New Zealand Invoice Template (GST)

A layout for a GST-registered New Zealand business invoicing customers in New Zealand dollars. Since 1 April 2023, Inland Revenue (IRD) no longer requires a document titled 'tax invoice'; it requires taxable supply information that depends on the sale's value. For sales over $200 that means your name and GST number, the date, a description and the GST amounts. For sales over $1,000 to a GST-registered buyer it also means the buyer's name and one identifier such as an address, email or NZBN. This template gives you fields for each of those, on top of the usual invoice number, dates and line items. The download is an editable HTML file: fill it in your browser, then print it or save it as PDF. It is a layout, not an e-invoice, so it does not replace Peppol e-invoicing where a government agency requires it.

Recommended Payment Terms

IRD's rules cover what an invoice records, not when it must be paid, so the payment term is whatever you agree with your customer. Print a due date rather than only a term, for example 'Due 20 November 2026'. If you supply a larger government agency, note that under the Government Procurement Rules those agencies aim to pay 95% of supplier e-invoices within 5 business days and other domestic trade invoices within 10, so sending an e-invoice through Peppol can mean faster payment than a PDF.

Tax Information

GST in New Zealand is 15%. For supplies over $200, show either the GST-exclusive amount, the GST and the GST-inclusive amount, or only the GST-inclusive amount with a statement that GST is included at the standard rate for everything listed. Use the first option if any item is not charged at 15%. Registration is required once sales from your taxable activity are at least $60,000 a year; below that you can register voluntarily, and if you are not registered you should not add GST or show a GST number. If you create invoices in InvoiceQuickly instead of this template, note that New Zealand dollars are not currently selectable in the invoice editor, your GST number is copied to new invoice PDFs (type it into the notes), and there is no Peppol e-invoice output.

Industry context (2026)

Two dated changes shape New Zealand invoices in 2026. On 1 April 2023 the tax invoice requirement was replaced by taxable supply information, with value bands at $200 and $1,000 (Inland Revenue, 'Taxable supply information for GST'). From 1 January 2026, under Rule 44 of the Government Procurement Rules, government agencies that send or receive more than 2,000 domestic trade invoices a year must be able to exchange e-invoices, and from 1 January 2027 they must require large suppliers (revenue over $33 million in each of the two preceding accounting periods) to submit e-invoices (New Zealand Government Procurement). einvoicing.govt.nz reported on 28 January 2026 that these agencies must pay 95% of e-invoices within 5 business days and other domestic trade invoices within 10. Peppol, adopted by the New Zealand Government in 2019, is managed by the Ministry of Business, Innovation and Employment. All sources accessed 27 October 2026.

Worked example

Mere Tane, a GST-registered graphic designer in Auckland, invoices Kōwhai Outdoors Limited in Wellington for October 2026 work. Header: invoice MTD-0187, issue date 31 October 2026, due date 20 November 2026. Your GST number: 123-456-789 (illustrative). Bill to: Kōwhai Outdoors Limited, 12 Featherston Street, Wellington, accounts@kowhaioutdoors.example. Line 1: brand refresh design, 18 hours at $95.00 = $1,710.00. Line 2: brand guidelines document, fixed price = $450.00. GST-exclusive amount: $2,160.00. GST at 15%: $2,160.00 × 0.15 = $324.00. GST-inclusive total: $2,484.00 NZD. Because the total is over $1,000 and the customer is GST-registered, the buyer identifier field is filled with the street address and email. The 'GST is included' statement is left blank, because the invoice shows the GST separately. Had the job been $180 including GST, Mere would not have to give the customer taxable supply information at all, but she would still keep her own record of the sale.

Common mistakes to avoid

Following pre-2023 tax invoice checklists

Older templates use the previous rules and thresholds. Since 1 April 2023 the bands are $200 and $1,000, buyer details are needed only over $1,000 for GST-registered buyers, and the 'tax invoice' title is optional.

Using the GST-inclusive statement on a mixed invoice

A single GST-inclusive total with a 'GST included' statement only works when every item is at the standard rate. If anything is zero-rated, show the GST-exclusive amount, GST and total.

Leaving out the GST number on sales over $200

Your GST number is required for every supply over $200. Without it a GST-registered customer may not have the records they need to claim the GST.

Adding GST before you are registered

IRD ties registration to adding GST to your prices. If you are not registered, do not add GST or quote a GST number.

Correcting an invoice by editing the original

Issue supply correction information (a credit or debit note) that identifies the original invoice and the change to the GST, and keep both records.

Invoicing Tips

  • 1Check the total before you decide which details to include. Over $200 you need your GST number and the GST amounts; over $1,000 you also need a GST-registered buyer's name and one identifier.
  • 2The words 'Tax invoice' are optional since 1 April 2023. Keep them if your customers' accounts teams expect them.
  • 3An email address in the buyer block counts as an identifier for invoices over $1,000, so including it covers the requirement.
  • 4If a GST-registered customer asks for taxable supply information on a sale over $200, you must provide it within 28 days of the request or by another date you both agree.
  • 5To correct an invoice, issue a credit or debit note with your name and GST number, the date, the original invoice number and the correction to the GST.
  • 6Keep every invoice and correction for at least 7 tax years, in English or Māori.

Frequently Asked Questions

What has to be on an invoice in New Zealand?

It depends on the value. Up to $200: your name, the date, a description and the price. Over $200: also your GST number and either the GST-exclusive amount, GST and total, or the GST-inclusive total with a statement that GST is included. Over $1,000: also a GST-registered buyer's name and one identifier such as an address, phone, email, NZBN or website.

Does a New Zealand invoice have to say 'tax invoice'?

No. Since 1 April 2023 IRD requires taxable supply information rather than a document titled 'tax invoice'. You can still use the title if you want to.

What is the GST rate in New Zealand?

15%. On a GST-exclusive price of $2,160, GST is $324 and the total is $2,484. On a GST-inclusive total, GST is three twenty-thirds of the amount.

Do I need an NZBN on my invoices?

Not as a seller detail. An NZBN is one of the identifiers IRD accepts for the buyer on sales over $1,000, and government agencies use NZBNs to route e-invoices.

Can I use this template if I am not GST-registered?

Yes. Leave the GST number blank, do not add GST, and enter the price as the total. You must register once sales from your taxable activity are at least $60,000 a year.

Can I send this invoice to a government agency?

Usually yes as a PDF, unless you are a large supplier. From 1 January 2027, larger agencies must require suppliers with revenue over $33 million in each of the previous two accounting periods to send e-invoices through Peppol, which this template cannot produce.

What file format is the download?

An editable HTML file. Open it in your browser, fill in the bracketed fields, then print it or save it as PDF. Totals and GST are not calculated for you.

Can InvoiceQuickly create New Zealand invoices?

Not fully today. The app calculates one tax rate per invoice and prints the subtotal, tax and total, but New Zealand dollars are not currently selectable in the invoice editor and your GST number is copied to new invoice PDFs. This HTML template is the better option for NZD invoices for now.
