028, but that change is not yet law. Separately, Real Decreto 238/2026 makes e-invoicing between Spanish businesses mandatory from 6 October 2027 for businesses with more than €8 million in turnover and from 6 October 2028 for everyone else (AEAT calendar, accessed 27 October 2026).
Worked example
Estudio Ribera SL in Valencia designed a brand identity for Logística Turia SA in Madrid, finishing on 20 October 2026 (an illustrative example). Invoice 2026-A-0118 is dated 30 October 2026, before the 16 November limit for business customers, and shows the transaction date of 20 October 2026. Lines: brand identity design, fixed fee €3,200.00; brand guidelines workshop, 8 hours at €100.00 = €800.00. Taxable base: €4,000.00. IVA 21%: €840.00. Total: €4,840.00. It shows both companies' full names, addresses and NIF. Billed instead to a VAT-registered company in France under the reverse charge, it would total €4,000.00 with no Spanish IVA and show the customer's VAT number and "inversión del sujeto pasivo".
Common mistakes to avoid
Leaving out the customer's NIF
For a supply in Spain by a business established in Spain, the customer's NIF is required on a full invoice, as it is for reverse-charge and exempt intra-EU supplies.
Reusing the ordinary series for corrections
Corrective invoices (facturas rectificativas) must use their own series. Do not number them in the same run as ordinary invoices.
Showing IVA in dollars only
Amounts may be in any currency, but the IVA amount must also be shown in euros.
Mixing rates without separate bases
If one invoice has 21% and 10% items, show the taxable base and IVA for each rate separately.
Assuming a template meets Verifactu
Verifactu applies to the software that issues the invoice, not to the layout. From your deadline, invoices from billing software need its QR code and compliant records.
Invoicing Tips
- 1Keep one correlative series for ordinary invoices and a separate series for corrective invoices (facturas rectificativas), for example 2026-A and 2026-R.
- 2Business customer? You can invoice up to the 15th of the following month. Work done in October must be invoiced by 15 November.
- 3Write the transaction date as well as the issue date when they differ. Article 6 lists both.
- 4Invoices may be in English, but show the IVA amount in euros if you bill in dollars or pounds.
- 5For a French or German business customer under the reverse charge, show their VAT number and "inversión del sujeto pasivo", and charge no Spanish IVA.
- 6Check your Verifactu date: from 1 January 2027 for companies and 1 July 2027 for other taxpayers (law in force on 27 October 2026), invoices from billing software must come from a Verifactu-compliant system.

Frequently Asked Questions
What must a Spanish invoice (factura) include?
Article 6 of Real Decreto 1619/2012 lists: a number correlative within its series, the issue date, the full names, addresses and NIF of both parties (the customer's NIF in the cases the article lists, including domestic supplies by a business established in Spain), a description with the unit price before tax and any discount, the IVA rate, the IVA amount shown separately, and the transaction date if it differs from the issue date.
Is this template Verifactu-compliant?
No. Verifactu (Real Decreto 1007/2023) applies to billing software, which must create chained billing records, print a QR code and, in VERI*FACTU mode, send records to the AEAT. A downloaded HTML layout does none of this, and InvoiceQuickly is not a Verifactu-compliant billing system. Under the law in force on 27 October 2026, companies must use adapted software from 1 January 2027 and other taxpayers from 1 July 2027. The Ministry of Finance has announced a planned postponement to October 2028 that is not yet law.
Can I use a PDF invoice in Spain after e-invoicing becomes mandatory?
Not for transactions between businesses established in Spain once your date applies. Under Real Decreto 238/2026, the AEAT's calendar requires structured e-invoices from 6 October 2027 for businesses with more than €8 million in turnover and from 6 October 2028 for everyone else. Until then, a PDF with the article 6 content is valid.
Can I write the invoice in English?
Yes. Spanish rules allow invoices in any language, and the AEAT can ask for a translation if it reviews your tax position. Amounts can be in any currency, but the IVA amount must be shown in euros.
Does this template calculate IVA?
No. You type the figures and totals yourself. If you draft an invoice in InvoiceQuickly instead, the app adds one tax percentage, for example 21%, to the subtotal and shows it as a generic "Tax (21%)" line. It cannot split an invoice across two IVA rates or deduct IRPF withholding.
