Audio Engineering Invoice Template

An audio engineering invoice should let the artist or label check each charge against what happened in the studio: which sessions ran and for how long, which songs were mixed and mastered, how many revision rounds were used, what room or gear was hired, and what files were delivered. This template adds those details to an ordinary invoice: session dates and hours, per-song mixing and per-track mastering lines, revision rounds included and used, studio or backline rental, stems and file formats, pass-through costs such as drives or session players, and the deposit already received. The download is an editable HTML invoice with invoice number, dates, a line-item table and totals, plus fields for those audio-specific details. Fill it in your browser, then print it or save it as PDF. Fees for your work go on the invoice; royalties and points do not, because they are paid later under your agreement. To create and send invoices from an account, InvoiceQuickly turns a typed or spoken description of the work into an editable invoice draft you review before saving.

Recommended Payment Terms

Take a deposit before booking studio time, because a no-show still costs you the room. Bill tracking sessions when they finish (or weekly on long projects), and bill mixing and mastering when you deliver the approved files rather than when the record is released. Net 7 to net 14 suits independent artists; labels and production companies usually pay on their own cycle, so agree the terms in writing and repeat them on every invoice. If you release final mixes or stems only after payment, say so on the invoice, for example 'Final WAV masters and stems released on receipt of payment.' Show the deposit as a line or a note against the total so the balance due is clear.

Tax Information

In the US, engineers working as independent contractors are paid gross and pay their own income and self-employment tax. Clients normally ask for Form W-9, and the IRS says Form 1099-NEC is filed for payments totalling $2,000 or more in a calendar year for payments made after December 31, 2025 ($600 before that). Whether sales tax applies to recording services, studio rental or delivered files depends on your state and on what is sold, so check your state's department of revenue before adding a tax line. Outside the US, VAT or GST applies once you are registered, and services to business clients abroad often follow place-of-supply or reverse-charge rules. A template is only a layout: add any tax registration number or wording your tax authority requires. InvoiceQuickly applies one tax percentage per invoice and copies saved business and client tax IDs to new invoice PDFs.

Industry context (2026)

Two US rules explain why an engineer's invoice and an engineer's royalties are separate. First, copyright law treats the song (a musical work) and the recording (a sound recording) as different works, listed separately in 17 U.S.C. section 102, so fees for recording and mixing are paid under your engagement while any share of the master's income comes from the agreement. Second, Title III of the 2018 Music Modernization Act (the AMP Act) added section 114(g)(5), under which the collective that distributes US royalties for non-interactive digital transmissions of sound recordings, SoundExchange, accepts instructions from an artist to pay part of the artist's share to 'a producer, mixer, or sound engineer who was part of the creative process', as the US Copyright Office describes. Those payments come from SoundExchange, not from your client, so they never belong on the invoice. On the tax side, the IRS raised the Form 1099-NEC reporting threshold from $600 to $2,000 for payments made after December 31, 2025; the income stays taxable either way.

Worked example

Worked example: Maya Chen, a freelance engineer in Tennessee, records and mixes a four-song EP for the band Low Harbor. The agreement includes two mix revision rounds per song, and the band paid a $700 booking deposit on invoice INV-0041. After delivering the masters she sends INV-0046: tracking, 2 days in Room A, 16 hours at $45 = $720.00; room hire from the studio owner, 2 days at $300 = $600.00 (at cost); mixing, 4 songs at $250 = $1,000.00; mix revision round 3 on 'Ashes' (2 included), 1.5 hours at $45 = $67.50; mastering for streaming, 4 tracks at $75 = $300.00; stems delivered as 24-bit/48 kHz WAV, 4 songs at $25 = $100.00; 2 TB archive drive at cost, receipt attached, $89.00. Total $2,876.50, less deposit paid on INV-0041 $700.00, balance due $2,176.50, net 14. No sales tax line is added in this example; Maya checked her own state's rules first, and the answer can differ elsewhere. Notes: 'Delivered: stereo masters (WAV and MP3), instrumental and stems. Session files archived on the drive above. Credit: Recorded and mixed by Maya Chen. Fees only; no points.' The rates are Maya's own, not market benchmarks; the band can tick off each line against the session log and the files they received.

Common mistakes to avoid

One line for the whole record

'EP recording and mix, $2,876.50' gives the band nothing to check and invites a dispute over what was included. List sessions, mixes, masters and hire separately.

Free extra revisions

If two rounds were included and the artist asks for a third, bill it as its own line with the song and round number. Absorbing it silently resets expectations for every later mix.

Forgetting the deposit on the final invoice

Clients pay the full total twice, or argue, when the deposit is not shown. Deduct it visibly with the deposit invoice number.

Mixing room hire into your fee

When you rent a room from a studio, burying it in your hourly rate hides a real cost and makes your rate look higher. Show it at cost on its own line.

Unclear deliverables

'Final files' without formats leads to unpaid re-exports. Name the masters, stems, alternate mixes, sample rate and bit depth.

Invoicing Tips

  • 1Write session lines with the date, room and hours, for example '14 Oct, Room A, tracking drums and bass, 8 h at $45', so the artist can match them to the session log.
  • 2Price mixing per song with a stated number of included revision rounds, and bill extra rounds as their own lines with the round number.
  • 3Separate your engineering fee from the room hire if the studio is not yours. Clients and accountants often treat the two differently.
  • 4Pass through hard drives, session players and outside mastering at cost with the receipt, or show any markup openly.
  • 5Name the deliverables: stereo mix, stems, instrumental, TV mix, sample rate and bit depth. 'Final files' starts arguments.
  • 6Keep royalties out of the invoice. If your agreement includes points or a SoundExchange letter of direction, refer to it in the notes rather than invoicing it.

Frequently Asked Questions

What should an audio engineering invoice include?

Your and the client's details, invoice number, issue and due dates, the project and song titles, one line per session with date and hours, per-song mixing and per-track mastering lines, revision rounds used, room or gear hire, pass-through costs, the deliverables, any deposit already received, the balance due and payment instructions.

Should mixing be billed per song or per hour?

Per song suits defined work because the artist knows the price before you start; state how many revision rounds are included. Hourly suits tracking, editing and open-ended revisions. Many engineers combine them: a per-song price for the mix and an hourly rate for extra rounds or changes of direction.

Do I invoice for studio time separately from engineering?

If you hire the room from someone else, yes: put the room hire on its own line at cost or with a stated markup, and your engineering hours on another. If you own the studio, you can sell a combined room-and-engineer rate, but say so on the line so the client knows an engineer was included.

How do I show a deposit on a studio invoice?

Invoice the deposit when the session is booked. On the final invoice, list all the work at full price, then show the deposit already paid with its invoice number and the balance due, so the client can see how the total was reached.

Do producer points or royalties go on the invoice?

No. The invoice covers fees for work done. Points are paid later from the master's income under your agreement, and in the US a featured artist can send SoundExchange a letter of direction so part of their royalties from non-interactive digital services are paid to a producer, mixer or sound engineer. Refer to those terms in the notes if useful.

Will a US client send me a Form 1099-NEC?

If you are an independent contractor and a business client pays you $2,000 or more in a calendar year for payments made after December 31, 2025, the IRS says the client reports it on Form 1099-NEC. Clients usually ask for a Form W-9 before the first payment.
