Current prices, free-plan limits and payment fees for 10 invoicing tools, a worked yearly cost for a solo freelancer, and who each one suits best.

InvoiceQuickly Team··Updated ·14 min read

The best invoicing software for a freelancer is the cheapest tool that sends a professional invoice, takes card or bank payments, follows up automatically, and handles repeat billing, without making you pay for accounting features you will not use. This comparison covers ten tools with prices and limits taken from each vendor's own pages on October 27, 2026.

How we compared them. We did not run hands-on tests for this update. We compared each vendor's published pricing, plan limits and payment fees, then worked out a yearly cost for one typical freelancer. Prices are US list prices in USD unless stated; promotions change often, so check the vendor's page before you buy. InvoiceQuickly is our product; it is listed where it fits, with its limits stated.

Which invoicing tool should a freelancer choose?

Match the tool to how you work, not to the longest feature list.

Worked example: what a year actually costs

Worked example with stated inputs: a freelancer sends 6 invoices a month at $1,500 each (72 invoices, $108,000 a year), and every client pays by card. List prices, US card rates, no promotions. Stripe's standard US rate of 2.9% + $0.30 is used where a tool relies on Stripe.

ToolSubscription per yearCard fees per yearTotal
Zoho Invoice (free) + Stripe$0$3,153.60$3,153.60
Wave Starter$0$3,175.20$3,175.20
InvoiceQuickly Pro + your Stripe account$108$3,153.60$3,261.60
PayPal Invoicing (card payments)$0$3,264.48$3,264.48
Invoice Ninja Pro + Stripe$168$3,153.60$3,321.60
Wave Pro$228$3,132.00$3,360.00
FreshBooks Lite$276$3,153.60$3,429.60
QuickBooks Lite + QuickBooks Payments$240$3,229.20$3,469.20
Stripe Invoicing Starter$0$3,585.60 (incl. 0.4%)$3,585.60

The spread between the cheapest and most expensive option is about $430 a year, and almost all of the total is card fees. The bigger saving is getting clients to pay by bank transfer: Stripe's US ACH Direct Debit is 0.8% capped at $5, so the same 72 payments would cost $360 instead of about $3,150. Bank payments at 1% (FreshBooks, Wave) cost $1,080. Before choosing on subscription price, decide how your clients will pay. The invoice payment methods guide compares the options.

Zoho Invoice: best free invoicing tool

Zoho Invoice is free, with limits of two users, three projects and 500 invoices a year. The free plan includes recurring invoices and automated payment reminders, which most free plans charge for. Invoices show "Powered by Zoho Invoice" branding.

Best for: freelancers who want a capable free tool and send fewer than about 40 invoices a month. Trade-off: it is invoicing, not accounting; when you need bookkeeping, Zoho's route is an upgrade to Zoho Books. Compare it head to head in Zoho Invoice vs FreshBooks.

Wave: best free option with bookkeeping

Wave's Starter plan is $0 with unlimited estimates, invoices, bills and bookkeeping records. Card payments cost 2.9% + $0.60 (3.4% + $0.60 for Amex). Pro is $19 a month or $190 a year, adds bank-transaction import and late payment reminders, and drops the $0.60 on your first 10 card transactions each month.

Best for: freelancers who want invoicing and basic bookkeeping in one free place (Wave publishes US and Canadian pricing). Trade-off: the $0.60 fixed fee is higher than Stripe's $0.30, which matters on small invoices. See Wave vs FreshBooks and QuickBooks vs Wave.

FreshBooks: best paid all-rounder for hourly work

FreshBooks Lite is $23 a month at list price (promotions are common), with a 30-day trial and no free plan. Lite includes automated recurring invoices, late payment reminders and unlimited time tracking; Plus ($43) raises the billable-client limit from 5 to 50 and adds more accounting. Card payments are 2.9% + $0.30 and ACH is 1%.

Best for: service freelancers who track hours and want invoicing, expenses and accounting together. Trade-off: the 5-client cap on Lite pushes many freelancers to Plus. See FreshBooks alternatives.

QuickBooks: best if your accountant uses it

QuickBooks offers a Free plan with up to 2 invoices a month (unlimited if you use QuickBooks Payments) and one bank connection. On the self-employed plans page, Lite lists at $20 a month with unlimited invoices, receipts and mileage, and Simple Start at $38. Intuit's payment rates list 2.99% for card payments on invoices.

Best for: US freelancers whose bookkeeper or accountant already works in QuickBooks, or who want receipts and mileage tracked for freelance tax deductions. Trade-off: more accounting than a pure invoicing user needs, and the free tier's monthly invoice cap is low.

HoneyBook and Bonsai: best for proposals and contracts

HoneyBook Starter is $29 a month billed yearly and includes invoices and payments plus proposals and contracts; there is a 30-day trial. Bonsai puts invoicing, proposals and contracts in its Essentials plan at $25 per user per month ($19 billed yearly), with a 7-day trial and no free plan.

Best for: photographers, designers, event and creative freelancers who send a proposal, get it signed and then invoice the deposit. Trade-off: if you only need invoices, you pay for a client-workflow suite. HoneyBook vs Bonsai compares the two.

InvoiceQuickly: low-cost invoicing with AI drafting

InvoiceQuickly is a web-based invoicing tool. You type or say what you did, and it drafts the client, line items, rates and terms into an editable invoice that you review before saving. The Free plan includes 5 invoices, 5 clients and 3 AI drafts in total, with PDF download but no email sending. Pro is $9 a month and adds unlimited invoices and drafts, email delivery, automatic reminders, recurring schedules, estimates, credit notes, a client portal, custom branding, CSV export, 5 team seats and payment links through your own Stripe or PayPal account (InvoiceQuickly adds no per-invoice fee). Pro also includes expenses, projects, time tracking with a timer, reports and public API keys. Business ($19 a month) adds a reviewed export of selected invoices to QuickBooks Online or Xero and time imports from Clockify, Toggl Track, Harvest and ClickUp.

Best for: freelancers who want to invoice, track time and get paid, want the lowest monthly price with reminders and recurring billing, and like describing work in plain language. Trade-offs, plainly: no bookkeeping, bank feeds or bank reconciliation; no mobile app (it runs in the browser); one tax rate per invoice; invoices in English only; QuickBooks Online and Xero export only on Business, as a one-way export rather than a sync; and the Free plan's 5-invoice limit is lifetime, not monthly. Bank-debit payments taken through a Stripe link remain pending until Stripe confirms settlement through the signed delayed-success event.

Invoice Ninja: best open-source option

Invoice Ninja's hosted Free plan allows up to 5 clients with unlimited invoices, including recurring invoices and auto-billing. Pro is $14 a month or $140 a year and adds unlimited clients, automatic late-payment reminders, custom designs and removes the "Created by Invoice Ninja" label. The software can also be self-hosted.

Best for: technical freelancers who want control, or who prefer open-source software. Trade-off: more settings to learn than simpler tools. See Invoice Ninja vs Wave.

Stripe and PayPal invoicing: best for pay-as-you-go

Stripe Invoicing has no monthly fee; Starter charges 0.4% per paid invoice on top of Stripe's payment fees. PayPal charges 2.99% + $0.49 for card payments on invoices and 1% (capped at $10) for bank payments; PayPal's help center says invoicing has no setup or monthly fees, and its fee page also lists an Invoice Subscription Service at $14.99 a month.

Best for: freelancers who already run payments through Stripe or PayPal and send a handful of invoices. Trade-off: basic invoice design and no bookkeeping. Stripe vs PayPal invoicing has the fee detail.

What should freelancers look for in invoicing software?

Six things decide whether a tool saves you time or adds work:

  1. Payment options and fees. Card and bank payments from the invoice, at a fee you have calculated for your own volume.
  2. Automatic reminders. Overdue follow-ups without you writing emails. See automatic payment reminders, or copy wording from the free payment reminder templates if your tool lacks them.
  3. Recurring invoices for retainers and maintenance plans. See the recurring invoices guide, and the guide on when to send an invoice for one-off work.
  4. Consistent numbering and records. A clear invoice numbering system and an export for your accountant.
  5. Tax handling where you work. If you are VAT- or GST-registered, check that the invoice can show what your country requires; the invoice tax compliance guide and UK VAT invoice rules cover the details.
  6. Limits that fit. Client caps (FreshBooks Lite: 5), invoice caps (QuickBooks Free: 2 a month; Zoho Invoice: 500 a year) and lifetime limits (InvoiceQuickly Free: 5).

Things freelancers rarely need: AP automation, multi-entity accounting and inventory.

When not to use a dedicated invoicing tool

  • You send one or two invoices a month to the same client. A free tool, one of our invoice templates or a well-made freelance invoice example in a document may be enough; just keep numbering consistent.
  • Your accountant needs everything in their system. Use the accounting software they support, even if its invoicing is less pleasant.
  • You need structured e-invoices. In countries with e-invoicing mandates, most freelancer tools on this list are not enough; check the tax compliance guide.
  • You are about to hire. Check seat limits and per-user pricing (Bonsai charges per user) before you commit.

Frequently asked questions

What is the best free invoicing software for freelancers?

Zoho Invoice and Wave are the strongest free options as of October 2026. Zoho Invoice allows 500 invoices a year with recurring invoices and reminders; Wave offers unlimited invoices plus bookkeeping, with a higher card fee. Invoice Ninja's free plan suits up to 5 clients.

Is FreshBooks worth it for freelancers?

FreshBooks is worth it if you track time and want accounting in the same tool. Lite lists at $23 a month but limits you to 5 billable clients; many freelancers need Plus at $43. If you only send invoices, a free or cheaper tool covers the same basics.

How much should a freelancer pay for invoicing software?

Between $0 and about $25 a month covers most solo freelancers. In our worked example, card processing fees of about $3,150 a year dwarfed every subscription, so payment fees and how clients pay matter more than the plan price.

Do I need accounting software or just invoicing software?

If you have an accountant who keeps your books, invoicing software plus an export is usually enough. If you do your own books, a tool that combines invoicing and bookkeeping, such as Wave, FreshBooks or QuickBooks, saves re-entering data.

Can I accept card payments with free invoicing software?

Yes. Free plans from Zoho Invoice, Wave, Invoice Ninja and PayPal can take card payments; you pay the payment provider's fee on each payment. InvoiceQuickly's payment links need the Pro plan.

Which invoicing software is best for international clients?

Look for invoices in the client's currency and payment methods that work in their country. Check each vendor's currency list and international card fees; Stripe and PayPal both add a fee for international cards.
