AI Consultant Invoice Template

An AI consulting invoice usually mixes three kinds of charge that clients approve differently: fixed fees for workshops or a discovery phase, hourly work on evaluation, prompt and retrieval tuning or integration design, and usage costs from model APIs and cloud services that the consultant paid on the client's behalf. Keeping those apart on the invoice, each tied to the statement of work, is what gets it approved quickly by a finance team that has never bought AI work before. This template is for independent AI and machine learning consultants and small studios billing a project phase or a month of work. The download is an editable HTML file with the usual invoice header, line table and totals, plus fields for the statement of work, the phase, workshop days, evaluation and tuning hours, pass-through usage with the provider's invoice reference, training delivered and approved change requests. Fill it in your browser, then print it or save it as PDF.

Recommended Payment Terms

Put the payment terms in the statement of work and repeat them on every invoice. Fixed-fee phases are usually invoiced when the phase deliverable is accepted, and hourly work monthly in arrears; net 15 or net 30 are common choices, but use whatever the contract says. Usage costs need their own rule, because they can grow quickly: say in the contract whether you pass them through at cost or with a handling markup, and whether usage above an agreed monthly cap needs the client's written approval first. The safest arrangement is for the client to hold the API and cloud accounts in its own name and pay the provider directly, so the invoice carries only your fees. If you do pay usage yourself, invoice it monthly with the provider's invoice number so the client can check the figure.

Tax Information

Tax on AI consulting depends on where you and the client are, not on the subject. In the US, whether sales tax applies to consulting, software configuration or data services is set state by state, so check your own state's revenue department before adding tax; many consulting invoices carry none. US businesses that pay an independent consultant $2,000 or more in a year for payments made after 31 December 2025 generally file Form 1099-NEC, so expect a request for Form W-9 before the first payment. For business clients in another EU country, cross-border consulting services are usually invoiced without your VAT under the reverse charge, with a note on the invoice; UK and other VAT or GST systems have similar rules. Pass-through costs follow the tax treatment of your own supply, not the provider's invoice. InvoiceQuickly applies one tax percentage to the whole invoice and copies your saved tax ID to new invoice PDFs; add any required reverse-charge wording in the notes. This is not tax advice; check with your tax authority or an adviser.

Industry context (2026)

Regulation is creating new, separately billable work for AI consultants in Europe. According to the European Commission's AI Act Service Desk timeline, the EU AI Act entered into force on 1 August 2024; its general provisions, including the AI literacy duty, and its prohibitions have applied since 2 February 2025; the rules for general-purpose AI models since 2 August 2025; and most remaining rules from 2 August 2026, with the high-risk system rules in Annex III dated 2 December 2027 after the Digital Omnibus amendments. Clients increasingly buy readiness assessments, staff AI-literacy training and documentation work as their own line items, so describe them precisely on the invoice. In the US, the IRS information-return threshold for payments to independent contractors on Form 1099-NEC rose to $2,000 for payments made after 31 December 2025, which affects when a client will ask for your W-9. This page gives no market rate figures because we have no traceable source for AI consulting rates; set yours from your own costs and contracts.

Worked example

Lena Ortiz, an independent AI consultant based in the US, invoices a regional insurance broker for October 2026 under statement of work SOW-014. Her contract rates are $4,800 for a two-day discovery workshop and $175 per hour for build work, with API and hosting costs passed through at cost up to $500 a month. Invoice INV-0052, dated 31 October 2026, net 15. Line 1: Discovery workshop, 6 to 7 Oct, eight attendees, use-case shortlist delivered, fixed fee $4,800.00. Line 2: Retrieval evaluation, 200-question test set and results report v1, 18 hours x $175.00 = $3,150.00. Line 3: Prompt and retrieval tuning, change request CR-02, 12 hours x $175.00 = $2,100.00. Line 4: Staff training session, half day, slides and handover notes, $1,200.00. Line 5: Model API usage 1 to 31 Oct, passed through at cost, provider invoice ref. on file, $312.48. Line 6: Vector database hosting, October, at cost, $70.00. Subtotal: $4,800.00 + $3,150.00 + $2,100.00 + $1,200.00 + $312.48 + $70.00 = $11,632.48. No sales tax is added because, in this example, Lena has confirmed with her state that these services are not taxable; check your own state. Total due $11,632.48 by 15 November 2026. Usage of $382.48 is inside the $500 cap, so no extra approval was needed. The broker's finance team can match lines 1 to 4 to the SOW budget and lines 5 and 6 to the provider invoices, which is why they are not merged into one 'AI services' figure.

Common mistakes to avoid

One line for everything

'AI consulting, October: $11,632.48' mixes fees, hours and third-party costs. The client cannot check it against the statement of work or the provider invoices, so it gets queried. Split it by phase, activity and pass-through cost.

Absorbing usage overruns silently

Running a large evaluation on your own API account and then billing a surprise figure damages trust. Agree a monthly cap, ask before exceeding it and show usage separately with the provider's reference.

Billing scope changes as extra hours

New use cases or data sources added mid-project are change requests. Give each one a reference and a line, so the client approves the scope change instead of disputing a higher hours total.

Putting confidential details in line descriptions

Invoices are forwarded to finance, procurement and sometimes outside auditors. Name the deliverable and reference the document; never paste prompts, client data or model outputs.

Assuming no tax because the work is digital

Some US states tax certain digital, data or software services, and VAT rules depend on where the client is. Check before you invoice rather than guessing either way.

Invoicing Tips

  • 1Name the deliverable on every line, for example 'Retrieval evaluation: 200-question test set, report v1', not 'AI work'. A finance approver who cannot tell what was delivered will send the invoice back.
  • 2Split hours by activity (evaluation, prompt and retrieval tuning, integration design) so the client can compare them with the estimate in the statement of work.
  • 3Show usage costs as separate lines with the billing period and the provider's invoice number, and keep the provider invoices in case the client asks to see them.
  • 4Agree a monthly usage cap in writing. If a test run is likely to exceed it, get approval by email first and quote that email on the invoice.
  • 5Bill change requests on their own lines with the change reference, so scope growth is visible instead of hidden in a bigger hours figure.
  • 6Do not paste client data, prompts or model outputs into invoice descriptions. A short deliverable name and a document reference are enough.

Frequently Asked Questions

What should an AI consultant invoice include?

Your details and the client's, an invoice number, issue and due dates, the statement of work reference, and separate lines for fixed-fee workshops or phases, hourly evaluation and tuning work, training, and any API or cloud usage you paid for the client, followed by the subtotal, tax if any, total and payment instructions.

How do I bill API and cloud costs to a client?

Either have the client open the accounts and pay the provider directly, or pay them yourself and pass them through on your invoice as separate lines, with the provider's invoice number and the period covered. State in the contract whether you add a handling markup and what monthly cap needs approval.

Should I bill AI consulting hourly or by project?

Fixed fees suit well-defined pieces such as a discovery workshop or a readiness assessment. Hourly billing suits evaluation and tuning, where the number of iterations is uncertain. Many consultants combine them: a fixed-fee discovery phase, then hourly build work with a not-to-exceed figure.

Can I charge for model evaluation that did not lead to a deployed system?

Yes, if the statement of work bills the evaluation itself. Describe the deliverable (test set, results report, recommendation) so the client sees what it paid for even if it decides not to go ahead.

Do I charge VAT or sales tax on AI consulting?

It depends on your location and the client's, not on the AI subject. US sales tax on services is set by each state; in the EU and UK, consulting supplied to a business in another country is often reverse-charged. Check your own tax authority's rules.

Can InvoiceQuickly create an AI consultant invoice?

Yes. Type or say what you did, for example a two-day workshop, 18 evaluation hours at your rate and last month's API costs, and InvoiceQuickly drafts an editable invoice you review before saving. It applies one tax rate per invoice. On Pro you can track hours with a timer and select them into a draft invoice; it does not connect to model API or cloud billing, so enter usage costs from your provider invoices.
