Language Tutor Invoice Template
A language tutor invoice has to answer three questions a general tutoring invoice often skips: who is learning (the payer is often a parent or an employer, not the learner), which language and level the lessons cover, and what happens to unused lessons in a package. This template is for independent tutors who teach one-to-one or small groups, online or in person, and bill a package of lessons in advance, a placement assessment, exam preparation or a monthly block. The download is an editable HTML file with your business, the client, invoice number, issue and due dates, a line table (description, quantity, rate, amount) and totals, plus the language-specific fields below. Fill it in your browser, then print it or save it as PDF. If you teach through a marketplace that bills the student for you, you normally do not send the student an invoice at all.

Recommended Payment Terms
Bill a lesson package before the first lesson in it, with the due date on or before that lesson, so you are not teaching on credit. Monthly blocks for regular learners can be invoiced at the start of each month. When an employer pays for an employee's lessons, its accounts team may work to its own payment cycle, so agree the terms (for example 14 days) before the package starts and put them on the invoice. Write the package expiry on the invoice too, for example "10 lessons, to be used by 31 January 2027": a package with no end date turns into an open-ended liability when a learner pauses for months. State whether unused lessons are refundable if the learner stops, and on what notice.

Tax Information
Whether you charge tax on language lessons depends on where you work and how you are set up; check with your tax authority. Two examples. In the UK, HMRC's VAT Notice 701/30 (updated 27 January 2025) treats tuition given personally by a sole proprietor or partner as exempt private tuition when the subject is taught regularly in a number of schools or universities, and treats English as a foreign language taught by a commercial provider as exempt, while other courses that provider supplies are standard-rated; tuition delivered by tutors you take on is standard-rated. In the US, sales tax on tutoring is a state question, and if a business pays you $2,000 or more in a year for payments made after 31 December 2025, the IRS says it reports those payments on Form 1099-NEC, so expect a request for a W-9. InvoiceQuickly applies one tax percentage to the whole invoice and copies saved tax IDs to new invoice PDFs. This is general information, not tax advice.
Industry context (2026)
Most language tutors describe a learner's level with the Common European Framework of Reference for Languages (CEFR), which Cambridge English describes as an international standard for describing language ability on a six-point scale from A1 for beginners to C2 for those who have mastered a language (Cambridge English, accessed 27 October 2026). Writing the current and target level on the invoice tells the payer what the package is for and makes the next package easier to justify. How you get paid shapes the paperwork. On a marketplace, the platform charges the student and pays you: Wyzant's tutor help centre says tutors keep 75% of their rate on most lessons and 100% for new students they refer themselves (accessed 27 October 2026), so there is no student invoice for you to send. Direct clients, including employers paying for staff lessons, need your own invoice. Tax depends on the country: HMRC's VAT Notice 701/30 (updated 27 January 2025) exempts private tuition given by sole proprietors and partners in subjects taught regularly in schools or universities, and exempts English as a foreign language from commercial providers. We have not included market lesson rates because we found no dated primary source for language-tutor rates; the reviewed tutoring pricing guide explains how to set a rate from your own costs and hours.
Worked example
Illustrative figures. An independent Spanish tutor invoices Brightwell Logistics LLC for lessons for its operations manager, Dana Cole, on invoice INV-0031, issued 27 October 2026 and due 2 November 2026, the day before the first lesson. Line 1: "Placement assessment, 45 minutes online, written and speaking, level report (current A2, target B1)", 1 x $45.00 = $45.00. Line 2: "Spanish taught in English, one-to-one, 60 minutes online, Tuesdays and Thursdays 3 November to 3 December 2026, 10-lesson package (single lesson $58.00), to be used by 31 January 2027", 10 x $52.00 = $520.00. Line 3: "Small-group conversation class, 90 minutes, Saturdays 7 to 28 November", 4 x $22.00 = $88.00. Line 4: "Course book bought for the learner, at cost, receipt attached", 1 x $34.50 = $34.50. Subtotal $45.00 + $520.00 + $88.00 + $34.50 = $687.50. Tax 0% (the tutor checked their state's rules for tutoring). Total $687.50. Terms: "Lessons cancelled with less than 24 hours' notice count as used. Lessons cancelled by the tutor are added to the end of the package. Unused lessons are refunded at $52.00 each with two weeks' written notice." The package price saves Brightwell $60.00 against ten single lessons (10 x $6.00), and putting that on line 2 rather than as an invoice-wide discount keeps the assessment, group class and book at their full price. Because Brightwell is a business, the tutor also tracks the year's total: if Brightwell's payments to them reach $2,000 in 2026, Brightwell will need the tutor's W-9 for Form 1099-NEC.
Common mistakes to avoid
Invoicing the learner when someone else pays
An invoice addressed to the employee when the employer is paying gets bounced by accounts payable. Bill the payer and name the learner on each line.
Packages with no expiry date
A learner who stops after four of ten lessons and comes back a year later expects six lessons at last year's price. Put the use-by date and refund rule on the package line or in the terms.
Hiding the package saving in a whole-invoice discount
An invoice-wide percentage also discounts the assessment, books and group classes. Price the package per lesson on its own line and show the single-lesson rate for comparison.
Putting exam fees through your invoice
Official exam registration is between the candidate and the exam centre. Invoice your preparation lessons and marking, not the exam fee, unless you have agreed in writing to book and pay it on the learner's behalf.
Not saying what level the lessons target
"10 Spanish lessons" tells an employer nothing. "A2 to B1, conversation and grammar" ties the cost to an outcome the employer can check against its training budget.
Invoicing Tips
- 1Put the learner's name on each lesson line when a parent or employer pays. The payer's accounts team needs to know which employee or child the lessons were for.
- 2Name the language and the direction, for example "Spanish, taught in English". A tutor who teaches both ways (English to Spanish speakers and Spanish to English speakers) needs it to keep packages apart.
- 3Bill the placement assessment as its own line. If you credit it against the first package, show the credit as a separate negative line so the client sees what happened.
- 4Show a package saving inside the line description, for example "10 lessons at $52.00 (single lesson $58.00)". InvoiceQuickly's discount is one percentage across the whole invoice, so a package price on one line is cleaner.
- 5List course books and exam-practice materials at cost on their own line, and keep the receipt. Do not fold them into the lesson rate.
- 6Write the exam by its full name and level (for example DELE B2 or IELTS Academic) and what your preparation covers. Official exam fees are paid by the candidate to the exam centre, not through your invoice.

Frequently Asked Questions
What should a language tutor invoice include?
Your name and contact details, the client (and the learner, if someone else pays), a unique invoice number, issue and due dates, one line per service with the language, lesson length and number of lessons, the rate and amount, any assessment, exam-preparation or materials lines, the total, how to pay, and your cancellation and package-expiry policy.
Should I invoice per lesson or per package?
Per package is easier for both sides once a learner is committed: one invoice before the first lesson, one payment, and a clear count of lessons left. Invoice per lesson for trial lessons and irregular learners. If you offer a package price, show it as the per-lesson rate on the package line rather than as a discount on the whole invoice.
How do I invoice an employer that pays for an employee's language lessons?
Address the invoice to the company, put the employee's name and the course on the line items, and add the company's purchase order or cost-centre reference if it gives you one. Agree payment terms in advance, because company payment runs are slower than a parent paying by transfer.
Can I charge for a placement test?
Yes, if you told the client before booking. Bill it as a separate line with its length and what the learner receives, such as a written level report. Some tutors credit the fee against the first package; if you do, show the credit as its own line so the arithmetic is visible.
What do I do with lessons the learner cancels?
Apply the cancellation policy that is printed on the invoice. A common approach is that lessons cancelled with less than 24 hours' notice count as used, and lessons the tutor cancels are added back to the package. Record the change on the next invoice rather than editing one that has already been sent.
Do language tutors charge VAT or sales tax?
It depends on the country and your set-up. In the UK, HMRC treats tuition given by a sole proprietor or partner in a subject taught regularly in schools or universities as exempt private tuition. In the US it is a state-by-state question. Check with your tax authority before adding tax.
Do I invoice students I teach through a tutoring platform?
Usually not. Marketplaces typically charge the student and pay you, minus their fee, so the platform's own records are the paperwork. Wyzant, for example, says tutors keep 75% of their rate on most lessons. Read your platform's terms before invoicing a student you met there directly.
Can InvoiceQuickly create a language tutor invoice?
