Ireland VAT Invoice Template

A free, editable layout for a VAT invoice issued by a VAT-registered business in Ireland. It has fields for each detail on Revenue's list: a unique sequential number, issue date, your name, address and VAT number, your customer's name and address, the date of supply, VAT-exclusive prices, the amount at each VAT rate and the total VAT. It also has space for the customer's VAT number and reverse-charge or intra-Community wording, and for euro equivalents if you bill in another currency. The template is a layout, not a guarantee of compliance: you fill in every figure and check which details your supply needs. It downloads as an HTML file you can edit in a browser and print or save as PDF. It is not a structured eInvoice and cannot meet the EN 16931 requirement that starts for in-scope large corporates on 1 November 2028.

Recommended Payment Terms

Ireland does not set one payment term for every invoice, so agree terms with your customer and print them, for example "Payment due within 30 days of the invoice date". For business-to-business and public-sector customers, the European Communities (Late Payment in Commercial Transactions) Regulations 2012 (S.I. No. 580 of 2012) give suppliers statutory rights to interest and compensation when payment is late. Check the regulations or an adviser for the current terms before you add a late-payment clause.

Tax Information

Irish VAT rates from 1 January 2026, per Revenue: 23% standard, 13.5% reduced, 9% second reduced, 4.8% livestock and 0% for zero-rated supplies such as qualifying exports. Unregistered farmers add a 4.5% flat-rate addition instead. The rate depends on what you supply, so check Revenue's VAT rates database for each item. Show VAT on the VAT-exclusive price, the amount at each rate and the total VAT. Reverse-charge invoices show no VAT and must carry the customer's VAT number and a reverse-charge note. You register for VAT once turnover exceeds €42,500 for services or €85,000 for goods (Revenue, published 6 May 2026). InvoiceQuickly applies one tax percentage per invoice and copies saved business and client tax IDs to new invoice PDFs; check the saved IDs and PDF before sending.

Industry context (2026)

Revenue's VAT modernisation plan changes Irish invoicing in three steps. From 1 November 2028, VAT-registered large corporates (those managed by Revenue's Large Corporates Division on 1 January 2027 and established in Ireland) must issue structured eInvoices to EN 16931-1 with real-time reporting for domestic B2B sales. From the same date, all businesses must be able to receive eInvoices. From 1 November 2029 the obligation extends to VAT-registered businesses trading cross-border B2B in the EU, and from July 2030 the EU's VAT in the Digital Age (ViDA) rules apply to all cross-border EU B2B transactions. Until your phase starts, a PDF built from this layout remains a valid VAT invoice if it carries the required details (Revenue, timeline published 20 July 2026, accessed 27 October 2026).

Worked example

Byrne Brand Studio, a VAT-registered sole trader in Dublin, finished brand-strategy work for Shannon Analytics Ltd, Limerick, on 14 October 2026 (an illustrative example). Invoice BBS-0042 is dated 30 October 2026, inside the 15 November deadline. Lines: brand strategy workshop, 2 days at €1,200.00 = €2,400.00; logo and identity design, fixed fee €1,600.00. Total at 23%: €4,000.00. VAT at 23%: €920.00. Total payable: €4,920.00. The invoice shows both parties' names and addresses, Byrne Brand Studio's VAT number, the date of supply (14 October 2026) and terms of 30 days. If the same work were billed to a VAT-registered company in Germany under the reverse charge, the invoice would total €4,000.00 with no Irish VAT, and it would show the customer's German VAT number and the note "Reverse charge".

Common mistakes to avoid

Leaving out the date of supply

Revenue lists the date of supply as a separate item from the issue date. Invoices raised at month end for earlier work need both.

Charging Irish VAT on a reverse-charge supply

When the EU business customer accounts for the VAT, show no VAT amount. Add their VAT number and a reverse-charge note instead.

Missing the euro equivalents

An invoice in sterling or dollars must also show the euro amounts, using the Central Bank selling rate or a method Revenue has agreed.

Issuing too late

The deadline is 15 days after the end of the month of supply, not 15 days after you finish the job.

Assuming a PDF will always be enough

PDFs are valid today, but large corporates must issue EN 16931 eInvoices from November 2028 and more businesses follow from November 2029. Check which phase applies to you.

Invoicing Tips

  • 1Issue the invoice within 15 days of the end of the month in which you made the supply. Work done in October must be invoiced by 15 November.
  • 2Keep one unbroken number series. If you void an invoice, cancel it with a credit note rather than reusing the number.
  • 3Write the date of supply as well as the issue date. They are separate items on Revenue's list.
  • 4For a German or French business customer under the reverse charge, show their VAT number and the words "Reverse charge", and charge no Irish VAT.
  • 5Billing in sterling or dollars? Add the euro equivalents at the Central Bank selling rate when the invoice is due to be issued.
  • 6If your invoices mix 23% and 13.5% items, show each rate's subtotal and VAT separately, or issue separate invoices.

Frequently Asked Questions

What must an Irish VAT invoice include?

Revenue lists: the issue date, a unique sequential number, your full name, address and VAT number, the customer's full name and address, the quantity and nature of the goods or extent and nature of the services, the date of supply, the VAT-exclusive unit price, any payments received net of VAT, any discounts, the breakdown by VAT rate and the total VAT payable. Reverse-charge and intra-Community supplies also need the customer's VAT number and a note explaining the treatment.

Can I use a PDF invoice in Ireland?

Yes, today. Paper and electronic invoices are both valid, and electronic invoices need your customer's agreement. From 1 November 2028, large corporates in Revenue's Phase One scope must issue structured eInvoices to EN 16931 for domestic B2B sales, and PDFs will not meet that requirement. The obligation extends to businesses trading cross-border B2B in the EU from 1 November 2029.

Does this template calculate Irish VAT?

No. The downloaded HTML file is a layout, and you type the figures and totals yourself. If you draft the invoice in InvoiceQuickly instead, the app adds one tax percentage to the subtotal, for example 23%, and shows it as a generic "Tax (23%)" line. It cannot split one invoice across two VAT rates.

Do I need a VAT number on my invoice if I'm not VAT-registered?

No. Only VAT-registered (accountable) persons issue VAT invoices. If you are not registered, do not charge VAT or show a VAT amount. Remove the VAT fields from the template and invoice the net price.

Is there a simplified invoice in Ireland?

Yes. Revenue allows a simplified invoice where the amount is not greater than €100, or where sector practice makes full invoices difficult. It must show the issue date, your name, address and VAT number, a description, and the VAT or the price excluding VAT. It cannot be used for intra-Community supplies.
