Accounting Services Invoice Template

An accounting firm's invoice is easiest to approve when it reads like the engagement letter. Most small-business clients have up to three kinds of fee running at once: a fixed monthly accounting fee for defined recurring work (the close, reconciliations, monthly financial statements), a fixed fee per tax return under its own engagement, and hourly advisory for questions nobody could scope in advance. This template gives each its own line with what drives it: the month and the scope for the monthly fee, the return type and tax year for tax work, and the date, topic and hours for advisory. Work outside the letter, such as a new bank or loan account that appeared mid-year, goes on a separate line with the date it was requested, so the monthly fee stays recognisable. Each fee is fixed or hourly, never a share of a refund or of tax saved, which IRS rules generally prohibit for tax work. For a transaction-volume bookkeeping invoice, use the bookkeeper template. The download is an editable HTML invoice with invoice number, dates, a line-item table and totals. Fill it in your browser and print it or save it as PDF, or type or say what to bill and InvoiceQuickly drafts an editable invoice for you to check before saving.

Recommended Payment Terms

Set terms in the engagement letter and repeat them on each invoice. Monthly accounting fees are often billed at the start of the month they cover or with the month-end close, on short terms such as net 15, and some firms collect them by card or bank debit authorised at engagement. Tax return fees are often split: part when the engagement is signed and the balance when the return is delivered or filed, which should be stated in the tax engagement letter. Bill advisory time monthly in arrears with dates and topics. If a client asks for work outside the letter, confirm the price in writing first, bill it on its own line, and offer to add it to the monthly scope going forward. Keep the fee basis simple and documented: a fixed fee or hours times rate. Under Treasury Circular 230, section 10.27, a practitioner may not charge an unconscionable fee or, apart from narrow exceptions, a contingent fee for matters before the IRS, and a fee based on a percentage of the refund or of taxes saved is a contingent fee.

Tax Information

Contingent fees: Treasury Department Circular 230, 31 CFR §10.27 (text unchanged in the eCFR as of its 23 October 2026 update), defines a contingent fee to include a fee based on a percentage of the refund reported on a return, a percentage of taxes saved, or any fee that depends on the result, and bars contingent fees for matters before the IRS except work on an IRS examination of or challenge to a return, certain amended returns or refund claims filed within 120 days of an examination notice, claims solely about statutory interest or penalties, and judicial proceedings. In Ridgely (D.D.C. 2014), a federal court held the IRS could not enforce the restriction for ordinary refund claims filed before an examination, and Treasury proposed revising the contingent-fee rules in December 2024; CPAs are also bound by the AICPA Code of Professional Conduct and their state board. Check the current rules before agreeing any result-based fee. Sales tax on accounting services is a state question, so check your state revenue department. InvoiceQuickly applies one tax percentage per invoice and copies your saved tax ID into new invoice PDFs; keep professional licence details in the notes. Industry context (2026)

Accountants and auditors held about 1,595,200 jobs in the United States in 2025, with a median wage of $83,680 (May 2025) and 5% projected growth from 2025 to 2035, according to the Bureau of Labor Statistics, which also notes that any accountant filing a report with the Securities and Exchange Commission must be a licensed CPA and that about 5% are self-employed (Occupational Outlook Handbook, page modified 27 August 2026). The BLS does not publish accounting fees, and this page does not quote market rates; the InvoiceQuickly guide to pricing accounting services builds a price from your own costs instead. The fee rule that most shapes an accounting invoice is Treasury Circular 230, 31 CFR §10.27, which prohibits unconscionable fees and generally prohibits contingent fees for matters before the IRS. Treasury published proposed revisions to Circular 230, including its contingent-fee rules, in the Federal Register on 26 December 2024; the eCFR text of section 10.27 was unchanged when checked on 28 October 2026. Worked example

Worked example (illustrative fees from one firm's own engagement letters, not market data): a two-person CPA firm serves Riverside Dental PLLC, which is taxed as an S corporation. The accounting engagement letter of 15 January 2026 sets a monthly fee of $1,100.00 for the month-end close, reconciliation of 3 bank and card accounts, payroll journal entries from the payroll provider's reports and monthly financial statements by the 15th, with other work at $180.00 an hour. A separate tax engagement letter sets a fixed $2,400.00 fee for the 2025 Form 1120-S and state return, half at signing and half on filing. Invoice AC-2609 is dated 1 October 2026, net 15, due 16 October. Line 1: monthly accounting, September 2026, per engagement letter of 15 January 2026, 1 × $1,100.00. Line 2: 2025 Form 1120-S and state return, filed 14 September 2026, fixed fee instalment 2 of 2, 1 × $1,200.00. Line 3: advisory, second-location lease-or-buy analysis and meeting, 19 September, 2.5 hours × $180.00 = $450.00. Line 4: out of scope, set-up and reconciliation of the equipment loan account opened 7 September, requested 9 September, 1.5 hours × $180.00 = $270.00. Subtotal $3,020.00; tax 0% in this example after the firm checked its state's rules; total due $3,020.00. Notes: 'From October we propose adding the loan account to the monthly scope at $75.00 a month; reply to confirm.' Two points come out of the numbers. The tax return line is a fixed fee that does not change with the result, which is what Circular 230 section 10.27 expects. And because the $270.00 loan-account work has its own line and request date, the client can see the $1,100.00 monthly fee has not moved.

Common mistakes to avoid

One line for everything

'Accounting services, September: $3,020' mixes a fixed fee, a tax return instalment, advisory and extra work. The client cannot tell what changed, so the whole invoice gets queried.

Absorbing scope creep

New accounts, entities and payroll changes add work every month. Bill the extra work with its request date and offer to update the monthly fee, rather than quietly doing it.

Result-based tax fees

A fee set as a percentage of the refund or of tax saved is a contingent fee under Circular 230 section 10.27 and generally not allowed for tax work. Use fixed fees or hourly rates.

Invoices that do not match the engagement letter

If the letter says 'statements by the 15th' and the invoice says 'bookkeeping', the client has nothing to check it against. Use the letter's own wording.

Passing on software costs inconsistently

Charging a subscription one month and absorbing it the next confuses clients. Decide in the letter whether it is included or recharged at cost.

Invoicing Tips

  • 1Name the engagement letter on each recurring line: 'Monthly accounting, September 2026, per engagement letter of 15 January 2026'. It answers 'what is this for?' before anyone asks.
  • 2Describe the monthly scope in a few words (3 accounts reconciled, statements by the 15th). When the scope grows, the out-of-scope line shows why the invoice did.
  • 3Bill tax return work as its own line with return type, tax year and instalment number, so it is never mistaken for the monthly fee.
  • 4Give advisory time a date, topic and hours. 'Lease-or-buy analysis, 19 Sep, 2.5 h' is easy to approve; 'consulting' is not.
  • 5Pass software subscriptions or filing fees through at cost with the vendor and period, or include them in the monthly fee. Pick one and say which in the letter.
  • 6Never set a fee as a percentage of a refund or of tax saved. Fixed fees and hourly rates keep you inside Circular 230 and are easier for clients to compare.

Frequently Asked Questions

What should an accounting services invoice include?

Your firm's details, the client's legal name, a unique invoice number and dates, the engagement letter it relates to, each fee on its own line with its basis (monthly fixed fee with scope, tax return by type and tax year, advisory by date and hours), any out-of-scope work and costs passed on, tax if your state requires it, the total, due date and payment methods.

How do accountants bill monthly clients?

Usually as a fixed monthly fee for the recurring work defined in the engagement letter, billed at the start of the month or with the month-end close. Work outside that scope is billed separately, hourly or at a quoted fixed price, and tax returns are billed under their own engagement.

Can an accountant charge a percentage of a tax refund?

Generally no. Circular 230 section 10.27 defines a fee based on a percentage of the refund as a contingent fee and bars contingent fees for matters before the IRS, apart from narrow exceptions such as work on an IRS examination, interest or penalty claims, and court cases. A 2014 court ruling limited enforcement for ordinary refund claims, and CPAs also follow AICPA and state board rules, so check before agreeing any result-based fee.

Should tax preparation be on the same invoice as monthly accounting?

It can be, as long as each is its own line with its own description, and the tax line names the return and tax year. Many firms bill tax work separately because it runs under a separate engagement letter and payment schedule.

What is the difference between an accounting services invoice and a bookkeeper invoice?

A bookkeeper invoice usually prices recording work by volume, such as transactions or accounts per month. An accounting services invoice combines a monthly accounting fee with tax return fees and advisory time under engagement letters. Use whichever matches how your engagement is priced.

Do I charge sales tax on accounting services?

It depends on your state. Check your state revenue department before adding tax, and keep any taxable and non-taxable charges clearly separated.
