Sales Invoice Template
A sales invoice is the bill a seller sends after goods are sold and shipped, asking the buyer to pay for what was actually delivered. It differs from a service invoice in the details the buyer's receiving and accounts payable staff check: the purchase order it relates to, the product codes (SKUs), the unit of measure, how many units shipped against how many were ordered, the ship-to address, shipping charges and sales tax. It is not a quote or a pro forma invoice, which come before the sale, and not a receipt, which confirms payment afterwards. This template adds those goods-sale details to an ordinary invoice: customer PO number, order and ship dates, ship-to address, SKU and unit of measure, quantities ordered, shipped and backordered, unit price, shipping and handling, discount, the sales tax rate and jurisdiction, any resale or exemption certificate, carrier and tracking, and your returns terms. The download is an editable HTML invoice with invoice number, dates, a line-item table and totals. Fill it in your browser, then print it or save it as PDF. For goods crossing a border, customs needs a commercial invoice instead.

Recommended Payment Terms
Business buyers usually pay goods invoices on terms such as net 30, counted from the invoice date, and many will only pay an invoice that matches their purchase order and the goods they received, so quote the PO number and invoice only the quantity shipped. If you offer an early payment discount such as 2/10 net 30 (2% off if paid within 10 days, otherwise the full amount in 30), write both dates on the invoice. Consumers and new customers are usually asked to pay before the goods ship, in which case the invoice is due on receipt and the goods are released when payment clears. For partial shipments, send an invoice per shipment and say which items remain on backorder, rather than billing the full order up front.

Tax Information
In the US, sales tax on goods depends on where the buyer takes delivery, what the item is and who the buyer is. Since South Dakota v. Wayfair (2018), states can require remote sellers to collect once their sales into the state pass a threshold; Texas, for example, uses $500,000 of revenue in the preceding twelve months. Shipping is not always treated like the goods: the Texas Comptroller says delivery charges follow the item, so delivery of a taxable item is taxable, but other states treat separately stated shipping differently. A buyer who will resell the goods can give you a resale certificate (in Texas, Form 01-339), and you then charge no tax and keep the certificate on file. In the UK, HMRC treats a delivery charge as following the VAT liability of the goods. InvoiceQuickly applies one tax percentage to the whole invoice, shipping included, and saves rates to four decimals; if an order mixes taxable and exempt items, or ships to two tax jurisdictions, split it into separate invoices.
Industry context (2026)
Most of what makes a sales invoice correct in the US is sales tax, and the rules have changed for small sellers since 2018. In South Dakota v. Wayfair (No. 17-494, 21 June 2018), the Supreme Court allowed states to require out-of-state sellers to collect sales tax based on their sales into the state, overruling the physical-presence rule; each state now sets its own threshold. Texas is a typical example: the Texas Comptroller's remote-seller guidance sets a safe harbor of $500,000 in Texas revenue over the preceding twelve calendar months, combined state and local rates top out at 8.25%, delivery charges follow the taxability of the item, sales for resale need a completed Form 01-339, and sales records must be kept for four years. Other states differ on thresholds, on shipping and on what counts as taxable, so check each state you ship into. If you sell through a marketplace that collects tax for you, the marketplace's own invoice or order record may already serve as the buyer's document.
Worked example
Worked example (hypothetical seller and prices; Texas facts as published by the Texas Comptroller). An office furniture seller in Austin, Texas, receives purchase order 4471 from a law firm in Austin for 3 ergonomic chairs, 2 sit-stand desks, 3 chair mats and 2 monitor arms. The monitor arms are out of stock. On 2 November 2026 the seller ships the rest by its own freight carrier and sends INV-0213, net 30: CHR-ERG-200 ergonomic office chair, black, each, 3 shipped at $289.00 = $867.00; DSK-SIT-60 sit-stand desk, 60 in, each, 2 shipped at $549.00 = $1,098.00; MAT-CHR-01 chair mat, each, 3 shipped at $39.50 = $118.50; delivery to the ship-to address, 1 at $85.00 = $85.00. Subtotal $2,168.50. Sales tax 8.25% (Austin combined rate, the Texas maximum of 6.25% state plus 2% local): $178.90, applied to the delivery charge too because it is delivery of taxable goods. Total $2,347.40, due 2 December 2026. Notes: 'PO 4471. Backordered: MON-ARM-2 dual monitor arm, 2 ordered, 0 shipped, expected 16 November; will be invoiced on shipment. Carrier: Hill Country Freight, PRO 778120. Report damage within 5 business days.' If the buyer had been a furniture reseller with a valid Form 01-339 resale certificate, the same invoice would carry 0% tax and the note 'Sale for resale: Form 01-339 on file'. The buyer's accounts payable team can match every line to PO 4471 and the delivery, and expects a second, smaller invoice for the monitor arms.
Common mistakes to avoid
Billing the full order when part is backordered
The buyer's accounts payable team will pay only what was received, leaving a short payment you have to reconcile. Invoice per shipment.
No SKU or unit of measure
'Chairs, $867' cannot be matched to a purchase order line. Product codes and units let receiving and accounts payable approve the invoice without calling you.
Using your own tax rate for a delivered order
Where tax is sourced to the delivery address, the ship-to location's rate applies. Charging your own city's rate on an order shipped elsewhere under- or over-collects.
Assuming shipping is never taxed
In Texas, delivery of a taxable item is taxable. Check your state's rule rather than leaving shipping out of the taxable amount by habit.
Zero tax with no certificate
A resale or exempt sale without a certificate on file is presumed taxable in an audit in Texas. Get the certificate before invoicing and reference it on the invoice.
Invoicing Tips
- 1Invoice what shipped, not what was ordered. Show backordered items with a quantity of zero or in the notes, and bill them on a later invoice when they ship.
- 2Put the SKU at the start of each description ('CHR-ERG-200 Ergonomic office chair, black') so the buyer can match lines to their purchase order and packing slip.
- 3State the unit of measure. '4 at $68' means nothing to a receiving clerk until they know whether it is 4 units or 4 cases of 1,000.
- 4Use the tax rate for the ship-to location, not your own, when your state sources tax by destination, and name the jurisdiction on the invoice.
- 5When you charge no tax, say why in the notes ('Sale for resale: Form 01-339 on file') so an auditor and the buyer can see the reason.
- 6Include the carrier and tracking number. It ends most 'we never received it' disputes before they start.

Frequently Asked Questions
What is a sales invoice?
A sales invoice is the document a seller issues after a sale of goods, listing what was sold and shipped, the quantities and prices, shipping, any discount and tax, the total and the payment terms. For the seller it records revenue and an amount receivable; for the buyer it is the bill they match to their purchase order and delivery.
What is the difference between a sales invoice and a receipt?
A sales invoice asks for payment and states when it is due. A receipt confirms that payment was received, with the date, amount and method. If the customer pays at the time of sale, the receipt may be the only document they need; if they pay later, they get the invoice first and a receipt after paying.
How is a sales invoice different from a pro forma or commercial invoice?
A pro forma invoice is a preliminary quote-style document sent before the sale, often so the buyer can arrange payment or an import licence. A commercial invoice is the customs document for goods crossing a border, with HS codes, origin and weights. A sales invoice is the final bill for a completed sale.
Should shipping be taxed on a sales invoice?
It depends on the state. The Texas Comptroller says delivery charges follow the item, so shipping a taxable item is taxable there; other states exempt separately stated shipping in some cases. Check your state's revenue department, and list shipping as its own line either way.
What should I do if only part of an order ships?
Invoice only the items that shipped, quote the purchase order number, and show the backordered items and their expected ship date in the notes. Send a second invoice when the rest ships. Billing the whole order at once leads to short payments and reconciliation work for both sides.
Can I create sales invoices in InvoiceQuickly?
Yes, for straightforward orders. Lines take a description (put the SKU there), a quantity and a unit price, up to 100 lines per invoice, with one discount percentage and one tax percentage for the whole invoice. There is no product catalogue, inventory, SKU field or shipping integration, and the discount and tax also apply to a shipping line. Free covers 5 invoices; Pro ($9 a month) adds unlimited invoices, email delivery and payment links through your own Stripe or PayPal account.
